Microsoft Outlook

Microsoft Outlook
As per Wikipedia, Microsoft Outlook is a personal information manager
from Microsoft, available as a part of the Microsoft Office suite. Aside from being
an EMail client, Outlook also includes such functions as calendaring, task
managing, contact managing, note-taking, journal logging, and web browsing.
Outlook organizes your EMails, calendars, contacts, tasks, and to-do lists, all in
one place.

Set up Microsoft Outlook


1. Your first action is to set up your Outlook account. After that, you’ll be
ready to start receiving and sending EMail, use the calendar, create
contacts, and work with Outlook tasks.
a. You’ll be asked for your name, EMail address, and a password.
That’s usually enough, but if automatic setup fails, Outlook will ask
for a few more pieces of information, such as your mail server name.
If you don’t have that info, your EMail provider can give you the
details.

2. For the quick access bar, it is typically located at the bottom of the
Outlook window, the quick access bar shows—depending on selected
settings—either button names (left image) or icons (right image)
associated with feature names.

Create Messages
1. From any mail folder (such as your Inbox), choose New EMail. Keyboard
shortcut: To create an EMail message, press Ctrl+Shift+M.

2. If multiple EMail accounts are configured in Microsoft Outlook, the From
button appears and the account that will send the message is shown. To
change the account, click From and pick the account.
3. In the Subject box, type the subject of the message.
4. Enter the recipients' EMail addresses or names in the To, Cc, or Bcc
boxes. Separate multiple recipients with a semicolon.
5. Click Attach File to add an attachment. Or click Attach Item to attach
Outlook items, such as EMail messages, tasks, contacts, or calendar
items.

6. When you’re done composing your EMail, choose to Send.
Forward or reply to an EMail message
1. On the ribbon or in the reading pane, choose Reply, Reply All, or Forward.

2. Follow the same steps in making a mail, then reply to the message.

EMail commonly used terms:
1. Attachment
• An EMail attachment is any type of file sent along with an EMail
message. Including an attachment in an EMail is a simple way to
share documents and images.
2. Email Address Fields

• To: The "To" line is for the primary recipient. Put the EMail address
here if the message is for this recipient’s action and attention only.
This line is visible to all other recipients (CC, and BCC) by default.
• CC: Stands for Carbon Copy. Put EMail address(es) here if you plan
to send a copy to other recipients in addition to those listed in the
‘To’ field. This is used if you don’t mind that recipients seeing who
else is getting a copy because the list of recipients is included in the
header message.
• BCC: Similar to CC, Blind Carbon Copy sends a copy of a message
for the information of a large number of people. It is used if you are
sending someone a copy of an EMail, and you don’t want the other
recipients to see that it was also sent to this EMail address because
the message doesn’t include that information in its header fields.
Bcc recipients can see those listed in the To and Cc list.
• From: As you might have expected, the From header field contains
the message's author. The author's EMail address is always
included in the From field. You can also include a name to appear
alongside your EMail address by updating the Personal Information
settings in your EMail client. Including your name will not only look
more professional to outsiders, it removes any ambiguity over who
is sending the message.
3. Inbox
• Inbox is an area where you can see all the received mails.
4. Outbox
• Outbox is an area where the outgoing messages or messages which
are in the process of sending or which are failed to send are stored.
5. Sent mail
• Sent mail is an area to view all the sent or successfully delivered
emails.
6. Spam
• Also known as junk EMail is when unsolicited messages are sent via
EMail.
• To be classed as spam, an EMail has to be not only commercial but
have fraudulent or malicious intent.
• These are often sent in bulk (the act of spamming) by people you
don’t know.
