The Freshman Program is a joint program between the Freshman Institute of


the FH Aachen and the Aachen Institute of Applied Sciences e.V. (AcIAS e.V.).
The Freshman Institute of the FH Aachen is responsible for overseeing the
quality of the Freshman Program as well as supervising the teaching content
and issuing the final certificates. The Aachen Institute of Applied Sciences e.V.
is responsible for the financial aspects and framework of the Freshman Program.

Information about paying your fees and further steps are in the following letter
from the AcIAS e.V. In order to receive the documents for the German
embassy, you must pay the fees and sign and return the attached contract.

Please check with the German embassy in your country as soon as possi-
ble about your visa requirements and start the process as early as possible.
Freshman students will require a study preparation visa (Studienkolleg) for the
participation in Freshman Program. The Freshman Program is not involved in
and cannot influence the visa process.

Applicants are responsible for all bank transfer fees.

You must include your application number in Purpose ; otherwise, we cannot credit
the fees to your account.

After we receive your fees, within one week we will send you confirmation of payment.

Within four weeks we will send you (and your agency, if applicable) the following
documents that you need to apply for a study preparation visa at the German
embassy:

What is included in your fees?
House Rules

Freshman Program Refund Policy


The Freshman Program starts on 1 October. If a student withdraws from the Freshman Program, the following conditions
apply for refunding his or her payment:
Reservation fee: non-refundable
Cancellation before 1 August of the planned academic year: 85% refund
Cancellation before 1 September of the planned academic year: 70% refund
Cancellation before 1 October of the planned academic year: 50% refund
Cancellation after 1 October of the planned academic year: no refund

If a student is refused a visa to Germany, the entire fees will be refunded, minus a 1000e administrative fee.
Confirmation from the German embassy stating that the visa application was rejected must be submitted.

All fee refunds are based upon the actual amount received by the Freshman Program.
Any bank fees are the responsibility of the student.

1. Duties and Rights of AcIAS

1.1 Teaching and Qualification 23 May 2024
AcIAS provides the appropriate language and technical courses necessary
for participants to qualify for university entrance. The successful completion Reference
of the Freshman Program leads either to the possibility for the student to dmb_24242203704112
apply to a field of study at many of the universities within the state of North
Rhine-Westpahlia (NRW), if the German Track FeP or English Track FeP of the
Freshman Program was selected (Studienkolleg)

or if previously selected - to

guaranteed admission to a specific field of study at one the following universi-


ties:
• FH Aachen University of Applied Sciences
• FH South Westphalia University of Applied Sciences
• University Duisburg-Essen

1.2 Changes in the Course Program


AcIAS reserves the right to alter the course program on short notice, according
to the constraints of time and capacity.

1.3 Fees and Services


The fees are currently EUR 21500 and include the following services:
• Pick up from Düsseldorf airport upon arriving for the first time.
• Health, travel, accident and personal liability insurance with the German insurance
company Dr. Walter GmbH.
• Furnished shared accommodation including electricity, water, heat and wifi for the
duration of the program.
• Courses and instruction, course material and access to the learning platforms
Edupage and ILIAS.
• Language and subject-related tutorials taught online or in person.
• Assistance with the local administrative authorities.
• Help with and fees paid for the residence permit after arrival in Germany.
• Counselling for students with academic or individual problems.
• Free public transportation within NRW (local buses and local trains).
• Enrollment as a Freshman student (Studienkolleg) at the FH Aachen.
• Final exams and certificates certified by the FH Aachen.

2. Duties and Rights of the Participant

2.1 Payment of Fees


The participant must pay the full fees to the AcIAS bank account by the deadline in the
fee payment invoice. All bank charges associated with the money transfer are the sole
responsibility of the participant.
The fees include a EUR 500 deposit, which will be refunded if the participant has not
damaged the facilities during the Freshman Program.

2.2 Program Attendance


The participant will attend all courses and, if applicable, internships, and will perform
the assignments to the best of his knowledge and diligence with the goal of successfully
completing the Freshman Program and fulfilling all the admission conditions of the
planned university after the Freshman Program. Students are only permitted to
participate in the final exams if they have maintained an average attendance of at least
80% in each course.

2.3 Accommodations and House Rules


The participant will be accommodated in a furnished apartment with 4-8 roommates of
the same gender. The apartment consists of 2-4 double bedrooms, one bathroom and
one kitchen.
The apartment is available from 1 October 2024 until 31 July 2025.
The participant has read and will abide by the attached House Rules.

2.4. Transfer of Information and Photos


The participant agrees that information about his academic progress and behavior
may be given to parents or legal representatives. He also agrees to the publication of
pictures taken during the program.

2.5 Exclusion from the program


Serious violations of the participant's obligations may lead either to exclusion from
living on campus or to expulsion from the Freshman Program.

1. Illegal and punishable offences


 Psychological and physical violence and abuse towards others is punishable.
 Weapons or toy weapons of any kind are forbidden to own or use.
 Drug abuse/Dealing: Consumption, ownership and dealing with drugs (for example,
marijuana, cocaine, etc.) are forbidden and are criminal offences.
 Theft: Stealing is a punishable offence.
 Vandalism: Malicious and intentional damage to property (for example, furniture, writing
on tables, fire extinguishers, smoke detectors, etc.) are punishable offences.

Illegal and punishable offences (see above) will result in immediate exclusion from
campus or immediate expulsion from the program.

2. Smoking
 Smoking is not allowed in the apartments or in any buildings connected with the Freshman
Program.
 Smoking in public buildings is forbidden by German law.
 Smoking is ONLY allowed in the smoking areas (in front of the apartment houses 1, 4 & 5). 

3. Alcohol: Consumption of high-proof alcohol is forbidden for students under the age of 18. Dealing
with and distribution of high-proof alcohol is generally forbidden.

4. Security measures:
 All outside apartment doors must be locked between 10 pm and 8 am (22:00h-8:00h).
 Before leaving the apartment, all lights and electrical devices must be turned off.
 The room and apartment windows and doors must be locked when leaving the apartment.
 Fire Exit Routes: Hallways, stairs and entrances must be clear of bicycles, garbage bags and
other objects for fire safety. All fire exit routes must be accessible at all times. The outside stairs
of house 1 may only be used in case of emergency (for example, a fire alarm).
 Any problems with water, blocked sinks, heating or electricity, etc. must be immediately
reported by email to [email protected] (‘damage report’)
It is forbidden to make your own maintenance repairs!
 Electrical appliances such as water kettles, coffee machines, rice cookers, cooking plates,
toasters, microwaves, etc. may only be used in the kitchen areas.
Appliances found in the rooms will be confiscated immediately and returned at the end of the
Freshman Program.
 Large amounts of cash should be deposited safely in a bank or in the office safe, not in the
apartments.
 Open fires of any kind are forbidden.

House Rules

5. Quiet Hours:
 Quiet hours are from 10 pm until 7 am (22:00h-7:00h). During this time, it is 
not permitted to play loud music or make excessive noise in the apartments and hallways.

6. Internet:
 Wi-Fi is available in all rooms (FH Aachen accounts).
 It is forbidden to use external routers and splitter devices (download router or hardware).
 It is forbidden by German law to download and share songs, movies, CDs, use torrents or any
similar means. Those responsible for illegal downloading and distributing in a file sharing network
can be sued for copyright infringement. The fines can exceed EUR 1000.

7. Apartments / Living areas:


 Keeping pets of any kind is forbidden (independent of size).
 Students are provided gender segregated accommodation. Couples are not allowed to live
together in one room.
 It is not permitted to switch rooms without prior permission from the Social Team. 
The room code may not to be given to others.
 All residents share the responsibility for the condition of the apartment.
 The apartments and rooms must be cleaned and tidied up at least once a week (including
all floors, all surfaces, bathrooms and toilets, kitchens, hotplates, etc.). The entire apartment will
be checked regularly for cleanliness and maintenance. This will avoid insects, rodents and
damage to your health. Rotating cleaning plans are recommended.
 Cooking in the rooms is forbidden, only allowed in the kitchen!
 Food, oil/grease or any kind of kitchen waste may not be thrown into the sinks, showers
or toilets. The sinks will clog and it could attract pests and vermin!
 Hair, tampons/sanitary napkins may not be thrown into the toilets. They will block and
overflow!
 All the room, bathroom and kitchen garbage must be taken out to the dustbins at least twice a
week. All garbage must be sorted out according to German recycling regulations.
 It is forbidden to leave garbage in the hallways or in the corridors.
 The room and bathroom windows must be opened every morning and evening for at least 10
minutes. Especially after showering, it is very important to avoid mold.
 It is forbidden to leave the windows open all day and the heating on ‘5’.

8. Use of common rooms:


 All students may use the common rooms in the houses 4 and 5 after getting permission from
the Social Team, signing the rental form and providing a security deposit of EUR 70.
 The renting students are responsible for complying with the rental conditions (cleaning after
use, abiding by the house rules, responsibility for the guests, etc.) All the rubbish, remaining
food and drinks must be removed from the common room the same evening and disposed of
properly. The cleaning and reorganization must be done before 8 pm (20:00h) the next
day. After a final inspection, the deposit will be returned.

If the rules 2 -8 are not followed, the following measures will be taken,
according to the severity of the offense:

 Oral warning
 Warning letter to parents
 Disqualification from the scholarship application/or participation in the
excursion

Do I need to know German before coming to Germany?


• We strongly recommend that you start learning German as soon as you receive this letter!
Will I learn German during the Freshman Program?
• Basic German lessons will be offered online and free of charge in August and September. Your classes
in the Freshman Program will gradually transition from English to German as the teaching language.
You will start at the FH Aachen with German level B2 and will continue with technical German classes.
Can I change my study option?
• You can apply for a change until 15 October. The Academic Board will make a decision based on
various factors, such as availability and eligibility.
• Please note: A change to University of Duisburg-Essen is not possible.
Which subjects will I have during the Freshman Program?
• German, math, physics, + 6 weeks internship
• The internship will be in different departments in the labs and workshops of the FH Aachen, Campus
Jülich.
Where will I live?
• You will live in double rooms in shared flats on campus: Pater-Briers-Weg 85, 52511 Geilenkirchen.
When can I move in?
• Arrival is possible starting on 1 October. Send your arrival date at least 72 hours before arrival to
[email protected].
After the Freshman Program, can I apply to anything else than the Bachelor in my admission?
• You only have admission to the Internationally Oriented Studies bachelor’s degree program at the FH
Aachen, Campus Jülich, not any other program or university.
