PURPOSE
This Document will deal with Basic Questions we come cross in Enterprise Asset management .
Deactivate was to make an asset virtually disappear. For Assets that are De-activated:
Transactions (work order, work requests, etc.) should be “not visible” when the associated asset is inactive for consistency with
asset search asset should be “visible and updatable” in the Asset Definition Form.
Assets that are Non-maintainable, but Active (two separate check boxes on the asset definition): assets and associated
transactions should be “visible” /searchable
New work orders creation should not be possible asset should be “visible and updatable” in the Asset Definition Form.
• We want to choose the Asset Work Order sequence on our own. How to do that?
The WO creation sequence number is generated by System automatically. We can only provide Prefix value in EAM parameters
form. System will generate WO sequence number for all EAM organizations.
• How to Prevent Disabled Activities from Showing Up in The Asset Definition Form?
This is standard functionality. There may be customers using this feature to make an inactive association back active. You can
use forms Personalization to resolve concern of seeing end dated activity associations.
• Whether Asset number can be created with all Special characters available?

It’s not possible, once the Asset is defined, it can only be deactivated if there are no open WR or WO and also it not part of the
hierarchy.
Geocode entry and ESRI Feature associations are enabled for point assets only and are not applicable for linear assets. If the
Latitude, Longitude and ESRI fields are entered, then the ESRI related fields take priority and are used to display assets on a
map.
• How much Characters or values a Collection element can hold in Oracle quality?
This is determined by reporting length and result value can be up to 150 in length.
Work order description length cannot be defined for more than 240 characters ? What's the standard behaviour?

• Why Maintenance Job Attachment Not Available On Work Order Print Screen?
According to EBS attachment foundation technology, the attachments for Assets won't be displayed on work order print page
because that they are associated to different entity. Asset attachments are attached to CSI_ITEM_INSTANCES and work order
attachment are attached to EAM_WORK_ORDERS. they are not decided by category but entity. so even though customer
configured "Maintenance Job Attachment" for asset, but the attachments will still be attached to CSI_ITEM_INSTANCES rather
than EAM_WORK_ORDERS which explains that why customer can't see the attachment in WO print page. so the behavior
customer met is expected one.
• Where to search for the Requisitions created for OSP and Direct items?
The information will not be available in the forms. We need to use Maintenance Super user responsibility to check the PR
created.
• How many Combination of failure tracking codes can be added to Work order?
Only one type can be added.
• Whether the Express Work order can be created for all items?
No. Express Work order cannot be created for Direct items.
• Which one take the priority in Mapping Discrete Assets Geocodes or ESRI entries?
ESRI entries like Feature id, Feature class take the priority.
• What are the Conditions to run the Concurrent Program Component Pick release?
WO has status Released, Open Material requirement, Auto Request Material at line level is Yes.
• Which is the Special character that will cause Performance issue while searching?
Using % before and after Asset number will cause performance issue.
• When Two Work Requests are added which Description system will choose?

When first work request is converted in to work order, system keeps first work request description as work order description.
Next time when we attach an another work request (Second) to work order, System still keep the first work request description
only in the work order. This is intended functionality. First work order is created from Work request, but the second Work
request is just tagged or added. Hence system will take the First description only.
• Whether Inventory Calendar with Exception list are taken into Consideration in EAM PM Schedule ?
Calendar Offs are not considered by Preventive Maintenance Schedule. When such suggestions (falling on Calendar Off days)
are implemented, based on activity resource’s shift, Work order API takes care of moving dates to next available date.
• Material is selected against Operations in an exam work order, only the approved suppliers (ASL) should be listed for the
Direct and Service based Items. Is it Possible?
At present in exam the functionality is such that all the supplier will be present in the List of Values.
• Currently Work Request and Work Order number are generated by system at instance level and have no control over the
sequence. Sequence need to be defined Manually for each and every EAM organization separately. Is it possible to achieve this
requirement?
The option is not available as of now in the system. But We can use Organization code as prefix to understand the Work order
where it belongs. (In EAM Parameters setup). Manual Sequence of the Work order numbering is not yet possible.
• Is there any way to define revisions for Maintenance Routings? Currently we are unable to do this?
At this moment this functionality does not exist. Below enhancement requests exists for this

With R12 Capital Assets and rebuild able have very few differences. One of the key difference is-when a rebuild able item is
issued to the work order,
The system will create an automatic rebuild WO. Also, we will not be associate the rebuild assets to Production Equipment,
property locations.
The customer is using WMS/MSCA in their distribution organization but has a separate org created for EAM. Can MSCA be used
to create the xml file?
If they are using MSCA mobile, then for the EAM Material Issue and Return transactions, the bar code scanning capability of
the device can be used. About the xml - It is not clear if the customer refers to WMS Label Print for EAM work order material
issue through Pick Drop transaction in MSCA mobile. If yes, then it is possible to create the xml's too.
• How can We Override Activity Type and Activity Source for A Work Order?
Please refer BUG 23210152 and apply the required patch to solve this issue. The Default value will be populated when the
fields are left blank.
• How many Assets can be added in Asset route and vice versa?
There is no limitation in adding Assets to Asset route. But one Asset route cannot be added to Another Asset route.
• Whether it’s possible to Enter the Quality results for Completed WO?
No. We need to unclose the WO before entering the Quality results.
• The Concurrent Load Production Equipment Maintenance Downtime is run from which Organization?
If your manufacturing and maintenance organizations are separate, execute this process within the manufacturing
organization.

ER 4472912 PURGE PROGRAM FOR EAM WORK ORDERS REQUIRED but functionality is not available so far.
• Where can one find the release date of a work order, in which table, under which field?
Date released of the work orders is recorded in wip_discrete_job, eam_work_orders_v tables.
• API EAM_PROCESS_WO_PUB.PROCESS_WO Asset _Activity is not populating the Asset activity field in WO page?
Please remove the DFF already created in the Page and retest the issue.
These shortcuts are used for the purpose of organizing forms folders for quick access.
These are not related to EAM alone-rather feature of oracle forms functionality related to folder view management for selection
of fields for display.
• Which EAM API does User use to load the Last Service Information for a Work?
Last Service Information comes from asset-activity association.
Customer can use below API to update LSI of an activity on an asset:

• WO Completion Enter Quality Results Page Showing Element description smaller than defined?
In OAF pages its common to have description of collection element around 50 Characters.
• In Complete work order page Duration is in So many decimal places , how to avoid?
• Error when Both Work order form and Maintenance Work bench are open same time ? What to do ?
Both the forms are interrelated , so it’s better to close one of the forms while working .
• When Completing WO, Mandatory collection plan still exist error is thrown? How to proceed further ?
As Work around create new collection plan and use, it’s because of data corruption since the old plan is copied one .
• Update an Attribute Type Number for the Asset Attributes DFF via Import program, error Occurs?
While trying to insert the values into Asset Attributes, Line Type should be 1, 2, 3 for varchar, Number and Date types

respectively. In the customer's script they are using Linotype 1 for the Model year. Please ask them to use "2" against Line type
and re-test the issue.
• User want the Asset Group field locked as it was in earlier versions?
Updateable Asset Group is an enhancement feature. It cannot be rolled back. PM Schedule is asset number specific. The latest
asset group will be reflected on the PM schedule definition after the update of asset group.
The change asset group feature is only an option, and they need not use it if they face issues that are specific to them.
• New Work Order status (User defined) not working as expected? what's the reason?
The WO page shows both statuses - System and User Defined ones. The forms, from what I remember, ONLY shows the User
defined ones.
The core ones cannot be removed as they are mandatory for the internal code of the applications. The customer will be able to
see the information as per above explanation, and can hide (if possible via personalization) on the self-service pages the
System status.
However, the languages are not supported by the user defined from my knowledge, hence instead they write the exact values
in a different language when they define the status, it will display the given one in English (the one in the user defined status
form definition)
• What’s the purpose of 'Issue Rebuild Items at Zero Cost’ in eAM Parameters?
Value rebuild at zero cost' parameter should be used when we don't want accounting for the rebuild able issues.
• We need to know How to enable rebuild able association with Production Equipment?
Production equipment linkage is not applicable for rebuild able numbers and possible only for Capital Assets.
• New field (Publish) got added in the Asset Attachments after applying the patches? How to disable?
Please follow note 415987.1 to disable this button.
• How to avoid notifications sent to the person from Work request page?
Settings --> Preferences --> Notifications, and change the value to "Do not send me email". But if the User is the Approver
then we can’t avoid.
Need to add new activity for some assets for an asset group , how to do it in 12.1.3 ?
We have 'change asset group' functionality in 12.2.6, but not in 12.1.3, so if User wants to change asset group in 12.1.3, there
is no direct way of doing it .

Why Inactive department is still showing up in the Mass time entry and how to avoid ?
We cannot enforce the date validation on departments LOV as it is dependent on resource lov and other fields.As per the
customer update, this seems to be a one-off case with the improper setup.
They can choose correct department in this case and once the workorder is closed, they can clean up the resource-department
setup.
This is not possible from EAM module . You can try Quality Collection plan security setup to achieve this
Material Requirements still exist eventhough the WO is closed ? How to cancel the lines ?
Enable the Parameter “ Auto Delete Allocations at Move Order Cancel”. If you select this check box, when you delete a source
order, or delete or cancel the order line, the system automatically deletes the associated move order allocations. If you do not
select the check box, when you delete a source order, or delete or cancel the order line, then the system does not delete the
associated allocations lines. You must manually delete the move order line allocations.
How to make work order attachments not editable ? At present User can do modifications .
Currently there is no linkage between work order/operation status and attachment update.
In 12.2.7, there are significant improvements on attachments, one of it is to show the record history which gives the
details of last modified date/time and user.
If any Item is not added as part of the workorder requirements while defining the workorder, it will not be present in
wip_requirement_operations/wip_eam_direct_items.
After Collection plan entries are cancelled , QA_RESULTS still show entries .
That column is updated properly ONLY when the actual completion transactions is properly saved/applied. Until this is
done, any quality results entered are considered invalid and thus flagged appropriate.
If for example they cancel the completion, the results will exist but will be in an invalid status.
What is the difference between the 'Save' and 'Apply' button in the Work Request page?
Save retains the work request update page and allows the user to continue to add/modify details of the work
request,like adding attachments, updating the work requests to other valid statuses etc., There is no difference between save
or apply as far as the work request default status is concerned.
Can create Work request be created in draft status and later sent for approval?
There is no draft status for work request flow. Based on the approval setup (auto approve Yes/No) the work request
status will change on save/apply of the work request.
Subinventory and stock locators of rebuildable items are not visible in Mobile Apps ?
What API can a customer use to add serially controlled components, or to add any components to an Asset BOM ?

This is not an EAM issue. As the given API by customer bom_component_api.import_component, this is a BOM issue.
Multi-levels approvals are not feasible with standard features now, it will require custom work flow to achieve it.
