INTRODUCTION TO GOOGLE DRIVE

1. Introduction to Google Drive

 What is Google Drive?


o Google Drive is a cloud storage service provided by Google. It allows you
to store your files online, so you can access them from any device with an
internet connection.
o It’s a free service with 15GB of storage available to each user.
 Why use Google Drive?
o Access anywhere: You can access your files from any computer, phone,
or tablet.
o Easy sharing and collaboration: You can share files with others and
work on them together in real-time.
o Security: Google Drive automatically saves your files and keeps them
safe from being lost.

2. Using Google Drive

 How does Google Drive work?


o You store your files (like documents, photos, videos, etc.) in Google Drive,
and it keeps them safe in the cloud.
o You can access Google Drive from any internet-enabled device by logging
into your Google account.
 Main Features of Google Drive:
o Store documents, photos, and other files online.
o Share files and folders with others.
o Edit documents online with Google Docs, Sheets, and Slides.
o Automatically sync your files across different devices.

3. Setting Up and Getting Started with Google Drive

 How to Set Up Google Drive:


1. Create a Google Account: If you don't have one, sign up for a free
Google account at www.google.com.
2. Sign In to Google Drive: Go to drive.google.com and sign in with your
Google account credentials.
3. Start Using Google Drive: Once signed in, you can begin using Google
Drive to store and organize your files.
4. Accessing Google Drive

 Ways to Access Google Drive:


o On a computer: Open a web browser (like Google Chrome) and go to
drive.google.com.
o On a phone or tablet: Download the Google Drive app from the Google
Play Store (for Android) or the App Store (for iOS). Sign in with your
Google account to access your files.
 Logging into Google Drive:
o Open the Google Drive website or app.
o Enter your Google account username and password.
o Once logged in, you can view and manage all your stored files.

5. Google Drive Interface

 Overview of the Google Drive Interface:


o My Drive: This is where you can see all your personal files and folders.
o Shared with Me: Shows files and folders that others have shared with
you.
o Recent: Displays files you’ve recently worked on.
o Trash: Files you delete are moved to Trash before they’re permanently
deleted.
o Search Bar: Allows you to search for files or folders within Google Drive.
 Icons to know:
o Folder Icon: Used to organize and store your files.
o File Icons: Different file types (documents, spreadsheets, presentations,
etc.) have their own icons.
o Share Icon: Shows that a file or folder is shared with others.

6. Creating and Uploading Files and Folders on Google Drive

 Creating Files:
1. Click on the "New" Button: It is located on the left side of the screen.
2. Choose a File Type: You can create documents (Google Docs),
spreadsheets (Google Sheets), presentations (Google Slides), and more.
3. Start Working: A new file will open in the Google Drive interface for you
to start working on.
 Uploading Files and Folders:
1. Click on the "New" Button.
2. Select "File Upload" or "Folder Upload": Choose the file or folder from
your computer that you want to upload to Google Drive.
3. Wait for the Upload to Complete: Once uploaded, the file will appear in
"My Drive."

7. Sharing and Collaborating Files in Google Drive

 How to Share Files and Folders:


1. Right-Click on the File or Folder: In Google Drive, right-click the file or
folder you want to share.
2. Click "Share": A sharing window will appear.
3. Enter Email Addresses: Add the email addresses of people you want to
share the file or folder with.
4. Set Permissions: You can choose if people can View, Comment, or Edit
the file.
5. Click "Send": The file is now shared with the selected people.
 Collaborating in Google Drive:

o Real-time Editing: If you give others permission to Edit a file, they can
make changes at the same time as you.
o Comments: People can leave comments on the document for feedback
or discussion.
o Notifications: You will be notified when someone makes changes or
comments on a shared file.
