Dear Masters,

This email is being sent again as a reminder regarding the security procedures and to highlight very
clearly once again that gangway watch is extremely important for good security and cannot be
compromised. Please also take not of below points with regard to the gangway watch and security in
port:

1. The AB on gangway duty should never leave the gangway unmanned and should leave the
gangway only after being properly relieved.
2. Gangway log should be completed diligently, recording details of each person going in and out
of the vessel.
3. Any visitor (irrespective of the position which includes port authorities e.g. Customs,
Immigration, PSC etc.) should be allowed on board only after checking his Photo ID and visitor
cards should be issued to them.
4. In case of suspicion, any bag with the persons coming on board should be checked by the
gangway watchkeeper for drugs/contrabands/alcohol.
5. IDs of the Stevedores should be retained with the gangway watchkeeper when they board and
returned before they disembark after collecting the visitor card from them.
6. Only one door at ganway should be open for access to accommodation. No other door should
be opened in port and if opened temporarily for some specific reason then it should be
continuously manned and monitored during the duration it is kept opened.
7. Crew should be very alert and close monitoring should be done of the sea around the vessel to
check possibility of divers next to the vessel in the water and not allow any boat nearby.
8. Security briefing should be carried out for all shipstaff, as part of their onboard familiarization.
9. We carry security guards on many vessels depending on the vessel’s trade, with whom the ship’s
team needs to work closely to achieve common company objective and Masters must provide
full support from vessel’s side. If vessel has security guards on board, meeting/discussion should
be held with the team leader to plan and work as a team (e.g. security duties in port,
drug/stowaway search etc.) to ensure highest level of security. In case of any doubt or queries,
please contact our office as usual.
10. Master and Ch/Off should take regular feedback from the security team leader after above
meeting, so that any issue is handled on the spot and not allowed to escalate.

Please carry out an unscheduled meeting with all ship staff to discuss the above points and highlight that
all crew members have to do their part sincerely, for onboard security to be effective.
