REVISION NOTES

Communication – It is a process which involves sharing of information, opinions, and ideas and believes
between two or more people through a continuous activity of speaking, listening and understanding.

Elements of communication cycle are:


 Sender : the person beginning the communication
 Message : the information that the sender wants to convey
 Encoding : the way the message is communicated
 Channel : the means by which the information is sent
 Receiver : the person to whom the message is sent
 Decoding : interpretation of received message
 Feedback : the receiver’s response to the message

Parts of Communication process:


 Transmitting
 Listening
 Feedback

Methods of communication: Verbal, Non-verbal and Visual

1. Verbal communication
Verbal communication includes sounds, words, language and speech. It helps us in expressing our emotions
in words and we can have a better connect.

Types of verbal communication: Oral and Written


Oral communication: This form of communication occurs face-to-face. It is the easiest and effective way of
communication.

Advantages of Oral communication:


 Saves time
 Instant feedback
 Least or no expenses

Disadvantages of Oral communication:


 No legal value
 No accountability
 Not useful for longer duration

Written communication: This form of communication involves writing words. It can be letters, circulars,
reports, manual, SMS, social media chats etc.

Advantages of Written communication:


 It has legal value

 It can be saved for later reference
 It has accountability

Disadvantages of Written communication:


 Time consuming
 May involve cos
 Not suitable for illiterate people

2. Non-verbal Communication
Non verbal communication is the expression or exchange of information or message without any spoken or
written words.

Ways of non-verbal communication


 Facial expressions
 Gestures or body language
 Touch
 Eye contact
 Para language

Advantages of non-verbal communication


 It supports oral communication
 Helps during noise
 Helps in dealing with language and cultural boundaries
 Helps people with physical challenges

Disadvantages of non-verbal communication


 Can be misunderstood or misinterpreted
 Vague and imprecise
 Conveys different meaning in different cultures.

3. Visual communication
Visual communication proves to be effective since it involves interchanging messages only through images
or pictures. It is simple and remains consistent across different places.

Feedback
It is very important as it gives a glimpse of what went right and what went wrong in communication. It also
helps the sender to enhance the communication further.

A feedback can be positive or negative.


Positive feedback is constructive, specific and motivates the person to improve.
Negative feedback given to the person leaves an impact when told in public.

Importance of Feedback
• It validates effective listening
• It motivates
• It boosts learning
• It improves performance

Types of Feedback
• Descriptive Feedback – It can be oral or written and gives a detailed feedback for the participant to
improve.
• Specific and Non-specific Feedback – It is a short feedback given to the participant.

Communication Barriers
At times there are hinderances that prevent a successful communication to take place.
These barriers may occur due to the following reasons:
1. Language differences
2. Inappropriate emotions
3. Environmental and natural conditions
4. Lack of attention
5. Cultural differences

Ways to Overcome Barriers to Effective Communication


 Use simple language
 Do not form assumptions on culture, religion or geography.
 Try to communicate in person as much as possible
 Use visuals
 Take help of a translator to overcome differences in language
 Be respectful of other’s opinions

Effective Communication
An effective communication promotes understanding, aids in decision making and developing good
relationships with others.

7 C's of effective communication


* Clear * Concise * Concrete * Correct * Coherent
* Complete * Courteous

Basic Writing Skills


A proper message uses correct and basic writing skills that include various parts of speech, different types of
sentences, punctuators etc.

Parts of Speech – Nouns, Pronouns, Adjectives, Verbs, Adverbs, Prepositions, Conjunctions,


Interjections

Sentence - A group of words that make a complete sense.

Kinds of Sentences
1. Assertive or declarative (statement)
2. Imperative (command or request or wish)
3. Interrogative (question)
4. Exclamatory (sudden feeling, surprise, wonder, pity)

Paragraph Writing- A paragraph consists of several sentences that are grouped together and discusses on main
subject.
