Self – Learning Module 1 on Introduction to MS Office Excel.
MS Excel is used very widely nowadays by everyone because it
is very helpful and it helps in saving a lot of time. It has been is being
used for so many years and it gets upgraded every year with new
features. The most impressive thing about MS Excel is that it can be
used anywhere for any kind of work. For example, it is used for billing,
data management, analysis, inventory, finance, business tasks,
complex calculations, etc. One can even do mathematical calculations
using this and can also store important data in it in the form of charts
or spreadsheets.
MS Excel can be accessed from anywhere and everywhere. You
can even work on MS Excel using mobile if you don’t have laptops.
There are so many benefits of using MS Excel that it has become an
inevitable part of the lives of lives of millions of people. MS Excel has
numerous tools and features that make one’s work easy and saves
one’s time also!

Introduction:

Microsoft Exce l is a computerized worksheet. It has the


standard feature of an electronic spreadsheet which uses cells that
are represented in rows and columns designed to perform arithmetic
operations. It is used to calculate numeric information such as
budgets, income, expenses, scientific and statistical data. It can also
organize information such as inventory, work schedules, projects,
invoices, and address lists. It can also be used to7 create forms and
summarize data in charts and Pivot tables.

MS Excel is widely used in accounting and financial


applications, as well as statistics and engineering calculations. The
program supports and displays graphs, charts and histograms from a
given set of groups of data.

This module will help you define what MS Excel is is MS Excel ,


its window elements and discover new features of the MS excel
program. It also aims to you help you open and run the MS Excel
program properly, and navigate navigate the spreadsheet interface
effectively.

This module will also help you familiarize the different tools tool
and commands MS Excel as well as entering data into

Lesson 1: What is Microsoft Excel?

Excel is a spreadsheet program that allows you to store,


organize, and manipulate data. Data can be text, numbers,
and formulas. The data is entered into cells which are organized
into columns and rows. Many people use Excel to keep a
budget, use charts and graphs to show data, track sales for a
business, and much more. Figure 1 -

The Excel interface is where you see and use the tools in
Excel on the screen. This includes the way the tools are
organized and presented to you, the software user. You will
learn about The Welcome Page, The Ribbon, Quick Access
Toolbar, and File Tab.

The Welcome Page

When you first open Excel 2016, you will see the Welcome
Page (see Figure 2). Take a moment to browse the many
templates available for specific uses. Notice the Search Box
near the top-center where you can search for templates for
other uses.

1 Provides access to the most common Excel commands including Save,
Quick Access
Undo, Repeat, and Copy. You can customize, add or delete buttons on
toolbar

2 Title Bar Shows the open program and the name of the open file.

Control Maximize/Restore which maximizes/restores the window, and Close
Buttons which closes the window.
4 File Menu Provides access to the menu in Office 2016.When you click this button it
shows the following menus: Info, New, Open, Save, Save As, Print
Share, Export, Publish, Close, Account, Options
5 Ribbon It contains the commands organized in three components:
a (a) Tabs – provide access to many tools and contain related groups

b (b) Groups – organized related commands

c (c) Commands – appear within each group


6 Shows the cell reference of the active cell. This can also be used to

The Ribbon
The Ribbon is a toolbox at the top of the screen. It’s organized
into three main parts (see Figure 3):

▪ Tabs – Tabs represent a general activity area. For


example, the “Home” has the tools most often used, and
the “Insert” tab has the tools to “put objects into” the
work area.

▪ Groups – Groups show related “tools” together more


specifically, like “Font” or “Alignment”.

▪ Commands – A command is one of the actual “tools”,


which can be a button, expandable menu, or a box for
entering information.

Quick Access Toolbar

The Quick Access Toolbar is above the Tabs and has the
commands used most often (see Figure 4).

File Tab

The File Tab is where you can create a New document, Open
an existing one, Save changes, Save As a different file with a
different name, Print the current workbook, and many other
options.

Try it! Click the File Tab and observe the options described.
This area is called the “backstage view”. Click the “back” arrow
at the top to return to the main Excel work area.

Exercise – “My Pet Store Earnings”

Let’s get to work in Excel! In this exercise, you will operate a pet
store for a month and keep track of your sales for that month.
First you will learn how to enter information into a cell.

Most of the work in Excel takes
place in the rectangular boxes
called “cells”. Cells make up the
large white grid called the
“worksheet”. Each cell has a “cell
address” made up of a letter for
the column, and a number for the
row (see Figure 5).
