Account Base Segment Record

BASE SEGMENT RECORD OVERVIEW


The Account Base Segment record contains current and historical information for
the account. Customer service personnel utilize this record when adding accounts
or changing account information. Inquiry screens are available for viewing
account information. The Account Base Segment record controls the following
processing options for an account:
 Billing cycle
 Processing flags
 Block codes
 Card numbering scheme
 Interest variances
 Direct debit and credit
 User fields.
Your customers can have multiple Account Base Segment records in CMS. These
multiple accounts can be directed to a single Customer Name/Address record so
that all accounts for the customer use the same mailing address for statements and
correspondence.
CMS identifies each Account Base Segment record by a unique account number.
You can assign an account number to the account when you add the Account Base
Segment record. Or, CMS can automatically assign an account number using the
parameters you set up in the Account Base Segment/Embosser Number
Generation Table on the Logo record (ARML16).

 You can set up the same number for the customer number and
account number. However, CMS recognizes the customer
number as separate and distinct from the account number. If
multiple accounts are going to be used for one customer, you
will want the customer number to be different from the account
numbers.

You can add the Account Base Segment record by using the New Account Setup
function (ARSB) or by using the add mode of the Account Base Segment function
(ARAB).

SETUP ACTIVITY
In the last section you added a new Customer Name/Address record. In this setup
activity, you will add a new Account Base Segment record to go along with the
customer demographics. As before, you will complete only those fields required
for account setup. During the Review activities you will add more information.
Use the add function (ARAB) to add your record.
Your instructor will provide the information that you need. Write it on the line
below:
Organization number =
Logo number =
Default cash plan number =
Default retail plan number =
Owning branch/store number =

1. Enter ARAB in the COMMAND field and press Enter.

2. Type in the ORGANIZATION and LOGO number provided by your instructor.

3. Type a “/” (slash) in the ACCOUNT field. Leave the RELATIONSHIP NUMBER
field blank.

4. Press Enter. ARAB page 01 will display.

5. Write down the account number assigned.

6. Enter the short name - last name first – space – first name. Do not complete
any other fields.

7. Press Enter on page 01. CMS will highlight the fields that require data.
Which fields require information?

8. Assign a $5,000 credit limit.

10. Enter a billing cycle.

11. Press Enter. Page 02 displays.

that display detailed information about the account. For discussion purposes, the
fields have been grouped as follows:
 Account setup fields
 Maintenance fields
 Date fields
 Account code fields.

The Field Security record (ARFS) can be used to ensure that required fields are
populated. If a required field is left blank, CMS highlights the field to alert you to
provide the needed data.

RELATED FIELDS
SHORT NAME Short name of the account holder. Certain reports list account
information in alphabetical order by short name. For personal
accounts, enter the short name in last name, first name order
without punctuation. For business accounts, enter the name of the
business.

 The SHORT NAME is updated when NAME LINE 1 on the


Customer Name/Address record (ARMN02) is maintained if the
SHORT NAME field on the Organization record (ARMO04) is set
to a value of Y or M.

CREDIT LMT Credit limit of the account in whole monetary units. If a


temporary line of credit is in effect, TEMP displays after this
field.

CUSTOMER NBR Customer number that identifies the Customer Name/Address


record to which this account is assigned. A valid customer name
and address must be on file for this account.

Section 5–8
Account Base Segment Record

ALT CUST Code that indicates how CMS generates statements when an
alternate Customer Name/Address record exists for the account.
The values are:
A = Alternate customer active; send statement to
alternate address until expiration date
B = Alternate customer active; send statement to
both addresses until expiration date
C = Relationship customer active; send statement
to alternate address
Blank = No action; disregard alternate customer.
(Default)

EXPIRES Date on which the alternate customer address expires for


statements.

ALT CUST NBR Number that identifies the alternate Customer Name/Address
record containing an alternate address for statements.

CRD# SCH Card numbering scheme that determines the card numbers that
you can assign to Embosser records associated with the account.
The values are:
0 = Standard, nonrelationship account in which
the account number and all card numbers are
the same (Default)
1 = Relationship account in which the account
number and all card numbers are the same
2 = Account number and all card numbers are the
same; each card includes a unique sequence
number; valid only for accounts processed by
a revolving/retail logo
3 = Account number and all card numbers are
unique.

BILLING CYCLE Cycle code that indicates the day of the month that CMS performs
cycle processing for the account. Valid entries are 01 to 31.

CMS 8.0

FREQ Code that indicates the frequency in months that CMS generates
statements for the account. The value in this field defaults from
the Logo record (stmt freq on ARML13). Use this field only if
generating statements for the account at a frequency that is
different from the frequency defined in the Logo record. The
values are:
01–12 = Frequency at which to generate a statement,
in months. To generate a statement every two
months, type 02 in this field; to generate a
statement every three months, type 03 in this
field; and so on.
62 = Generate a statement during the next CMS
daily run. Entering this value overrides all
other conditions and forces CMS to generate
a statement, even if a block code is in effect
that suppresses statements.
99 = Do not generate statements. CMS maintains
account activity on the Online Accumulated
Transactions file (AMOS).

CUST Two part field that determines whether CMS sends statements and
STATEMENT/ letters to the owner only or both the owner and co-owner. The
LETTER first part of this field controls statements. The values are:
0 = Send statements to the owner only (Default)
1 = Send statements to both the owner and the co-
owner.

The second part of this field controls letters. The values are:
0 = Do not send letters to the owner or co-owner
1 = Send letters to the owner only (Default)
2 = Send letters to both the owner and co-owner.

Once the account is established, you may need to alter the way the account
processes, request statement reprints and letters or update account information.
The following fields are often used for these purposes:

RELATED FIELDS
STMT FLAG Code that indicates how CMS generates a statement for this
account. The values are:
Blank = Normal statement (Default)
0 = User defined statement hold code 10
1–9 = User defined statement hold code 1 to 9
H = Hold statement
R = Returned statement
S = Sign out statement
O = Online/archive-only statement
U = Suppress statement; do not generate
(overrides MAX MONTHS logic on ARMY)
Z = User defined value that suppresses statement
generation (overrides MAX MONTHS logic on
ARMY).

STM RQ Two part field used to request a reprint of the billing statement for
a previous cycle or to request an interim statement.
The first part of this field is a code that indicates whether to
request a reprinted statement or an interim statement. The values
are:
C = Request a reprint statement using the current
billing address (Default)
P = Request a reprint statement using the previous
billing address
I = Request an interim statement during the next
CMS daily run and do not assess a fee
F = Request an interim statement during the next
CMS daily run and assess the fee defined in
the Service Charge/Fee table (ARVM).

The second part of this field is the date on which the original
statement was produced. A date is required if the first part of this
field is C or P. The date must be blank if the first part of this field
is I or F. You can refer to the Online Statement History Display
function (ARSD03) to determine valid statement dates for this
field.

Section 5–12
Account Base Segment Record

 The Online Statement History Display function (ARSD) can


display detail and recap statements. However, only detail
statements can be reprinted; recap statements cannot be
reprinted even if the statement date displays on ARSD03.

BLK CODE 1 / 2 Two part field that identifies the block codes assigned to this
account. Block codes control specific processing options at the
account level. Valid block codes are the letters A to Z and blank
(or space). Block code parameters are defined by your
management on the Logo record block code matrix on ARML07
and ARML08.

RESTRUCTURE Flag that forces an account to restructure. The account must be


FLAG assigned to the VisionPLUS Collections, Tracking, and Analysis
system (CTA) for collections related activity. The values are:
Y = Yes, force the restructure
N = No, do not force the restructure. (Default)

RETURN MAIL Three-part field that indicates the number of times mail has been
returned for the owning customer record, a user-defined reason
code that identifies the type of mail previously returned, and the
date of the previously returned mail. You must manually enter
values into these fields each time mail is returned.

The first part of this field indicates the number of times mail has
been returned. The values are 00–99. If this field is greater than
zero, CMS produces statements only online. In addition, CMS
does not produce letters from EXAM

 CMS resets the counter to 00 if the customer’s address is


maintained on the Customer Name/Address record (ARMN02)
if the RETURN MAIL field on the Organization record (ARMO04)
is set to a value of Y or M.

DISPLAY REQ Flag that requests a master file display for this account. The
values are:
Y = Produce a master file display (ARU906 must
be in the daily job stream)
N = Do not produce a master file display.
(Default)

LETTER REQ User defined code that identifies a letter to be generated during
the next CMS daily run. CMS clears this field (resets the field to a
blank) each CMS daily run.

 Letters can also be requested through the ASM and LTS.

PERM Code or initials used to identify the permanent collector assigned


COLLECTOR to the account.

REVIEW 1

In this exercise you will maintain some of the fields on page 01 of the Account
Base Segment record as well as see the impact to the account when information in
changed on the Customer record.
Your instructor should provide a block code value to be used for this review.
Write it below.

1. Navigate to page 01 of the Account Base Segment record.

2. Tab to the BLK CODE 1 field and type the block code letter provided by your
instructor.

3. Tab to the return mail flag and enter the following in the three part field:

Part 1 = 01 to indicate one piece of mail has been returned


Part 2 = stmt to indicate that a statement has been returned
Part 3 = date of 01012000

What action does CMS take when the return mail counter contains a value
greater than zero?

4. Press Enter. Page 02 displays.

5. Type ARIQ in the COMMAND field and press Enter. The Account Inquiry
screen displays.

 The Account Inquiry screen is covered in detail in section 12 of


this manual.

Page 01 of the Account Base Segment provides a number of date fields that can
assist you in identifying when maintenance was completed for the account or
when certain account functions occur. Many of these fields are updated by the
system.

Use the top portion of Page 02 to display and enter credit reporting scores and the
date the last credit bureau report was obtained. CMS holds three different credit
scores – BUREAU SCR, IN-HOUSE SCR, and MISC SCR. You may also use the
following fields – TERMS/CONDITIONS and TERMS/CONDITIONS DT to identify
special terms or conditions that apply to the account.
The second part of the screen displays warning codes 1 to 7. These codes are
used by the authorization system to reduce authorization processing time and
increase flexibility in performing qualifying tests for authorizations. The AUTH
CRITERIA, CORP-ID-NUMBER, CUST/CO GRP CODE , and COST CTR RPT fields are
used for processing commercial cards.
The third part of the screen displays three associated parties (guarantors,
cosigners, authorized signers, and user defined parties) and enables you to control
how CMS mails statements and letters to the parties associated with the account.
The fourth part of the screen is display only information for transferred accounts.
If the Account Base Segment record currently displayed is the new (“transfer to”)
account, these fields reflect data for the old (“transfer from”) account. Conversely,
if the Account Base Segment record currently displayed is the old (“transfer
from”) account, these fields reflect data for the new (“transfer to”) account.
The last three fields—recency flag, date last reaged, and by—indicate the recency
delinquency level of the account, the date on which the account was last reaged,
and the operator ID of the person who reaged the account.

WARNING CODES

Seven warning codes are displayed on the Account Base Segment (ARMB) page
02 for use by the Financial Authorization System. These codes can be set online
or through nightly batch processing. CMS decides which warning codes apply
and updates them daily. You can maintain some of these codes manually, but if
the condition still applies on the account, CMS puts the warning code back on the
account in the next processing run. The warning codes are used as follows:

WARNING CODE Warning code 1 is set online realtime by the system when a block
1 code is placed on the account that is set to impact authorizations.
The authorization code assigned to a block code in the Logo
record (AU on ARML07 and ARML08) determines whether to
authorize or decline authorizations for the account. The values
are:
0 = Normal authorizations (Default)
1 = Decline
2 = Decline and pick up
3 = Decline with fraud code
4 = Decline with referral
8 = Decline with a user exit (cannot be
maintained)
9 = VIP account; always approve.

WARNING CODE Warning code 2 is set either manually or by the system during
2 batch processing. The values for this warning code contain
delinquency and charge-off information. The values are:
0 = Normal account (Default)
1 = Charged-off account with a zero balance
2 = Charged-off account with a balance greater
than zero
3 = Account is at delinquency level 1
4 = Account is at delinquency level 2.

WARNING CODE Warning code 3 is set either manually or by the system during
3 batch processing. The values for this warning code are based
upon the number of returned checks over the life of the account.
The values are:
0 = No returned checks (no action)
1 = Between 1 and 5 returned checks
2 = More than 5 returned checks.

WARNING Warning codes four and five are user defined. Valid values are 0
CODES 4 - 5 – 7. You may set these codes manually and then define the
authorization responses on the Processing Parameters record
(OFMP) page 05. Customization is required if warning codes
four and five are to be set by the system during batch processing.

WARNING CODE Warning code 6 is set manually. This warning code is used to
6 allow “restricted use” of cards for card schemes 0 or 1. This is a
private label feature that might be used to restrict card usage for
Mr. only, Mrs. only, etc. When used, a response is sent back to
the point of sale informing the clerk to verify that the cardholder
is eligible to utilize the card. The values are:
0 = Cards are not restricted (no action)
1 = Cards are restricted to Mr. only
2 = Cards are restricted to Mrs. only
3 = Cards are restricted to Mr. and Mrs.
4 = Cards are restricted to Mr. and dependents
5 = Cards are restricted to Mrs. and dependents
6 = Business account.

ASSOCIATED PARTIES

A Customer Name/Address record can be created to hold demographic


information for a guarantor or additional parties on an account. Each account can
have up to three associated parties in addition to the owner and co-owner. The
Account Association fields link the account to the associated Customer
Name/Address records and control whether statements and other correspondence
are sent. The ltr fee fields determine if CMS assesses a fee for letters sent to
associated parties.

Account Base Segment Record

RELATED FIELDS
A1 – A3 Two part field that identifies associated parties for the account.
The first part of this field is a code that indicates the type of
association with the account. The values are:
0 = Not used (Default)
1 = Guarantor
2 = Cosigner
3 = Authorized signer
4 = Not used
5–9 = User defined.

The second part of this field is the customer number that


identifies the Customer Name/Address record of the associated
party.

TYP1 – TYP3 Three part field that defines the nature of a guarantor’s
association with the account. This field is required if the
corresponding A1–3 field is 1 (guarantor). The first part of this
field indicates the relationship between the guarantor and the
account holder. The values are:
0 = Not used (Default)
1 = Guarantor is married to the account holder
and lives at the same address
2 = Guarantor is not married to the account
holder and lives at the same address
3 = Guarantor is married to the account holder
and does not live at the same address
4 = Guarantor is a not married to the account
holder and does not live at the same address.

The second part of this field indicates the date on which the
guarantor’s association ends.

The third part of this field identifies the amount guaranteed by the
guarantor.

STMT/LTR1 – Two part field that indicates whether CMS sends statements and

The RESIDENCE ID represents the state, province, or country in which the account
holder resides. For private label accounts, CMS uses the RESIDENCE ID to
determine which Processing Control Table ID serves as the default control for
account, service/charge fee, insurance, and interest processing.
The ISSUANCE ID represents the state, province, or country in which the account
was issued. This field displays only for bankcard accounts. CMS uses the
ISSUANCE ID to determine which Processing Control Table ID serves as the default
control for account, service/charge fee, insurance, and interest processing.
Although typically used to represent the geographical area in which the account
holder resides or where the account was issued, the RESIDENCE ID and ISSUANCE ID
can also be used to represent a special grouping of customers. Since the ID’s
control how the account processes, you can define ID’s for staff accounts, VIP
accounts, and the like.

SPECIAL PRICING CONTROLS

To establish special pricing controls at the account level use the following fields
—pricing ctrl, start date, and expiration date. These controls override the
residence id field for private label accounts or the issuance id field for bankcard
accounts.
The PCT LVL OVRRIDE, START DATE, and EXPIRATION DATE fields can be used to
override the processing control level assigned to an account.
Using these fields, you can temporarily point an account to a different
combination of account control, service charge/fee, insurance and interest
processing parameters for a specific period of time. These fields might be used
to:
 “Re-price” an account temporarily in order to offer a more competitive
rate
 Tailor interest rates and account features for preferred customers
 Offer introductory or “teaser” rates on particular types of purchases.

prepayment feature is selected at the account level (PREPAY

PREPAY MTHS Number of consecutive months in which the entire computed


payment due can be satisfied by a prepaid amount. The default
value for this field is set in the Logo record (PRE-PAY MONTHS on
ARML14). You can change this value at the account level.

PREPAY ZERO Code that determines if the prepaid amount is reset to zero for the
account. The default value for this field is set in the Logo record
(PREPAY ZERO on ARML14). You can change this value at the
account level.The values are:
0 = Set prepaid amount to zero anytime the
account has a zero balance or a credit balance
1 = Set prepaid amount to zero at statement time
if the account has a zero balance or a credit
balance
2 = Never set prepaid amount to zero.

This screen indicates the 12 rate variances currently in effect and the 12 pending
rate variances for the account. The effective date identifies the last effective date
of the current rate variances. The rate variances apply to credit plans on the
account associated with the respective rate table occurrence indicators. For
example, rate variance 1 applies to credit plans assigned rate table occurrence
indicator 1, rate variance 2 applies to credit plans assigned rate table occurrence
indicator 2, and so on, for the remaining rate variances 3 to 12.
This screen contains additional account information, including the plan numbers
of the default cash and retail credit plans, also called “phantom” plans. CMS uses
“phantom” plans for disclosure purposes when an account does not have active
cash or retail credit plans. The DEFAULT CASH / RETAIL PLAN field displays for
bankcard accounts only (TYPE OF ACCOUNT on ARML01 is X).

Account Base Segment Record

SETTING A TEMPORARY CREDIT LIMIT

Use the TEMP CREDIT LINE and EXPIRES fields to issue a temporary credit limit on
an account. The temporary limit can be greater than or less than the actual credit
limit on the account. When a temporary credit limit is in effect, the temporary
limit is used in the calculation of the open-to-buy or available credit for the
account.
Additionally when a temporary credit limit is in effect, the temporary limit
displays on all account inquiry screens along with a TEMP literal. The actual
credit limit still displays on the Account Base Segment record (ARMB) page 01.
The TEMP literal displays on ARMB01 to alert you that a temporary limit is in
effect.

RELATED FIELDS
TEMP CREDIT Temporary line of credit for the account in whole monetary units.
LINE This amount overrides the credit limit assigned to the account
(CREDIT LIMIT on ARMB01). Default is zero.

EXPIRES Date on which the temporary line of credit expires. This date must
be equal to or greater than today’s processing date. This field is
required if you enter a temporary line of credit. Default is zero.

INTEREST REBATES

You can include an account in a preferred interest rebate promotion by using the
five PREFER fields on page 06 of the Account Base Segment. This feature can be
used to encourage account usage on new and dormant accounts and to promote
loyalty and customer retention.

TRANS AMT Total amount of sales transactions during the preferential


promotional rebate program. Once the preferred minimum
amount has been met, CMS also adds additional sales to the
prefer transaction amount field on the Credit Plan Segment
(ARMA) page 07.

EXAMPLE:
The screen above indicates that interest will be rebated on amounts exceeding
$500.00 if a minimum of $500.00 posts to the account between January 1 and
June 6. The interest rebate is calculated on July 7. If the following transactions
posted during the prefer start and end dates:

Sale $150.00
Sale $375.00
Sale $ 65.00
Sale $ 85.00
Total $675.00

The Account Base Segment TRANS AMT increases with each sale during the start
and end dates. When the TRANS AMT reaches $500.00, CMS updates the Credit
Plan Segment PREFERRED TRANS AMT with any transactions above $500.00. After
the PREFER END DATE is reached, CMS calculates the interest rebate. The interest
rebate is posted to the account on the PREFER PROMO DATE using the following
calculation.
$175.00 * current interest rate * PREFER INTEREST DAYS (60)

 Since a billed-not-paid bucket can never be negative, CMS


reduces the interest bnp to zero and then applies a credit
amount to principal.

SETTING DIRECT DEBIT PARAMETERS

Customers that wish to satisfy payment for the CMS account by directly debiting
an amount from an outside banking account should provide the details needed to
complete the direct debit fields on the bottom of page 06. These details can be
input at account setup or at a later date. Cardholder’s can select from four
different payment options. The payment options include:
1. Minimum payment amount as calculated by CMS
2. Fixed payment amount nominated by the cardholder and not tied to
any fixed payment credit plans
3. Percentage of the account statement balance
4. Full statement balance.

 Payment options 2, 3, and 4 are considered “nominated”


payments.

DD/ACH Code that indicates whether to bill the account through direct
PAYMENT debit. The values are:
P = ACH processing is active. Generate a prenote
on the next processing day. CMS
automatically resets this field to Y, C, or I
during the Posting run (ARD140) that
generates the prenote.
N = Not currently participating in direct debit
(Default)
Y = Active minimum payment participant
E = Direct debit processing expired (defined by

AMT/% first part of this field is a code that indicates whether the direct
debit amount is a fixed amount, the full account balance,
minimum payment, a percentage of the account balance, or not

A = Fixed payment amount. Enter the amount in
the second part of this field.
F = Full account balance (cycle-ending balance).
Leave the second part of this field blank.
M = Minimum payment amount calculated by
CMS. Leave the second part of this field
blank.
P = Percentage of the account balance (cycle-
ending balance). Enter the percentage in the
second part of this field.
N = Not used. Leave the second part of this field
blank. (Default)

The second part of this field is the fixed payment amount or the

Customers that wish to utilize the CMS account to directly credit an outside
banking account should provide the details needed to complete the direct credit
fields on the bottom of page 06. These details can be input at account setup or at
a later date.
To pay for this credit, the customer’s CMS account is debited for the amount of
the direct credit. The direct credit feature allows cardholders to:
 Select the direct credit amount
 Determine when the direct credit is generated each month
 Define the direct credit start and expiration date.
Direct credit can also be used to refund credit balances to the cardholder’s bank
account.

REPORTING Fields provided for an external report-writing program to


LEVELS consolidate and report relationship accounts based on reporting
level. Each account to be grouped for consolidated reporting
should specify the same reporting level. This feature allows you
to group accounts by branches, districts, groups, and other user
defined categories. CMS does not provide any reports based on
this field.

ADVERSE User defined codes that indicate the reason used to decline the
ACTIONS DATA customer’s request for credit or to decrease the amount of credit
requested.

PROMO CODES Two part field that indicates a promotion code and a status flag
for each promotion code. The first part of this field is a user
defined code that identifies a promotion for the account. The
second part of this field is a flag that indicates the status of the
promotion. The values are:
0 = Promotion is not active (Default)
1 = Promotion is active.

CREDIT CLASS Two part field that indicates the credit classification and
performance index. This field provides an indication of the
customer’s payment performance. This field does not display
during the add mode (ARAB).

more information on credit classification.

LAST RECLASS Date on which this account was last reclassified. This field
displays only on ARMB and ARQB.

NEXT RECLASS Date on which this account is automatically reclassified. The

INSURANCE Flag that indicates if an insurance product has been added to the
FLAG account. The value in this field is system-generated; you cannot
change it. The values are:
0 = No insurance products
1 = Insurance product added to account.

AUTH LIMIT Flag that indicates whether the parameters established on the
OVERRIDES Embosser record for maximum daily authorizations may be
overridden. The values are:
0 = Override not allowed (Default)

used to indicate the ownership of the account and for reporting purposes:

 PENDING BANK/BRANCH/STORE.

The ORIG BANK/BRANCH/STORE defines the first owner of the account, the
OWNING BANK/BRANCH/STORE indicates the current ownership of the account and
the PENDING BANK/BRANCH/STORE is used when the account moves from one
owner to another.
During batch processing of transactions for bankcard accounts, posting replaces
the default store number of 999999998 with the OWNING BANK/BRANCH on all
transactions processed for this account. This allows liability to be reflected
properly under the owning branch for the general ledger interface.

 Values entered into these fields must be valid store numbers in


CMS or MBS.

ORIG The original owner of the account. This field is not open for
input. The Credit Decision Management system (CDM)
populates this field from the owning bank/branch/store when the
account is opened. If the data is not passed from CDM, CMS
populates this field using the store of first purchase.

OWNING The current owner of the account. This field is open for input in
the add mode (ARAB). It may also be populated by CDM or the
store of first purchase.

Once the field is populated, you cannot maintain it.

 The OWNING BRANCH field is required for bankcard accounts.

PENDING Use the pending fields to transfer account liabilities to a new


branch or store.
