Paragon scanning
The following documentation provides an overview of the installation and software process for using a scanner
with the Paragon system.

Paragon has tested and validated PaperPort to work as described in this documentation. However, Paragon
customers can choose different scanner hardware/software combinations. The following are requirements for
other scanner/software solutions:

• The scanner must be TWAIN-compliant.

• If not a Citrix client, the scanner software must be configurable to save .JPEG files with the name
pgimagexx.jpg, where xx are numeric values.

The overall configuration of the scanner software follows the same process as described by the PaperPort
documentation.

Paragon cannot support the numerous permutations of scanner hardware and software. While other Paragon
customers have successfully implemented other scanner solutions, Paragon support cannot directly troubleshoot
solutions that are outside of the Visioneer/PaperPort solutions.

Paragon Reference Masters setup

You must define one master and one system parameter to use the scanner in Paragon. The system parameter
controls where images are temporarily stored. Person ImageTypes are defined for use on the Images tab in the
Person Master in Paragon Registration and the Images tab in Release of Information.

Set up system parameters and the .ini file

About this task

To access stored images, you must modify the Paragon.ini file for each PC that is used for scanning.

Procedure

1. Open the Paragon.ini file in the same folder as pgscan.exe. Under the [Applications] area, add
SCAN_TEMP_DRIVE=C, (C:\, C:\temp\) or the temporary folder on the user’s local drive.
2. Log into Reference Masters and click Common on the toolbar.
3. Click System Parameters on the toolbar.
4. Locate the parameter SCAN_TEMP_DRIVE.
5. Do either of the following:
◦ In the value field, set the value to match what you entered in the Paragon.ini file.
◦ In Citrix systems, enter the letter used by Citrix to map the user’s home drive.

Set up person image type codes

About this task

You must set up the Person Image Types in Paragon Reference Masters. A code activates each label section on
the Image tab and enables you to label each image section on the Image tab in Person Maintenance.

Note: The order in which you enter these codes affects the order in which they appear on the Image tab in
Person Maintenance.

Procedure

1. Log on to Paragon Reference Masters and click Common > Codes.

2. Click New and select Person Image Types from the list.
3. Enter the Code, the Description, and then click OK.
4. Repeat Steps 3 - 6 as necessary for each image section in Person Maintenance.
5. Assign these image types to your facility, and then click OK to save your changes.

The following example illustrates codes that were created, selected, and saved in the Common Codes function of
Paragon Reference Masters.

“Image for” appears on the Image tab by default. The Code Description that you entered for the Person Image
Type code is inserted after the "Image for" text.

Any image section that does not have a Person Image Type code remains inactive and displays the following:
.

• For the Paragon Release of Information application, 8.5” x 11” documents are used, so select either Color
Image 8.5” x 11” or Scan Document OCR Quality.
• For the Registration application, images such as driver’s license or insurance cards, select the Business
Card option.

Note: The higher the resolution that is used, the larger the images are in the database. As a best practice,
configure images in greyscale mode with 200 dpi resolution to store images of acceptablequality and image size.

Using the WebCam utility

The Paragon WebCam utility scans the computer for all web cameras and enables you to select which camera to
use for capture. After a web camera is selected, you can either modify images or save them to the patient record.
With this new feature, there is no longer a requirement to store the images on specific PCs.

If you prefer, you can upload from a file rather than accessing the image from the camera.

Install PaperPort 10.0 or higher

About this task

If your facility is using a different type of scanner, the set up of the scanner and the associated software can be
somewhat different than what is described below.

Complete the following steps to install PaperPort 10.0 or higher.

Procedure

1. Once the software is installed, from the Windows task bar, click the OT icon.
2. When the Visioneer 9420 window opens, click the Scan icon.

3. Highlight the Scan icon and right-click to open the Scan Properties window.

4. Click the Options tab.

Attention: STOP!! READ THE FOLLOWING BEFORE CONTINUING ANY FURTHER.

You can set up your scanner without having to use PGSCAN.EXE by simply following the steps below.

◦ If you are a Citrix user, follow those steps instead.

◦ If you are scanning your images without any issues, you do not have to make any changes.
◦ If you change scanners, you may want to consider not using PGSCAN.EXE.
Note: Carefully read the Notes section prior to implementing this change. There are many different
scenarios that can be utilized based on the scanner being used, the version of PaperPort software being
used, and the version of scanner software. The Notes section will try to define how this should work based
on our configuration where PgScan.exe is being used and how it should work without using PgScan.exe.

The Notes section also attempts to explain how to define if you are on a Citrix platform. Please read
carefully through those steps as well if you are a Citrix user.

Normally when setting up a PC to scan images into Paragon, PaperPort software is setup to call the
Paragon program 'pgscan.exe.' Sometimes there are problems setting up PaperPort to use pgscan.exe as
different versions of software and scanners are in use at different sites. With this change, it is no longer
required.

Non-Citrix systems that are already using pgscan.exe

Note: If you are already using pgscan.exe and scanning is working for you, there is no need to make any
changes. If you prefer not to use pgscan, then you must make the changes to the Paragon.ini file and also

remove pgscan.exe from PaperPort. Simply highlight the icon used in PaperPort, right-click and select "Delete
Program Link."

However, you cannot use this new feature either if your PaperPort software and One Touch software creates
bitmaps. It is required that .jpg files are created in order to paste the images. If you prefer, you can create the
image and then save them as .jpg files using MicroSoft Paint.

To set up a non-Citrix system without using pgscan but using PaperPort

About this task

It is assumed that the user has installed the software that is required for the scanner they are using.

Note: If you have set up pgscan.exe to be used in PaperPort, you must then remove pgscan.exe from PaperPort
by accessing your PaperPort software, highlighting the icon used for pgscan.exe, right-clicking and selecting
"Delete Program Link."

The paragon.ini must be modified to not use pgscan.exe.

Complete these steps:

Procedure

1. Open the paragon.ini file in Notepad and in the [Application] section, add the line:
PGSCAN=NO
2. Save the file.

What occurs is that in the Person Master Maintenance window on the Images or Photograph tab when you
paste an image, Paragon will get the scanned image from the Windows user temporary path, instead of the
pgimage.jpg file from the path defined by system parameter SCAN_TEMP_DRIVE.

Set up Citrix systems without using pgscan but using PaperPort

About this task

It is assumed that the user has installed the software that is required for the scanner they are using.

Note: If you have set up pgscan.exe to be used in PaperPort, you must then remove pgscan.exe from PaperPort
by accessing your PaperPort software, highlighting the icon used for pgscan.exe, right-clicking and selecting
"Delete Program Link."

The paragon.ini must be modified to not use pgscan.exe.

2. You must also define the user's Windows user temporary path.

For example, if the Paragon user logon ID is 'dadams' who signs into Windows with login 'abc123', then the
user's Windows temporary path may have the value C:\Documents and Settings\abc123\Local Settings\
Temp.

If the system parameter SCAN_TEMP_DRIVE has the value "J" on your system, then the following would
need to be added to the paragon.ini file:

[dadams]

SCAN_TEMP_DRIVE=J:\Documents and Settings\abc123\Local Settings\Temp

This would need to be done for all users who scan images into Registration.

This value for SCAN_TEMP_DRIVE overrules the default value in the [Application] section of paragon.ini.

3. It is possible to have some Citrix users who continue to use pgscan.exe and others who do not.

For the users that will not be using pgscan.exe, set them up as shown above.

For users continuing to use pgscan.exe, they still need to be setup in the Citrix server's paragon.ini file, but
give them a value that matches that of SCAN_TEMP_DRIVE in the Reference Masters application.

For instance if user 'bhenry' with Windows login 'ep1234' still uses pgscan.exe, which is setup to create the
pgimage.jpg file on the user's C:\temp folder, you would add this to the Citrix server's paragon.ini file.

[bhenry]

SCAN_TEMP_DRIVE=J:\Temp

The pgscan.exe program on their desktop would continue to create the C:\temp\pgimage.jpg file as before
and the Paragon application can successfully paste the image into the Person Master record.

Note: This is only effective if the user's scanner software is setup to create JPG, not BMP, files in the
PaperPort application. You can, however, create the image and save it as a .jpg using MicroSoft Paint.

 4. In Step 1, click the Browse button and locate pgscan.exe in the Paragon directory.
Note: Before you can add an application to Microsoft Paint, you must select a Microsoft executable
application to have the icons appear. For example, browse in the Windows directory and select
Explorer.exe. Once selected, a list of icons will be associated with this program. Select one of the icons and
then browse for pgscan.exe. The system will not allow you to add without an icon being selected and the
pgscan.exe icon does not appear.
5. In Step 2, name the application “pgscan.”
6. In Step 3, select an icon.
7. In Step 4, click the JPEG Compressed File (*.JPG) option.
8. Click the Add button.
9. On the Image Documents tab, highlight pgscan.
10. Click Apply and then OK.
11. Back on the Scan tab, click the New button to create a new configuration.

12. When the Scan Configuration Properties window opens, rename the new configuration to “pgscan card.”

13. Click the Page Settings tab and in the Size drop-down field, select Business Card 3 1/2 x 2 in.

 14. Click Apply and then OK to save your changes.
15. Back on the Scan tab, verify that under the Select destination column, “pgscan” is selected along with
“pgscan card” under the Select configuration column.
Note: You will have to refresh the screen in order to have Pgscan appear as an icon.
