Tally prime Software is one of the most financial accounting systems used in India.
For small, medium and large enterprises, it is complete enterprise software. It is a
GST software with an ideal combination of function, control,& inbuilt
customizability.

Tally software is used for storing all the business transactions of each account in
detail. Today Tally has made calculations is very simple, It has become part of all
businesses.

Tally Prime, the latest version of Tally is specially designed, for business owners
empowering them to securely access actionable insights and business reports from
anywhere, at any time and from any device.
History of Tally
Tally Solutions, formerly known as Peutronics Pvt Ltd. It was co-founded by ―Shyam
Sundar Goenka‖ and his son ―Bharat Goenka‖ in 1986 and incorporated in 1991.
―Mr. Tejas Goenka‖ who is presently the Managing Director of Tally Solutions pvt
ltd. it has his own unique way of working. Tejas Goenka wants to make Tallyprime a
new generation software without compromising on the old values. We all have heard
and read that change is the law of nature. Keeping this rule in mind, Tally Company
is moving ahead. Tally Company is always innovating in its products, which will
continue to benefit the users and customers of Tally.
WINDOW OF TALLYPRIME
Shut Company: This option is used to remove the company from the screen.
How to shut the company
Open the tally program
Go to company option or press [F3]
Click the shut company or press [Ctrl+F3]
Choose any one company then enter.
Split company data:This option is used to split company data across multiple
periods.
Backup:Taking a backup of your data at regular intervals helps retrieve you‘re backed up data
when your existing data is lost. Using Tally prime, you can easily take a backup of your company
data any time and restore it when you need.
Restore:You can restore the data of companies for which you have taken a backup.
When your current company data is lost or corrupted, you can restore your last
backed up data using the Restore option in Tally prime.
How to restore company data
Open the tally program
Go to Data option [Alt+Y]
Click the Restore option
Account
An account is a summarized record of the relevant transactions relating to a particular
head. It records not only the amount of transactions, but also their effects and
directions. For example, a cash account will show all of cash received and paid.

1) Tangible real A/c: These accounts represent assets and properties which can be
seen, touched, measured, purchase and sold.
For exp: Cash A/c, Machinery A/c, Furniture A/c and etc.
2) Intangible real A/c:These assets do not have any physical existence and cannot be
touched. However, these can be measured in terms of money and have value.
Nominal A/c:These accounts are related to income or gains and expenses or losses.
For exp: Rent paid A/c, Commission received A/c, salary A/c Wages A/c and etc.

Group
Groups are collection of ledgers of the same nature. Account groups are maintained to
determine the sequence of Ledger Accounts, which is helpful in determining and
presenting meaningful and compliant reports. Using this you can generate reports,
which are meaningful as well as compliant with laws.
a) Reserve & Surplus:Reserves are the funds earn-marked for a specific purpose, which the
company intends to use in future. Surplus is where the profits of the company reside.
2) Current Assets:Current assets are important to businesses because they can be used to fund
day-by-day business operations and to pay for the ongoing operating expenses.
a) Bank Accounts:Every company has Bank A/c from which company do all the business
form that Accounts (A/c). All Bank A/c of company are placed under Bank Accounts Group.
For exp: current a/c, Saving A/c , short term deposit a/c and etc.
b) Cash in Hand:Cash at bank and in hand refers to amounts which are held by a business in
the form of notes and coins. Tally automatically creates cash a/c in this group.
c) Deposits (Asset): Deposits contain Fixed Deposits, Security Deposits or any deposit made
by the company (not received by the company, which is a liability).
d) Loans & Advances (Asset):short term loans and advances are current assets because it is
loans. Advances on asset side are those advances which are paid for now but realize at future date.
e) Stock-in-hand: This group contains accounts like Raw Materials, Work-in-Progress and
Finished Goods.
f) Sundry Debtors: sundry debtors could be referring to a company's customer who rarely
makes purchase on credit.
3) Current Liabilities: Current liabilities are the short-term debts or obligation which a
company needs to pay within a year. For exp Salaries due to be paid, Amount payable to
suppliers, etc.
a) Sundry Creditors: Sundry Creditors are the trade payables who come under the current
liability. Here, the company owes money to the creditor on account of goods and services
received.
b) Provisions: Accounts like Provision for Taxation, Provision for Depreciation and so on are
recorded under Provisions.
c)Duties & Taxes:Duties and Taxes contain all tax accounts like VAT, GST, Excise, Sales and
other trade taxes and the total liability (or asset in case of advance paid) and the break-up of
individual items.
4) Fixed Assets: Assets which are purchase for long-term use and are not likely to be converted
quickly into cash, such as land, buildings, equipment and etc.
5) Investments: invest is to allocate money in the expectation of some benefit in the future. In
finance, the benefit from an investment is called a return.
For exp:Shares, Bonds, Govt. securities, long term Bank deposit accounts and so on.
a)Bank OD account: Bank OD account is a current account with bank. When a customer
draws over and above his available balance it becomes over draft account. Not at all current
accounts are over draft account. But all over draft account is a current account.
b) Secured Loans: Term loans or other long/medium term loans, which are obtained against
security of some asset.
c) Unsecured Loans: Loans obtained without any security. Example: Loans from
Directors/partners or outside parties.
10) Sales account:You can classify your sales accounts based on Tax slabs or type of sales.
This also becomes a simple mechanism for preparation of Tax returns.

You can even open an account as Sales Returns under the group Domestic Sales to
view your net sales after returns (or the returns may be directly passed through
Journal against the specific Sales account).
11) Purchase Accounts: This is similar to sales accounts, except for the type of
transactions.
12) Direct Incomes: Direct income is one which is earned directly by way of
business activities. For exp: Sold of goods
13) indirect incomes: indirect income is one which is earned by way of non-business
activities. For exp: sale of newspaper, commission receive, interest receive and etc.
15) Indirect Expenses: indirect expense is those expenses that are incurred to operate
a business as a whole or a segment of a business, and so cannot be directly associated
with a cost object, service, customer and etc.
For exp: salary paid to staff, rent paid, legal fee paid and etc.
Ledger
A ledger is the actual account head to identify your transactions, it is used in all
accounting vouchers, without a ledger, you cannot record any transaction.
All ledgers have to be classified into groups. These groups and ledgers are classified
into profit and loss or balance sheet.
There are two pre-defined ledgers in TallyPrime:-

Under Select the group for the ledger. Selection of group should be made very
carefully because all the reports depend on this.

Calculate Interest on Party
When trader sales goods to any party on credit basis then he charges interest
on the outstanding balance.
If the party refunds cash by installment, then the trader charges same
interest on all installments. It is called simple invoicing interest calculation.

Group Company
You can create a group company in TallyPrime to conveniently view all your
companies at one place. This group company can function as a single economic
entity, where financial reports such as Balance Sheet, Profit and Loss A/c and Trial
Balance are consolidated without any impact on the transactions. Irrespective of
whether your branches use the same GSTIN or multiple GSTINs, your data will be
seamlessly consolidated.
Using the group company, you can compare the performance of your member
companies and also keep a tab on the overall business. The consolidated data proves
to be useful especially at the end of the financial year, where you can get a picture of
the total income, profit, and so on.
6) To gain a clearer business perspective, you can view the Balance Sheet of the
member companies along with the group company.
Press Alt+C and select the group company.
Press Enter to proceed.
Now we can compare the various components of the Balance Sheet between the
member companies and the group company. Using this consolidated information, we
can gain useful business perspectives, such as which of your member companies
utilized the funds in the best way, or which company was the most profitable, and so
on.
Alter Group Company
Press Alt+F3 (Select Company), and load the new member company.
Press Alt+K (Company) > Alter, and select the group company.
In the Member company‘s field, select the new member company from the List
of Companies.
Accept the screen. As always, you can press Ctrl+A to save.
Remove Member Company
Let us assume that you are selling off your business in Education faiz world(Deoria),
and you no longer need the Education faiz world(Deoria) unit in the group company.
You can easily alter the group company to remove this concern.
Here‘s how:
Press Alt+K (Company) > Alter, and select the group company.
In the Member companies field, select the member company that you want to
remove, and press Space bar.
In the empty field, select the remaining companies from the List of Companies,
until you select End of List.
Note: If you have only two member companies in the Group Company, you cannot
remove any of the companies. To form a group company, you require a minimum
of two companies.
Accept the screen. As always, you can press Ctrl+A to save.
Delete Group Company
If you no longer need the group company, you can easily delete it without affecting
the data of the member companies.
Press Alt+K (Company) > Alter, and select the group company.
In the Group Company Alteration screen, press Alt+D to delete the company.
Press Enter to confirm the deletion.
After you delete the group company, you can continue to use the member
companies without any hiccups.

Open the reorder level master for the required stock item/stock group/stock
category.
Gateway of Tally > Alter > type or select Reorder Level (Stock Item) > and
press Enter.
Alternatively, press Alt+G (Go To) > Alter Master > type or select Reorder
Level (Stock Item) > and press Enter.
If you have created stock groups or stock categories, you can select Reorder
Level (Stock Group) or Reorder Level (Stock Category). The stock items
created under the stock group/category will appear.
Configure the screen for simple reorder and minimum order quantities.
Press Alt+S (Simple Reorder) to hide the advanced parameters for reorder
quantity.
Press Alt+V (Simple Min Qty) to hide the advanced parameters for minimum
order quantity.
Enter the reorder and minimum order quantities.
Enter the quantity of stock item that you want to reorder, under Reorder
Quantity.
Enter the quantity of stock item that you want to set as Minimum Order
Quantity.

Security Control
A good password policy will enhance data security and allow only authorized users to
view financial data. In Tallyprime, the Administrator can set a password policy in
place, which users will have to adhere to, while creating and managing passwords for
their company.
1. Press Alt+K (Company) > Create/Alter. The Company Creation/Alteration
screen will open.
2. Set the option Control User Access to Company Data to Yes.
3. Set the Username (Administrator) and Password. This user will have the
administrator/owner privileges.

4. Accept the screen.
Pressing No will not create a copy of the original company. However, there may be
certain exceptions.
6. Provide the TallyVault Password to open the encrypted company.
You have just created a company with TallyVault password. Next time when you
view the list of companies, the company name will appear with a set of asterisks
along with the company number visible.
1. If data resides in the existing Company folder, you can continue to access the
data by providing the TallyVault password.
2. If data resides in the Temp folder, you can simply rename the Temp folder to an
existing company number and open the company.
Enable Security
Before you can set users in TallyPrime and their user roles, you have to first enable
the security feature for your company.
Password Policy
Using the Password Policy, you can activate additional options for the password, such
as password strength, password expiry, and so on. Moreover, you can also enable
certain users to change their own passwords.
1. Press Alt+K (Company) > Password Policy. The Password Policy for
Company screen appears as shown below:
2. Enable the required options, and press Ctrl+A to accept the screen.
Change User
After the required users have been created in Users and Passwords (as shown in the
previous section), the new user can now log in to the company. Let us consider that
the new user is a data entry operator called Rajesh.

Similarly, you can also configure Security Rights for Statutory reports and Inventory
reports based on the user roles.
