CEASEFIRE INDUSTRIES PVT. LTD.

1) Purpose: At Ceasefire, we are dedicated to conduct our operations with the highest priority on the
health, safety, and environmental well-being of our employees. This Health, Safety &
Environmental (HSE) Policy underscores our commitment in creating a safe and sustainable work
environment while complying with all relevant laws and regulations. We aim to cultivate a culture
where HSE is deeply embedded in our core values, and every individual takes accountability for
ensuring a healthy, safe, and environmentally conscious organization.

2) Scope: This policy applies to all employees in all company premises, including office, field, client
and project locations and any other official events.

3) OHS Management Systems:

Ceasefire has developed a robust Occupational Health and Safety (OHS) Management System that
aligns with national and international standards, incorporating our Health, Safety &
Environmental (HSE) Policy. This system includes the implementation of HSE initiatives,
prioritization and action planning, and the shared responsibility of managing HSE risks by but not
limited to Project Execution, Human Resources, Learning & Development and Delivery &
Installation Teams.

Key elements of this system are outlined below:

 Compliance: We commit to adhering to all relevant national and international health and safety
laws, regulations, and industry standards applicable to our business. Additionally, we ensure
compliance with voluntary programs and/or collective agreements on Occupational Health &
Safety.
 Health & Safety Culture: Since our business as a manufacturing and installation institution
exposes us to significant health and safety risks, we prioritize the well-being of all employees. Our
vigilant management team ensures a workplace free from unsafe practices and is dedicated to
identifying, managing, and mitigating any health and safety risks with immediate intervention as
needed.
 Employee Participation & Consultation:

i. Training and Awareness: We take a consultative and participative approach to HSE


matters through regular training and awareness programs. These sessions educate
employees on potential health and safety risks, safe work practices, and measures to
enhance health and well-being. We also promote both physical and mental wellness
through various health and wellness initiatives.
ii. Incident Reporting and Investigation: Our management team maintains active vigilance
over HSE risks and ensures the prompt reporting of any workplace incidents or accidents.
We conduct thorough investigations and implement corrective measures as necessary.

 Regular Review: We are committed to the continuous improvement of our OHS management
system. This is achieved through regular reviews and updates to our HSE practices and initiatives,
based on employee feedback, team observations, best practices, legal requirements, and
stakeholder expectations.
 Resources: We ensure that adequate resources are provided to support the implementation of HSE
practices and initiatives, enabling a safe, healthy, and sustainable workplace environment.

4) Workplace Safety – Prioritization & Action Plan


Employees are expected to adhere to established safe work practices and procedures to prevent
safety risks, including injuries and accidents.

4.1 Emergency Preparedness: While our operations involve significant health and safety risks or
hazards, our workplaces are equipped with all necessary and mandatory safety measures.
Emergency response plans and evacuation procedures have been established, communicated, and
regularly practiced to proactively address any potential emergencies.

4.1.1 Fire Emergency Evacuation Drills are conducted at least once per calendar year at all
office locations. Following each drill, the HR and Admin team, in collaboration with key site
representatives, hold a debriefing session to assess the effectiveness of the emergency response
program. Feedback from these sessions is shared with site representatives to enhance future
emergency preparedness. The Facilities and Admin teams are responsible for arranging and
maintaining all emergency equipment, including fire extinguishers, sprinklers, hose reels, fire and
smoke alarms, emergency signage, lighting, and other specialized equipment. Wardens have been
appointed at each office or branch and are trained in emergency operations, fire safety, and first
aid. The HR and Admin teams must ensure that all emergency equipment, especially fire safety
equipment, is in proper working condition at all times. Any issues or observations identified
during annual maintenance checks or mock drills will be addressed promptly.

4.1.2 Emergency Procedures

Fire

In the event of a fire, employees are required to:

 Assist anyone in immediate danger, if it is safe to do so.


 Notify wardens about the emergency.
 Call the fire brigade.
 Wardens’ instructions to evacuate and assemble at designated refuge areas.
 Stay at the assembly points until everyone is accounted for.

Fire Safety Our offices are situated in buildings equipped with fire prevention measures, including
emergency exit corridors, stairwells, fire sprinklers, fire alarms, and fire extinguishers, all
designed to minimize fire hazards.

Fire Prevention is our primary and most essential safety approach.

Employees are expected to:

 Promptly report any faulty electrical switches or exposed wiring.


 Avoid using malfunctioning electronic appliances.
 Be familiar with the locations of fire exits and fire fighting equipment.
 Know the designated evacuation assembly points.
 Follow instructions from fire wardens during emergencies.
 Ensure fire preventive maintenance procedures are conducted quarterly by the assigned
vendor.

Workplace norms

 Workplace and safety process to be followed as mentioned in the training guide site safety
induction handbook
 The Site safety induction handbook is being provided as an additional HSE handbook to all
the employees. The same is available in the CAFÉ and HRMS.

4.1.3 Applicable for Project Sites

Pre-Job HSE Meetings

 A pre-job or pre-task HSE meeting shall be conducted on-site prior to beginning all work
in which the specific hazards pertaining to the job are discussed. Additional meetings may
be required throughout the same day in the event a non-routine job is performed, in order to
review a Job Safety Analysis (JSA) or work permit prior to beginning a specific task, or in
the event a change in job scope occurs. Everyone shall attend and participate in all HSE
meetings unless specifically instructed otherwise.

 A record of these meetings shall be kept that includes date, location, names/signatures of
attendees, and topics covered.

Suggested topics for a Pre-Job HSE Meeting are:

 Tasks - Discuss the task and job steps.

 PPE - Discuss what PPE is needed for the job.

 Responsibilities - Establish who has the overall responsibility for the job and ensure that
each individual understands their assignment.

 Skills - If special job skills are needed for a task, ensure proper training has been provided.
Discuss Serious Safety Events (SSE) and how they will be managed.

 Emergency Evacuation - Discuss gather-up point, evacuation route, nearby hospitals, who
are the first responders, etc.

 Environment - Discuss weather (heat, cold, wind, lightning, etc.) and location hazards such
as snakes, insects, uneven walking surfaces, etc.

 Hazards - Discuss any location or job hazards not previously discussed in other portion of
HSE meeting or during review of JSA or Work Permit.

 Equipment - Discuss any special tools that will be needed for a task and the HSE aspects of
their usage including proper PPE.

 Materials - Discuss HSE aspects associated with materials including proper PPE and
review Material Safety Data Sheet (MSDS) if appropriate. Conflicting Activities - Discuss
other activities or simultaneous operations (SIMOPS) that may affect the operation.

4.1.4 Personal Protective Equipment (PPE)

 General All employees working on site shall wear appropriate personal protective equipment (PPE)
Such as Safety Helmets, Safety Shoes, Reflecting Jackets, Safety Goggles etc.
 A detail handbook to use PPE is available in CAFÉ and HRMS.

5) Employee Health & Wellbeing - Prioritization & Action Plan

We maintain an active front desk that responds promptly to health and safety emergencies, with
Health and Safety officers ready to take immediate action. Employees who are unwell are
encouraged to take sick leave and recover fully. The HR Team regularly organizes health and
wellness programs for all employees. Additionally, the Admin Team coordinates safety initiatives
such as fire safety mock drills and communicates important occupational health and safety
information through email updates.

5.1 Medical Emergency

In the event of a medical emergency, the Facility and Administration Team is responsible for the
following:

 Ensure 24/7 'on-call ambulance support' is available at all office locations.


 Provide first aid assistance where necessary.
 Escort the affected employee to the nearest hospital for further care.
 Avoid moving the individual unless they are in immediate danger.

6) Environmental Protection - Prioritization & Action Plan


We are committed to complying with all applicable environmental laws, regulations, and
standards, while actively working to minimize our environmental impact. To support this, we have
implemented a range of environmental initiatives, as outlined below:

6.1.1 Energy Efficiency

Company uses star-rated appliances such as split air conditioners, lights, fans and refrigerators that
have been installed in all our offices. Our offices also have energy-efficient central air cooling.
Additionally, we ensure that our offices are situated in buildings designed to maximize natural
daylight and reduce reliance on artificial lighting. These initiatives contribute to reducing energy
consumption and minimizing indirect greenhouse gas (GHG) emissions from our operations.

6.1.2 Water Conservation

We are committed to implementing water-saving measures and managing water resources


responsibly. By adopting sustainable water management practices, we aim to promote water
conservation and efficiency across our offices.

6.1.3 Waste Management

E-waste: These companies segregate reusable and recyclable electronic components from the e-
waste, which are then repurposed or remarketed. Hazardous materials are safely stored, handled,
and disposed of in an environmentally responsible manner.
Paper Waste: To reduce paper usage, we have installed energy-efficient electric hand dryers near
washbasins in washrooms, minimizing the need for paper napkins. Additionally, we have
transitioned to a fully digital documentation process, eliminating the need for paper-based
documentation.

7) Risk Measurement - Prioritization & Action Plan

HSE risks are promptly identified and managed through stringent measures implemented in the
workplace. The process includes regular evaluation of identified issues and risks, which are then
prioritized for appropriate remediation and control measures. Once the hierarchy of controls is
established, ongoing monitoring and corrective actions are carried out by the responsible teams to
ensure effective risk management.

8) Responsibilities / Governance

Ceasefire’s HSE initiatives are built on a cooperative and consultative approach, actively
involving employees and emphasizing continuous improvement for the safety and well-being of
both people and the environment. Creating a safe and healthy work environment requires every
staff member to prioritize their own well-being, including mental health, and to ensure their

actions does not endanger others. Additionally, all employees must comply with the company’s
mandatory health and safety procedures and participate in required trainings and workshops.

Ceasefire shall ensure, as far as reasonably practicable:


 Sufficient resources are allocated to support the implementation framework of the HSE
Policy.
 Clear and defined health and safety responsibilities are communicated to relevant personnel.
 Effective communication and consultation channels are established to engage key
stakeholders on safety matters.
 Systems are in place to promptly identify and address workplace health and safety issues.
 All measures outlined in this policy to promote workplace safety will be strictly followed.

8.1.1 Management's Role

The implementation of the HSE policy and practices will be overseen by the HR Team. The
company is fully committed to workplace health and safety, working diligently to provide the
necessary initiatives and facilities for employees. To achieve this, the company will focus on
consultation, cooperation, and coordination of activities aimed at realizing the desired health and
safety outcomes.

The Vice President - Human Resources will oversee employee conduct and behavior related to
health and safety, and will be responsible for the upkeep, maintenance, and safety standards of all
HSE infrastructures. The Head will also monitor and report on HSE practices and incidents. These
designated individuals at the executive management level will form the highest decision-making
body for all HSE matters, ensuring effective management of the organization's health and safety
practices.

8.1.2 Employees’ Responsibilities

All employees are responsible for adhering to HSE policies, procedures, and guidelines to
maintain a safe and sustainable workplace. This includes:

 Exercising reasonable care to their own safety.


 Ensuring that their actions or omissions do not jeopardize the health and safety of others.
 Following reasonable instructions from the Institute/Business/Company to comply with
fire and safety regulations applicable to their jurisdiction.
 Adhering to the implemented health and safety policies and procedures.

8.1.3 Third Party’s Responsibilities

All third parties must adhere to the HSE requirements outlined in the policy and is applicable for
the vendors

9. Training and Awareness

 HSE Training: During induction, employees receive detailed briefings on comprehensive


HSE practices, emphasizing a culture of safety, as well as initiatives designed to promote
employee health, safety, and well-being.
 Awareness Campaigns: Regular communication and awareness campaigns are conducted
to highlight key HSE topics, reinforcing the importance of these practices and the
company's commitment to health and safety.
10. Non-Compliance and Consequences

Non-Compliance: Failure to comply with HSE policies and procedures will result in strict
disciplinary action not limited to termination.
