CHAPTER 1: INTRODUCTION
Accounting software describes a type of software application that records and processes
accounting transactions within functional modules such as accounts payable, accounts receivable,
journal, general ledger, payroll, and trial balance. It functions as an accounting information system.
It may be developed in-house by the organization using it, may be purchased from a third party, or
may be a combination of a third-party application software package with local modifications.
Accounting software may be on-line based, accessed anywhere at any time with any device which
is Internet enabled, or may be desktop based. It varies greatly in its complexity and cost.
While accountants once entered transactions by hand, information technology has made it
possible to record information in real time, compile information from various sources and
automate repetitive tasks. This has allowed accounting professionals to focus more on financial
advice and monitoring performance. At the same time, IT developments have helped companies
save time, reduce errors and make better financial decisions. Accounting software is an invaluable
resource for modern businesses. Software allows detailed tracking of financial transactions and
near-instantaneous reporting and analysis. Before accounting software, these tasks had to be
performed by hand, using large transaction journals.
Ad hoc reporting was generally impractical due to the labour involved in consolidating the
manual entries. Accounting software automates these tasks, reducing the costs of accounting and
allowing better financial decision-making through timely reporting. Accounting software also
allows for the storing of numerous amounts of data without having to take up physical space. This
results in companies needing less office space because they no longer need large file rooms to store
binders of data. Less office space allows for cost savings. The ability to easily access accounting
information through accounting software makes it easier to complete audits, particularly those that
require evaluating information from years prior.
This not only assists with internal audits but also assists external groups, such as the Internal
Revenue Service (IRS), in case they need to investigate financials for tax purposes.
2
1.1 IMPORTANCE OF ACCOUNTING SOFTWARE
An accounting software solution is one that cultivates under the same roof where all systems and
applications are dedicated to manage and process financial data. Professional accountants and
bookkeeping teams use these programs to govern accounts and automate systematic operations,
while certain systems are also enabled to record accounting data, measure indicators and report
on the company’s financial activity. To succeed at running your business – or even to know if
you're succeeding – you need accounting software. Accounting software allows you to monitor
the financial health of your business. Typically, it allows you to enter in all expenses, such as
payroll and equipment expenses, as well as income, such as income from sales.
Businesses of all sizes make use of accounting software.

1.2 ADVANTAGES OF ACCOUNTING SOFTWARE
Accounting software can save time and money, and offer you valuable and appropriate reasonable
business. It can do so by-
Fast and very quickly data import, in a simple way it carried out once.
2. Speedily process
3. Reports automatically
Debtors and creditors, on profit and loss, customer accounts, inventory counts, forecasting,
etc.
4. Automating tasks
By computerizing calculations that would be very low chance of errors. Supports in other
functions, such as online banking and online any kind of working Computerized accounting
packages, are only affordable to large corporations, and are now within the budget of almost
every business. At startup, a business may begin with a simple spreadsheet or even a manual
ledger, but as the company grows, it becomes time to look at more efficient, computerized
systems. There are several considerations to ponder before selecting a computerized
accounting package.
6. Time Saving
In accounting package, the major thing and the most important advantage is that it saves a lot
of time over manual bookkeeping. With a computerized accounting package, front end
business documents and back end transaction recordings are completed simultaneously. For
example, you can create customer invoices, prepare bank deposits and write checks in the
program, with the added benefit that the system records each transaction for you.
5
simultaneously. For example, you can create customer invoices, prepare bank deposits and write
checks in the program, with the added benefit that the system records each transaction for you.
We can manage all over the working of accountancy within few times. A big chunk of the work an
accountant or bookkeeper has to do on a daily basis is very manual and repetitive.
For example:
You get the point. Most steps of the accounting cycle can be automated. And that’s exactly what
online accounting software does best. For starters, you can automate journal entry creation. All
you need to do is integrate your bank directly with your accounting software. This way, everytime
you make or receive a payment, a journal entry is automatically created and mapped to the right
accounts.
You can also automate things like financial reporting (e.g: create a report every X day of the
month). Or you could even set up automated vendor payments. Keep in mind though, that not all
cloud accounting software offer the same degree of accounting automation.
7. Financial Statements:
In a manual accounting framework, the general record is accommodated toward the end of the year
and the purifies for every record are assembled to make an arrangement of money related
proclamations for assessment and administration purposes. In an electronic bookkeeping
framework, monetary articulations for any time frame can be created with the snap of a catch. This
permits a business director to survey an organization's monetary execution continuously and
address worries before they get to be risky.
In accounting there is a great advantage that it allows you to record receivables and payable in
every system. This allows the system to project your cash flow position into the future. For
example, if you have submitted all your bills and customer invoices in the program with their due
dates, you can print a report that will tell you if you will have enough money between what you
have now and what you expect to be coming in to cover the bills that are due. You have records of
6
all bills and invoices. This forward planning tool can help you avoid overdraft charges and late
fees.
9. Learning Curve:
The other advantage of accounting system software is learning curve, especially if you have not
used one before. It can often be difficult for a small business owner to spare the time to learn how
to use the package properly, which can lead to errors and reconciliation issues. Proper training is
essential to getting the most out of your accounting system. We can easily cope with errors in small
businesses
When you use a computerized system, you make some mistakes in calculating totals or in typing,
decreasing confusion. Invoice software usually allows you to include a tax percentage when
appropriate, with the system performing all calculations. This is a useful advantage, especially
when you have detailed invoices where hours or specific items are billed at different rates. Once
a system is set up properly, you pick and choose items to be invoiced and the rest is done for you.
There is many low risks of blunder and error in accounting software.
A major advantage of using a computerized invoice system is the capability to run reports to
determine which customers have paid. An aging report shows you who owes you, how much and
for how long. This is done easily and puts you in control of your finances. You can contact
customers who are late-payers, minimizing losses. A maturing report demonstrates to you who
owes you, how much and for to what extent. This is done effortlessly and places you in control of
your funds. You can contact clients who are late payers, minimizing misfortunes. A well-run
7
business relies on prompt and reliable information, and a computerized invoicing system fits this
requirement well.
13. Organization:
It is easy to lose or forget about invoices, especially when they are prepared manually. They can
get lost in the mail, or they may be misspelled in a manual system. With an accounting software
package, the data is there--all organized in one place to be reviewed, reprinted and resent in case
of problems. You usually can look in the system for invoices based on names, amounts or invoice
numbers. It is a fast and easy process because the software organizes data as it is entered.
Organizations huge and little should keep exact records of their funds. In a few circumstances,
there might be lawful implications for anything besides the most points by point and particular
records of bookkeeping practices. Obviously, it is difficult to totally take out human blunder in
any attempt, yet bookkeeping programming can disentangle parts of record keeping that may some
way or another be inclined to botches. These projects consequently make the important
estimations when you enter orders, exchange subsidizes or continue with any of the different
budgetary exchanges you are liable to experience when maintaining your business. As opposed to
depend all alone work with a paper record and a number Cruncher, let bookkeeping programming
computerize assignments and decrease mistake.
With online accounting software, you can say goodbye to most of the typical accounting errors.
Online accounting software will make sure that your accounting records are organized in a proper
and accurate manner, every single time.
Remember the times when you’d waste 5 hours trying to find why the balance sheet did not
balance?
When using cloud accounting software, if newly created journal entries don’t balance, the system
will notify you immediately and highlight the potential error. This way, you’ll be alerted of the
error before even committing to it (i. e: clicking submit). And this is just a very simple example
8
of how accounting software can help you maintain more accurate accounting and financial data
for your business. Another common accounting error you can avoid by using accounting software
is any error related to the freshness of the data.
Imagine you are editing a spreadsheet or a table that has already been changed before, but
you never received the updated version?
Figuring out how to merge changes from two different files can be really time consuming.
But with online accounting software, you won’t ever have to deal with such problems, because all
the data is synced in the cloud.
All in all, using online accounting software will ensure that your accounting records are properly
and accurately organized. As such, your financial reports will be more accurate, and your team
will be able to make decisions faster and prioritize better.
15. Time:
Bookkeeping programming at least spares you time in various ways. By wiping out manual counts
and record keeping, you can put your vitality to better use by giving the product a chance to handle
errands you would regularly make sense of yourself. In the event that you work with a staff, you
may spare worker hours with projects that robotize assignments, for example, monitoring
representative hours and producing finance. These errands could involve a noteworthy piece of
your work day on the off chance that you oversaw them totally all alone.
16. Inventory:
If your business manages a product inventory, you no doubt understand how important it is to
always know what you have in stock. Good accounting software automatically tracks inventory
as you process product orders. Some programs can project when you will run out of a product, so
you know when to order more. Using accounting system software in inventory tracking has a time-
saving advantage along with the accuracy of results.
Accounting software excels at analysing your business practices and letting you quickly identify
how money flows through your operation. When an application manages all your financial
transactions, it has extensive data at its disposal to generate various reports. You can quickly see
9
how your revenue is divided among different operating costs. You can calculate your bottom line
more efficiently and track which parts of the country generate the most interest from customers.
The reporting options are virtually unlimited depending, on the type of software you use and the
information you provide it. You will have all the data you need to run your business at your
fingertips.
The most obvious advantage that cloud accounting software has over any traditional accounting
system is that computerized accounting software lets you access your data whenever you want,
and from whichever device you want. You can use online accounting software from your PC,
laptop, tablet, and mobile phone. All you need is a device that’s connected to the internet and a
browser (or mobile app).
For businesses of any size, this has a ton of upsides. For example, you can create and send invoices
on the go directly from your mobile.
Or you can generate, view, and download financial statements and reports with just a few clicks.
No need to ask your accountant to prepare it three days ahead. Just log on the platform, navigate
to your Financial Reports section, and download the financial statement you need.
Remember the times when you had to make changes to a spreadsheet, save it on a USB drive and
then give it to your colleagues so that they could also have the most up-to-date version of the
financial statements?
With cloud accounting software, one of the main advantages is that everyone gets access to real-
time accounting and financial data. So, all your employees have to do is log-in to the platform,
and do what they need to do.
10
Multiple users can work on the same accounting data in real-time, without ever getting in each-
other’s way.
Additionally, online accounting software allows you to give different access levels to different
users. This way you can tailor permissions based on the set of accounting or bookkeeping
functions that a user needs to carry out.
One of the biggest advantages of cloud-based accounting software, is that all of your accounting
data is safely secured on the cloud.
This means that your data is covered under layers of high-end encryption algorithms, making it a
lot safer than keeping it on the office shelf.
And the best part is that all of your data is synced at all times. So not only is it more secure, but
it’s also fresh.
Just to give you a better idea, when businesses were using desktop-based accounting software,
accounting data had to continuously be backed up. After all, the data was stored on a hard drive.
And as you probably already know, hard drives are quite delicate. They can get destroyed, wiped,
or simply get corrupted and become unusable.
As a result, businesses had to dedicate quite a bit of time to integrating accounting and accounting
data into their disaster recovery plans. This in turn meant higher costs, and more time wasted.
With online accounting software, you’ll never have to worry about backing up your data - the
system will do it for you.
In 2021, no one likes to deal with paperwork. Dealing with paperwork is extremely time
consuming and expensive. Why make a photocopy, when you can simply create a copy with a
click?
The advantage of using accounting software is that all the financial data including journal entries,
financial statements, and reports is online. Whatever invoice, record, or entry is created, it is all
stored under layers of encryption in the cloud. Easily accessible by anyone that has the right
permission.
11
Additionally, you can also create and send invoices directly from the software to your clients,
reducing the time and money wasted on printing and posting the invoices, while also speeding up
the process of getting paid.
Creating an invoice is one of those accounting tasks that every business has to do, regardless of
its size or industry. And while it’s true that the invoice type will differ based on the type of sale,
the process of making an invoice is more or less the same. Before, people used to make invoices
using Excel, Word, or even by hand. The result was usually a badly formatted invoice, which
would probably take several minutes to create. Now, if you are a business that only creates 5
invoices a month, this isn’t a big issue.
However, if you are creating 100+ invoices every month, some of which are recurring, doing it
by hand would be a disaster. With cloud-based accounting software, you can make a professional
business invoice using one of the premade templates in a matter of seconds. You can also build
your own invoice template, customize it, and apply it to all of your invoices. And creating a
recurring monthly invoice? You guessed it. It just takes a click to turn a one-time invoice into a
recurring invoice. It’s that simple. Once you have created your invoice, you can send it directly
using the accounting software. All you have to do is insert your client’s email and click send. And
if your customers or clients are delaying your invoice payments, you can send them a late payment
reminder with just a couple of clicks.
One of the main benefits of using accounting software is that it helps with tax compliance.
Let’s face it, no business owner likes to deal with taxes. That’s where accounting software comes
in. By having accurate accounting records, up-to-date financial statements and reports, gathering
the documents and information required for filing taxes is super simple.
Additionally, advanced online accounting software like Desk era, has inbuilt tax rules, allowing
you to focus on growing your business, instead of worrying about dealing with the IRS. All you
have to do is select your country, enter your business information, and Desk era will automatically
apply taxes to invoices and other documents, based on your local tax rules.
12
Desk era provides full inbuilt tax compliance for the following countries: USA, Singapore, India,
Malaysia, Philippines, and Indonesia (Australia, Canada, and Japan - coming soon).
13
1.3 DISADVANTAGES OF ACCOUNTING SOFTWARE
Not all businesses will benefit equally from using accounting software. If you’re thinking of
switching from manual to computerized accounting, you should consider these possible
drawbacks: Cost: the bundle cost, albeit little in connection with your different expenses, is higher
than a paper-based framework
1. Usage:
You will presumably require some underlying help setting up a records bundle. This will more
often than not be a chargeable administration, maybe acquired from your bookkeeper or the
framework supplier.
2. Support:
You may need to buy yearly upkeep and backing for your bundle. For you to have support for the
yearly maintenance of your package, you'll probably need to purchase yearly maintenance from
your software provider.
3. Concentrated requirements:
A records bundle is intended to suit most sorts of business. In any case, if your business is
extremely uncommon you may find that you have to change the way you work to suit the bundle,
or pay to have the bundle adjusted to suit your requirements. You can't effectively deal with your
business without some kind of a bookkeeping framework. Whether you pick manual over
mechanized arrangement, it's altogether up to you.
4. Implementation
In as much as accounting software are easy to use, it is generally easier to set up manual accounts
than the software. For you to effectively get an accounting software working, you'll need to pass
through some training from people that are already experienced in it.
14
5. Specialised needs
Accounting software are generally designed to suit all types of businesses however they may not
suit some specialist business. For specialist businesses to use accounting software effectively,
they'll need to change the operational processes or refine the program to their requirements.
Although we earlier stated that the accounting software are generally cheaper to manage, it is
worth knowing that you'll also need to renew the software and, in some cases, pay a specialist to
teach you how to use it.
When a business is reliant on accounting software, any loss of service due to a power or computer
outage could cause a work disruption. Work disruptions can prevent the input of new information
as well as prevent access to stored information. Additionally, if information is not properly backed
up, a computer outage could result in lost financial data.
8. Incorrect Information
The information in an accounting system is only as valid as the information put into the system.
Since most accounting systems require some manual input of data, financial results could be
incorrect unless all input data is reviewed. If there is a tendency to only review the final reports
or output of an accounting system, it may be difficult to find faulty information.
9. System Configuration
Every business has unique aspects that may cause difficulties when it tries to tailor a generic
accounting software package to its needs. While customization is available for many programs, it
may cause downtime and potential inaccuracies if not done correctly. Also, as a business grows,
there may be a need to change accounting software packages; this could cause a large disruption,
as information must be migrated and new training is needed for personnel.
15
10. Cost
A disadvantage of accounting software is the cost involved. Beyond the initial outlay to purchase
the software there is the cost of maintenance, customization, training and computer hardware.
While time savings may justify the cost, for some businesses it may take years before an
accounting software investment pays for itself.
11. Fraud
Information stored electronically can be manipulated and accessed if proper controls and security
measures are not in place. Strict controls are needed to make sure only authorized personnel use
the accounting software and have access to reports. Since financial data can be sensitive and
confidential, using accounting software creates the potential for fraud.
16

1.5 PROBLEM FACED BY SMALL COMPANIES WHILE USING
ACCOUNTING SOFTWARE
Accounting problems are pretty common amongst those who are already using accounting
software which they believe can make their accounting works easier. Accounting software that
gives users too many problems are normally the ones that are outdated and not very userfriendly.
Below are some of the problems encountered by most businesses when using accounting software:
1. Lack of security
Software users are worried about the security of their data as they are accessible by foreign parties.
Even though firewalls are believed to have the capability to solve this problem, but the firewall
setup on a computer may get screwy at times; when this happens, there is nothing much they can
do.
Some accounting software solutions are powerless in helping users who wish to get their business
data out. Users are annoyed with the fact that it is easy to put data in yet impossible to get them
out after –seems pointless if they do not support both ways. As for data transfer, some accounting
software products do not allow data to be retrieved nor imported.
3. Lack of efficiency
Business owners want to have things done quicker and less time consuming. Some accounting
software products are not user-friendly and do not enable users to fully use their keyboard. Using
the mouse can slow down a business progress. They are also lack of features, capabilities, expend
abilities and compatibility
Some accounting software systems are outdated. Therefore, details tend to be inaccurate, system
slows down and system errors happen. Data corruption is a serious matter.
33
5. Not user-friendly & difficult to customize
Due to system restrictions, users cannot perform customization based on their preferences. Some
systems are rather cluttered and difficult to understand. It will be tough for users to get rid of
unnecessary columns and information on their own.
Some accounting software offer less features but at expensive prices. Customers will always have
to get the upgrade versions in order to get the features they want, or switch to another provider.
Accounting software such as ‘Wave Accounting’ for instance does not have bank reconciliation
feature, which means it is unable to perform bank and credit card accounts reconciliation. This
feature is highly essential as it helps businesses to track on errors such as missing transactions,
duplicated transactions, wrong amounts and even typos.
Users are stressed out by the lack of training and guidance in using the software, even when it
comes to fixing the problems occurred. Extra training may also cost extra cost to the users. Users
are always in search of high-quality training. Some websites also do not provide their contact
number –lack of trust amongst customers.
9. Software compatibility
Many users are frustrated because their accounting software is not compatible with their programs.
For example, a customer may not be able to import some date into his program simply because
the software does not allow this. Users cannot import or retrieve information from other programs
because their accounting software does not have the capability to do so.
34
10. No 24/7 technical support
Customers had to wait until the next business day before they get to fix their accounting software
problems. Most consultants are only available during business hours; unless they provide
customers with a cell phone number which they can contact for after-hours contact.
The best support is always through a face-to-face session rather than just phone calls –that way,
customers can get a better picture of what is happening and what to do if the problem occurs once
again in the future. The ability for a support specialist to access customers’ data and remote in to
their problems is much more effective and less stressful than simply trying to explain the solution
via phone calls.
Since accounting software is accessed over the Internet, delays are likely to happen due to the
distance to the data centre (location problem). Speed issue can also be determined by the speed of
processors and servers used to run the online accounting software.

Abstract:- The objective of this paper is to investigate and explore the impact of Accounting
Software on business performance of Malaysian firms. The study discusses and explores the
effects of using AIS on the firm’s performance. The result of this study is expected to help the
firm’s owners and manager in understanding the importance of using Accounting Information
System (AIS) derived from Accounting Software to achieve performance. Several
characteristics such as: efficiency, reliability, ease of use, data quality and accuracy influenced
the use of AIS, thereby affecting the performance of firms. Modern literature and the result of this
study shows that these AIS characteristics possessed by the accounting information such as:
efficiency, reliability, ease of use, data quality and accuracy have significant effects on the
use of AIS and firm’s performance. Previous researches have shown that it is crucial for firms to
use AIS to ensure the survival and sustainability of business in the increasingly competitive
environment besides enhancing their business operations competency and efficiency. This study
is one of few that could shed light on how the use of AIS affects the performance of firms. In this
study, the authors propose that dimensions of using AIS are important for improve the
performance of business organizations.
Abstract: - We report the results of a survey of international U.S. companies focused on the
selection of international accounting software. We investigate the relationships among firm
characteristics (size and degree of internationalization), international features of accounting
software (multicurrency, multi reporting, and multilingual), and general selection criteria (support
39
and security, hardware and operating platforms, and flexibility and cost). We find that firms’
reported preferences for international features differ depending on size and degree of
internationalization. However, the relationship between firm characteristics and general selection
criteria is not significant.
The implication from our results is that firm characteristics should be an important consideration
in the selection and design of international accounting software.
Abstract: - This research study is aimed, based on empirical evidence, at measuring the
relationship between the use of the Accounting Information Systems (AIS) by the Small and
Medium Sized Enterprises (SMEs) in Spain, and firms’ improved performance indicators and
productivity. This empirical study is based on a survey carried out among small and mediumsized
firms to ascertain the extent to which development and implementation of accounting information
systems had taken place, and subsequently an analysis was made as to how much this introduction
may impact on improvement in outcome indicators and productivity. As interesting results we
have found that there is a positive relationship among the SMEs that use AIS for fiscal and bank
management and better performance measures. This research provides value added in accounting
literature given the scarcity of works dealing with the relationship between the application and use
of AIS and performance and productivity indicators in SMEs in Spain.

Abstract: - This paper examines the long-term financial performance effects of ERP system
changes/revisions for firms that have previously reported ERP adoptions. The study is motivated
by the mixed results of recent studies examining the financial effects of ERP systems and by
studies which demonstrate that ERP implementations are modular in nature.
And thus may yield organizational performance gains or losses as a result of discrete changes that
might be initiated after the initial system implementation.
This study empirically examines the extent to which discrete changes to ERP systems over a post-
implementation time-frame impact on firms' ability to deliver long-run financial performance. It
further examines whether the timing and nature of system transformation during the post-
implementation period presents a significant moderating condition of ERP performance outcomes.
We specifically consider the ERP-adopting firms previously examined by Nicolaou [Nicolaou,
A.I. 2004a. Firm performance effects in relation to the implementation and use of enterprise
resource planning systems. Journal of Information Systems 18 (Fall): 79– 105] and track them for
changes/revisions in the form of enhancements, upgrades, abandonments and switches during the
post-implementation period. Two research hypotheses are developed in the study which posit that
both the nature and the timing of system implementation changes represent significant conditions
for ERP post-implementation success.
From the original sample of 247 firms used in Nicolaou [Nicolaou, A.I. 2004a. Firm performance
effects in relation to the implementation and use of enterprise resource planning systems. Journal
of Information Systems 18 (Fall): 79–105], a total of 83 firms were identified to report 182 discrete
changes during their ERP system post-implementation period. The results suggest that, in general,
subsequent changes in ERP systems often help resolve or surface implementation issues that affect
subsequent use of and success from the use of such systems. Specific findings indicate that ERP-
adopting firms, which initiate early enhancements in the form of either add-ons or upgrades, may
enjoy superior differential financial performance in comparison to other ERP-adopting firms'
differential performance.
41
Late enhancements and both early and late abandonments lead to apparent differential
performance deterioration for the ERP-adopting firms. These findings support the theoretical
propositions developed in the study The study's findings provide an important contribution to the
ERP systems success literature and present important insights for future research in this area.

ABSTRACT
Accounting information systems (AIS) as a part of company’s information systems (IS) are seen
as facilitating decision making within organizations and should be tailored to an organization’s
environment, requirements of task, and structure. An accounting information system is a structure
that a business uses to collect, store, manage, process, retrieve and report its financial data so that
it can be used by accountants, consultants, business analysts, managers, chief financial officers
(CFOs), auditors and regulatory and tax agencies. In particular, specially trained accountants work
with AIS to ensure the highest level of accuracy in a company's financial transactions and
recordkeeping and to make financial data easily available to those who legitimately need access
to it, all while keeping data intact and secure. In this research, given to the subject studied, the role
of accounting information systems on organizational environment from the perspective of top
managers, five hypotheses related to the research were taken into account.
Questionnaire was designed in part of top managers, includes 30 questions. By using the statistical
package SPSS for testing each relationship, an output value called P-value which is the same –p,
significance probability was obtained.
Finally, The mean of each research hypothesis, after the test was as follows: first hypothesis
4.2584, second 3.5123, third 3.0958, four 3.5966 and five hypothesis 3.7042.
