DETAILED ARCHITECTS’ AND TOWN PLANNERS’ JOB DESCRIPTION FOR DESIGN AND

PLANNING DEPARTMENT

1.TOWN PLANNER ROLE


1. Process all land applications/allocations from relevant government
agencies, ensuring compliance with regulatory requirements and
company standards.
2. Coordinate with survey consultants on all company projects
3. Conduct enumeration/valuation, and compensation payment for
beneficiaries of allocated plots in collaboration with the Department of
Resettlement & Compensation, FCDA.
4. Coordinate with design consultants on all aspects of APDC projects,
ensuring alignment with project goals and regulatory standards.
5. Collate and submit documentation and facilitate the processing of
building plan approvals for APDC projects
6. Act as a liaison between the company and FCTA/FCDA
Agencies/Departments on all APDC issues and projects.
7. Serve as Secretary to the Department, maintaining records, and ensuring
timely dissemination of information.
8. Undertake any other assignments as directed by the Head of
Department/Ag. Managing Director, contributing to the overall success of
the department and company.

2. RESPONSIBILITIES:

1. Collate and submit all necessary documentation for land application.


2. Coordinate with the relevant authorities to obtain necessary approvals and
land allocations.
3. Conduct site visits and inspections to assess the suitability of proposed land
use and compliance with government regulations.
4. Facilitate the engagement of surveyors for the conduction of perimeter
/topographical survey and the establishment of beacons to demarcate
plot boundaries.
5. Process and ensure the production of survey plans for all Company projects
6. Collaborate with the Department of Resettlement & Compensation, FCDA,
to conduct the enumeration/valuation of allocated plots.
7. Oversee the disbursement of compensation payments to beneficiaries and
maintain accurate records.
8. Facilitate and process the engagement of design consultants for APDC
projects.
9. Process payments for all design consultants.
10. Review and provide feedback on design proposals to ensure alignment
with project requirements and regulatory standards.

11. Foster collaborative relationships with design consultants, fostering open
communication and problem-solving throughout the project lifecycle.
12. Prepare and submit all necessary requirements/documentation for building
plan approval in accordance with regulatory requirements.
13. Address any queries or requests for clarification from regulatory authorities
14. Monitor the progress of building plan approvals and take proactive
measures to resolve any delays or issues that may arise.
15. Establish and maintain effective channels of communication with relevant
government agencies and departments to aid approval processes.
16. Maintain comprehensive records and documentation related to
departmental activities and projects.
17. Respond flexibly to emerging priorities and ad-hoc requests
18. Support the Head of Department in matters of the Department

1.ARCHITECTS’ ROLE
1. Brief preparation
2. Adhering to building codes, bylaws, obtaining necessary permits and safety
regulation
3. Preliminary and detailed design
4. Co-ordinating other consultants design
5. Obtaining tender to award
6. Cost, time and quality control
7. Design and supervision (Team leader)
8. Preparing minutes of site meeting and preparing progress report
9. Issuing architect instruction for approval| varied works

3.CLERK OF WORK ROLES
1. Inspection and testing of material to ensure they meet required standard
2. Checking drawings received for dimension errors, reporting to architect for
necessary correction

4.SITE MEETING

5.SITE SUPERVISION

Now stage 4 reference to condition of engagement of September, 2011 includes;
• Handing over of site to contractor
• Issuing of Architect payment certificate
• Completion and acceptance of works by the client, defect liability period
• Issuing of practical completion certificate and final payment certificate
6.HANDING OVER SITE TO CONTRACTOR
1. Access to the site
2. Boundaries of the site (beacons in place)

7.SETTING OUT
1. Surveyor to mark boundaries/ corners. Architect to inspect setting out and
give go ahead
2. Inspect work done by contractors if it conforms with specification and
quality
3. Compliance to previous instruction if issued | Reviewed and implemented
4. Contractors work progress
5. Consultant progress report vis-à-vis proposed work program
6. Any problem/issues that may arise are looked into with view of proffering
solutions
8.PROGRESS REPORT
Weekly /Quarterly with pictures

9.ARCHITECTS INSTRUCTION
1. Enhance on specification
2. Level variation due to terrain
3. Anything outside design
10.VALUATION EXERCISE
Monthly with QS/Contractor, Architects forwards the report
11.PRE-HANDING OVER INSPECTION
1. Client

4. Architect as leader
12.SNAG LIST/ PUNCH LIST
Complied list for all defect and forwarded to contractor to make good (with
specific date duration Then final inspection Will be carried out.
13.CERTIFICATE OF PRACTICAL COMPLETION
This certificate is done when all works carried out by the Contractor have been
completed in accordance with all the provision of the contract, thus making it
ready to be taken over by client. This will mark the beginning of defect liability
period of six months including one raining season.
