INTRODUCTION

Technology is a significant factor in today's world in making work simpler and quicker. Computers are

used extensively in offices, businesses, and schools to enhance productivity and precision. They enable individuals

to finish tasks quickly and with less error. Computers are increasingly being used in schools to maintain records,

retrieve information, and prepare reports. This is more efficient and less time-consuming than manual systems,

where information is recorded and stored in physical files.

There are still some schools in the Philippines that employ a manual system in marking students'

attendance. Under this setup, teachers or school personnel write down students' names in a logbook or on an

attendance sheet. Although the system is effective, it is time-consuming and can be prone to errors, like lost

records or error marks. It is also hard to look for past attendance records as all of these are kept in paper files. A

computerized system, however, simplifies and speeds up the process by saving information in a digital database.

Attendance Monitoring System with Student Data Information with RFID Scanner is created to enhance

the process of monitoring student attendance in schools. Rather than handwriting names, the students will have

an RFID card to scan against their attendance. The system will automatically mark them present and retain the

information on a secure database. This enhances the accuracy and efficiency of attending to attendance tracking.

No more will school officials and teachers be required to tally attendance student by student, leaving them more

free time and lowering their work burden.

This system will automatically produce attendance reports. School administrators can simply look at which

students are present, late, or absent. If necessary, the system can also send reminders to students, parents, or

teachers. This ensures that attendance records are always current and readily available.
With the utilization of this RFID-based Attendance Monitoring System, schools will be provided with a

more advanced and secure means of monitoring student attendance. It will make the process more accurate, take

less time when recording manually, and have a more systematic manner of keeping records of students. This

system will be of significant assistance to both students and school personnel, enabling attendance tracking to be

faster, simpler, and more efficient.

BACKGROUND OF THE STUDY

Student attendance monitoring is important for schools, as it has a direct bearing on academic achievement

and administrative effectiveness. Manual roll calls and paper records are usually time-consuming and error-prone,

causing inefficiencies in monitoring student attendance and detecting absenteeism patterns. To overcome these

issues, most schools and universities have turned to automated attendance monitoring systems that use

technologies such as Radio Frequency Identification (RFID).

In a study by Agustin (2020), incorporating RFID technology into student tracking systems makes it

possible to track student attendance in real-time, both in terms of accuracy and efficiency. The system facilitates

instant time-in and time-out data transmission to parents, thus improving parent-school communication.

In the same vein, studies by Tansil et al. (2019) illustrated that an RFID-based classroom attendance

tracking system can automate the process of attendance through automatic student entries and exits tracking.

Automation takes the administrative task away from instructors and lessens the chances of human error when

keeping attendance.

In addition, a study conducted by Khan et al. (2018) pointed out that RFID-based attendance systems not

only increase accuracy but also enhance security in educational institutions. By tracking the entry and exit of

students, the systems assist in limiting unauthorized access and securing the school environment.
In the Philippine setting, the application of RFID technology in attendance monitoring has also yielded

positive effects. Salonga and Alinsub (2020) applied a study on a Philippine school's attendance monitoring

system and noted that manual systems have been time-consuming and less accurate. The use of automated systems

with RFID technology solved the problems through having an efficient and accurate system of tracking

attendance.

Overall, the transition from manual to automatic attendance monitoring systems, especially RFID-based

ones, is a valuable leap in school administration. Aside from enhancing accuracy and efficiency of attendance

monitoring, these systems are also helpful in creating a secure and well-managed learning space.

FLOW OF YOUR PROGRAM

The system starts with the authentication of users, whereby the teachers or administrators log in through

their credentials kept in the database of the system. Upon successful login, they are provided access to the facilities

of the system. Upon arrival in the class, a student should tap their RFID card, which the system reads and verifies

against the database. Whenever there is a legitimate entry, the system marks the student's attendance for the

corresponding subject according to the schedule and captures the timestamp. Once marked successfully, the

system automatically notifies the student or his/her guardian by sending an email. The subject of the email

contains information such as the student's name, the subject taken, and the time of arrival. Later, administrators

and teachers can see attendance records, filter them by subject, date, or student, and create reports. Other features

can include an RFID generator for student registration, a manual input option for attendance in the event of scanner

failure, and exporting attendance records for reporting.


SCOPE AND LIMITATIONS OF THE PROGRAM

The student attendance monitoring system aims to monitor student attendance effectively utilizing RFID

technology. It facilitates management of attendance by teachers and administrators through recording entries for

each subject when students use their RFID cards. The system offers an email alert feature that delivers live updates

to the students or their guardians, providing transparency. The user authentication is provided by a database,

providing access only to authenticated personnel. Other features include tracking attendance, filtering records by

date or subject, reporting, and possibly an RFID generator for student registration.

Nevertheless, the system has its shortcomings, such as dependency on RFID cards, where attendance will

have to be manually marked in case a student forgets or misplaces their card. The email notification functionality

relies on a consistent internet connection and correctly set up credentials, which can lead to delays in case of

network problems. The system does not include biometric authentication, thus being vulnerable to RFID card

switching. The attendance tracking is also only for in-class tracking and lacks remote or blended learning support.

Although records can be exported, the system does not include sophisticated analytics or AI-based insights for

more profound attendance trends.
