MS Access is defined as a
database computer program by
Microsoft used to organize and
MS use information for home or
business. An example of MS
Access Access is a program for
keeping detailed notes about
all business contacts.
DATABASE
What is DATABASE
?
A database is a collection of data that is stored in a computer system. Database allow their users
to enter, access and analyze their data quickly and easily. In simple words, A database is
an organized collection of structured information, or data, typically stored electronically
in a computer system. The data can then be easily accessed, managed, modified, updated,
controlled, and organized.
For example-in schools, we
make A student
database……
Some popular database are
MS ACCESS, FILE MAKER PRO,
Oracle database ….Etc.
Structure of DATABASE
• Tables - Tables are the basic building blocks of a database. All
the data stored in the tables. It consists of rows and
tables.
• Elements of table – There are 3 elements of table. That is field ,
records and primary key.
• Queries - Queries are used to retrieve specific data from your
database and to answer question about your data. Example we
can use query to find the names of the students in a database
who scored more than 80 marks in Hindi
• Forms - Forms give you the ability to choose the
format and arrangement of fields. We can use a form to
enter, edit and display data .
• Reports - Report on the summarize your data so that you can
print it or view it on screen. We often use reports when we
want to analyze our data or present our data to others.
There are several advantages of database. Here
are few of them-
Advantages • It gives us improved data sharing and
security.
of • It provides us data access and decision
DATABASE making.
• It is fast & reliable method of
retrieving data.
• The data is recorded at only one
place in database and is not
duplicated
• Database improves data integrity
• A single
database
multiple
tables and
relationships
can be
created
between
tables.
DBMS
Database Management Systems (DBMS) refer
to the technology solution used to optimize and
manage the storage and retrieval of data from
databases. It is a tool to store, edit and organize
data in a database . DBMS offers a systematic
approach to manage databases via an interface for
users as well as workloads accessing the
databases via apps. Some DBMS examples
include MySQL, PostgreSQL, Microsoft
Access, SQL Server, FileMaker, Oracle,
RDBMS, Clipper, and FoxPro.
RDBMS
Stands for "relational database management
system." An RDBMS is a DBMS designed
specifically for relational databases.
Therefore, RDBMS are a subset of DBMS.
A relational database refers to a database that stores
data in a structured format, using rows and
columns. This makes it easy to locate and access
specific values within the database. It is "relational"
because the values within each table are related
to each other.
Components
of MS
Access
• Tell me what you want to do – It is used to get some help on the
topics or the commands we are searching for.
• Navigation pane - The navigation pane is the main way you view and
access all your database objects like table, queries, forms and reports;
and it displays on the left side of the access window by default.
• Navigation button – We can use it to navigate through the records of
our tables.
• Object tabs – It shows the current object contents.
• Status bar - The status bar is the horizontal bar at the bottom of the screen
that displays information about the current condition of the program, such
as the status of items in the window, the progress of the current task, or
information about the selected item.
Views of Tables
Datasheet View - A datasheet is a useful way of viewing data in Access.
Datasheet view allows a user to view many table records at the same time. In
datasheet view, information is displayed in rows and columns like a spreadsheet.
Records are displayed as rows, so each row is an individual record.
Design View - Design view, which allows you to work with the underlying
structure of your tables, queries, forms, and reports. In Design view for tables,
each row corresponds to a field. You can edit, insert, and delete fields in
your database tables in Design view.
Creating an • Open access.
• You will see some template in the window
Access which opens. Click a template from the
given list.
database • Specify a filename and click create button
• Access creates and open your database in form
view.
• Click on the layout view button on the lower
right side of the status bar.
• Select add existing fields button in the tools
group of the design tab. The field list pane
appears on the right side.
• Select the field that you want to include in contact
database and
drag and drop
it to the
required for
position in the
table.

What else can we do in MS access ?
THERE ARE ENDLESS NUMBERS OF
THINGS TO DO IN ACCESS -
• Personal applications.
• Small-business applications.
• Departmental applications.
• Corporation-wide applications.
• Front-end applications for
enterprise-wide client/server
databases.
• Web applications.
• Access as a development platform for
personal applications.
Conclusion
MS Access is very useful. It allows us
to do our work easier and faster and as
well as has many uses in our daily lives
and is used by many people for their
office and several other works. We tried
to introduce some of the features, but
it still has many features......
