LO 1: Introduction to Microsoft Publisher


Objectives:
• Familiarize with Microsoft Publisher interface; and
• Use the tools in the ribbons of Microsoft Publisher.

PUBLICATION MADE EASY


A publication is a creatively designed material that is printed and
published for marketing or communication purposes. It can used online or in
print form.

Microsoft Publisher is a desktop publishing program. It is used


to design, layout, and create text and picture-rich publications.
Microsoft Publisher is useful in creating newsletters, posters, calendars,
brochures, and certificates.

Text, pictures, and elements entered in Microsoft Publisher are entered


into a frame. It can be moved anywhere on the page. Frames can be resized
or placed inside another frame. Pages are created one at a time not like
Microsoft Word wherein text flows to another page. Each frame in Microsoft
Publisher has a formatting bar. If you click on a frame, you will see a
formatting toolbar with options to modify the frame.
Publisher offers excellent control over certain aspects of your
publication. Publisher makes it easy to work with documents in a variety of
sizes and shapes. It also has a large number of tools to help you arrange and
align text, images, and other objects within page margins.

Parts of Microsoft Publisher Interface


1. Ribbons – It holds the commands in tab form grouped according to their functions.
 Tabs – represent a general activity area
 Groups – show related tools (commands) together
 Commands – a button, expandable menu, or a box for entering related
information

Click the various Tabs: observe how the Groups and Commands change based on
the selected Tab.

2. Quick Access Toolbar – It is customizable toolbar that can let you access
common commands.
Place the mouse arrow over each icon (do not click) to see the name and use
for each icon.
You may customize the commands in the toolbar if you click the black arrow at
the end of the toolbar. The Undo command “takes back” any changes made to
the document.
For example, type “Undo” in the blank document you have open, then click
Undo in the Quick Access Toolbar. Undo keeps track of actions by sequence; if
you accidentally erase (change) data in your file, click Undo right away to get it
back. On that note, it is important to “save early and save often.”

3. Title Bar, Help Menu, Window Display Options


• The Title Bar shows the name of the program and the name (title) of your
document. (Top-most bar in program window.) A new document has a
temporary title, Publication1, until you “Save As” with a different name.
• The Help Menu has articles on using the software. Not sure how to perform
a certain action or where to find a command? Click the question mark icon
to browse Help articles, or search for specific topics.
• Window Display Options include Minimize (docks window in status bar),
Restore (makes window smaller for manual re-sizing or full screen), and
Close (closes window and program) buttons.

4. Publisher Organization Tools
Publisher offers many tools to help organize and arrange content in your
publication.

• Baselines are evenly spaced horizontal lines that can be used to line up text. To
show Baselines:
1. Click the View Tab
2. Look in the “Show” group
3. Check box next to “Baselines”
Baselines will not print. To hide Baselines, uncheck Baselines box.
• Boundaries are dark blue dashed borders that appear around objects. Viewing
object boundaries can be useful to align objects or view text.
• Rulers are on the leftand top ofthe publication to help line up text, images,
and otherobjects. When an object is selected, a white space will appear
on the rulers to show the object’s location.
• Guides – It is a horizontal and vertical line that appears when you click on your
text, image, or object on the page.

There are two types of guides:


 Margin guides are blue lines that mark the edges, or margins, of a printable
area; they are automatically created when page margins are set.
 Customizable guides are green lines that can be added anywhere in a
publication. To add them:
1. Left-click and hold the horizontal or vertical ruler
2. Drag the mouse to the publication
3. Release to add the guide to a location
The guide will be placed, and it can be moved at any time by clicking and dragging it.

• Page Navigation Pane – It shows a preview of the page in your publication. You
can duplicate the pages in this pane. You can also add, delete, and organize
your pages into different sections.
• Scratch Area is the grey area outside the white page area. It shows objects or
portions of objects located outside page boundaries; anything in the scratch

area will not print. You can think of it as a holding space while you decide what
to place and how to place it in your publication.

5. Zoom and Views – Views gives you the option to view your publication on a
single page or a two-page spread. Zoom gives you the option to view your
publication closer. It can be zoom in or out by dragging the slider.

Microsoft Publisher Ribbons


File Tab – It is a backstage view that shows options for saving, opening a file,
printing, and sharing your document. It contains save, save as, open,
close, info, recent, new, print, save and send, help, options, and exit commands.
Home Tab – It is the most used tab. It contains the clipboard, font, paragraph,
styles, objects, arrange, and editing tools.
Insert Tab – It contains the pages, tables, illustrations, building blocks, text,
links, and header and footer tools.
Page Design Tab – It contains the template, page setup, layout, pages,
schemes, and page background tools.
Mailing Tab – It contains the start, write, and insert fields, preview results, and
finish tools.
View Tab – It contains the page views, layout, show, zoom and window tools.

Saving your first Publication
To make sure you don’t lose your work on a document, you should “save early and save
often.”

Let’s start by saving the document you have open in Publisher:


1. Click the green File Button near the Tabs.

2. Click Save As. This option is for saving, or naming, a file for the first time. You

may create different versions of a file by “saving as” a new name.


3. Click “Computer or your desire File Location”.

4. Click your file folder. Consider a USB drive, or OneDrive for long-

term storage.
5. Name file “My 1st Publication”. Generally, choose a name that is easy to

remember.
6. Click Save.

Objectives:
• Design and create different publication materials using
Microsoft Publisher.

Publisher is a great application for creating visually rich, professional-looking


publications without investing lots of money and time in a complicated desktop
publishing application.

GUIDELINES IN CREATING A GOOD PUBLICATION


You need to follow the following guidelines to create a good publication.
1. Plan your publication. Choose a good layout, paper, and print option.
2. Create a mock-up copy of your design on a piece of paper.
3. Imagine what your design will look like.
4. Choose an existing design as your model or guide. You can exceed your model
if you are very creative.
5. Be original. Famous designers are known for being original. Even if you have a
model, you can still be original with your own designs.
6. Create a theme. Do not personalize your work. Make your creation follow a
theme or a message you want to be heard.

Different Types of Publications


The following are the different types of publications that can be created in
Microsoft Publisher:

CREATE A PUBLICATION
Publisher has a lot of templates that you can easily use and publish. You can modify and design
it according to your needs.

To Create a Publication from a Template:


Publisher allows you to choose from various templates to create professional
looking publications. Each predesigned template has placeholders to guide your design.
Once you learn how to manipulate and change one template, you can apply those skills
to other templates.

• Open Microsoft Publisher Program.


• Click File > New. The selection of templates will appear on the templates pane.
• Select the type of publication you want to create. It can be installed and online
templates. Choose where you want to get your template and click download to
create.

To Create a blank Publications:


If you don't want to use a template or can't find a template that suits your needs,
you can create a blank publication. Remember, when you create a blank publication you
will have to set up page margins, add guides, and make all layout and design decisions
on your own.

• To create a blank publication, click the New tab in Backstage view,


then select a blank page size in the Available Templates pane.

Customizing your publication layout
Whether you chose to create a publication from a template or from a blank page,
you may decide to change the publication layout. Three components you can change
are margins, size, and orientation. Although you can modify these settings at any time,
you should be careful if your publication already contains objects like text, images,
and shapes, as you'll have to adjust them to fit the new layout.

To modify page margins:


1. On the Ribbon, select the Page Design tab, then locate the Page
Setup group.
2. Click the Margins drop-down command.

4. A drop-down list will appear. Select the desired margins.

5. The new margins will be applied.

If you are not satisfied with any of the margin options, select Custom
margins... to open the Layout Guides dialog box. There, you can specify margin widths.

To change page size:
1. On the Ribbon, select the Page Design tab, then locate the Page
Setup group.
2. Click the Size drop-down command.

3. Select the desired page size from the drop-down list that appears.
Remember, you should make sure your printer is capable of
handling paper that size.

4. Your publication's page size will be changed.

If the desired page size isn't included in the drop-down list, select More Preset
Page Sizes... to view a larger list of page sizes.

To change page orientation:


1. On the Ribbon, select the Page Design tab, locate the Page
Setup group, then click the Orientation drop-down command.
2. Select Portrait orientation to make your publication taller than wide
or Landscape to make it wider than tall.

3. Your publication's page orientation will be changed.

Depending on the template you chose, changing the page orientation may have
a negative effect on your presentation. While some templates work equally well in both
orientations, others do not.

LO 3: Printing your Publications


Objectives:
• Create your publication design; and
• Print your publication.

Working with a Publication


Working with a publication, whether new or pre-existing, requires some
planning before you start.

Page Layout
Creating a publication from a template takes care of many choices for you, but if
you use a blank template or decide to modify a built-In template, consider important
components of page layout:

Size: Publications like flyers can be large or


small. A standard sheet of paper is 8.5
inches wide by 11 inches tall. Larger
sheets of paper can be expensive and
difficult to print, so consider your paper
size.

Orientation: Do you want the publication to have landscape orientation (wider than
tall) or portrait orientation (taller than wide)?

Margins: Margins are areas of blank space that line the edges of a printed document,
so the width of page margins can affect the look and feel of the publication. Wide
margins can look sophisticated but do not leave much space for images and text.
Narrow margins can provide much more space with which to work. You may also
need to consider the following:

 Paper type – If you need assistance for what type of paper you
should use, office supply store may be able to help.
 Paper Color – Usually white or cream-colored paper is the
best choice, but if you are printing in grayscale or black
and white, colored paper is attention-grabbing and
visually appealing.
 Delivery – Consider what type of packaging you will use and how you
will add an address.

 Post printing needs - Will your publication need cutting, folding,
stapling, or assembling?
 Printing options and settings – Before you print your
publication, review Publisher printing options and
settings by clicking the File menu.

Add pictures to Slides


You can easily insert pictures into your publication from the web and other places.

Here’s how to insert pictures from the web:


1. Click Insert Tab.
2. Click “Online Pictures” in Illustrations Group.
3. Search for “New York City” in the Office.com Clip Art
4. Select a picture you like.
5. Click Insert.
How to move a picture:
1. Place mouse pointer over picture.
2. Look for cross-like move arrow tool.
3. Click and drag your shape to a new spot.
How to re-size a picture:
1. Click into the picture.
2. Look for squares around the frame.
3. Click and drag a frame square.
a. Drag a corner out to enlarge proportionally.
b. Drag a corner in to shrink proportionally. Add a couple more pictures, and try re-
sizing them.

Modify Some Text
1. Right click on the default page and in the Zoom In/Zoom Out menu,
change the Zoom setting from 100% to 150%.
2. Edit the contact information by
clicking inside the text placeholder in
the third section that contains the name
“Terry McQuown”. Modify the name.

Adding, rearranging, and deleting pages


If you're creating a newsletter or another type of publication with multiple pages,
you might find the Page Navigation pane useful. The Page Navigation pane gives you a
way to view and scroll through the pages in your publication. It also includes features
that let you add, move, and delete pages.
• To open the Page Navigation pane, click the View tab on the Ribbon,
then locate the Show group. Select the Page Navigation check box.

To add a new page:
1. In the Page Navigation pane, right-click any page, then select Insert
Page.

2. The Insert Page dialog box will appear. Specify the number of pages
to insert and the location where you wish to insert them.
3. Choose what will appear on the new pages. By default, the pages
will be blank, but you can also choose to create pages that
include one text box or pages that are duplicates of an existing
page.
4. Click OK.

5. The new page or pages will be inserted.

Depending on the template you're using, when you add a new page you may see
a dialog box with page layout options.

To move a page:
1. In the Page Navigation pane, locate the page you wish to move.

2. Click and drag the page to its new location, then release the mouse.

3. The new page order will be applied.

To delete a page
1. In the Page Navigation pane, right-click the page you wish to delete,
then select Delete in the list that appears.

2. If the page is part of a two-page spread, Publisher will ask if you


wish to delete one or both pages. Make your selection, then
click OK.

3. The page will be deleted.

PRODUCING PRINTED PUBLICATION


The following things are considered in producing a printed publication:

• Paper Size
The paper size should be of the same size as the publication layout. Check
your publication layout and printer before printing. Preview or print or test page
if possible.
• Paper Type
The type of paper should match the kind of publication you are printing. A
greeting card should have a card paper while a brochure uses a glossy one. A
picture should be on a photo paper and a label on a sticker.
• Color
A white standard paper can make the contents of your publication easy to
read. A colored paper makes your publication more attention-getting or visually
appealing. Be sure that the contents of your publication will not suffer from the
color of your paper.
• Delivery
Consider also how your publication will be delivered to the viewers.
Example: online, hand-out, or by any means on how it will reach other people.
