Week 1: Offer Clarity & Deep Discovery

Goal:
Achieve full clarity on the client's coaching business, offer structure, and ideal client profile to set
a solid foundation for the 8-week buildout.

Brandon
Responsibilities:

​ Conduct Deep-Dive Strategy Call (Zoom)


​ Lead the strategy session to:
○​ Understand the client’s niche, offer, and goals.
○​ Clarify target audience and transformation journey.
○​ Confirm the coaching model, pricing, and fulfillment method.
○​ Discuss monetization options and revenue projections.
​ Assign initial client tasks (content gathering & existing materials).
​ Provide the roadmap overview for the 8-week journey.
​ Document key insights from the call into a Google Doc (Client Discovery Notes).
​ Save the recording of the session in the shared Google Drive folder.

Trisha
Responsibilities:

​ Onboarding Process:
○​ Send Welcome Email + Onboarding Checklist (Google Docs template).
○​ Send Intake Form (Google Forms) to gather client information.
​ Organize insights from strategy calls into a structured framework (Google Doc).
​ Follow up with the client to ensure intake forms are completed on time.
​ Track assigned client tasks in Google Sheets Progress Tracker.
​ Send reminders if tasks are incomplete.
​ Report weekly updates to Brandon/Lee on client progress.

Lee
Responsibilities:

​ Create Project Timeline in Google Sheets with Week 1-8 milestones.


​ Assign Week 1 tasks to the internal team.
​ Ensure all client documents are uploaded to Google Drive before moving to Week 2.
​ Communicate deadlines and dependencies to team members.
​ Maintain Internal Progress Tracker in Google Sheets.
​ Flag any delays or missing documents.
​ Share Google Drive Folder with pre-organized subfolders:
○​ Discovery Call Notes
○​ Client Materials (PDFs, Frameworks, Templates)
○​ Program Outline
○​ Competitor Research

Michelle/Gladys
Responsibilities:

​ Set up a client's profile inside GoHighLevel.


​ Create pipelines for:
○​ Leads
○​ Applications
○​ Consult Calls
​ Automate lead nurturing sequences:
○​ Application Confirmation Email
○​ Follow-up Sequences
​ Share automation flow chart with Brandon, Lee, and Trisha in Google Docs.
​ Test all automations before Week 2.

VA (Trisha/Lee to Temporarily Handle)


Responsibilities:
●​ Research top 3 competitor offers (price points, structure, positioning).
●​ Compile competitor insights into Google Sheets Competitor Analysis.
●​ Provide at least 3 messaging/branding inspirations (Instagram, Websites, or PDFs).

Client's Responsibilities
​ Complete Intake Form (Google Forms)
​ Upload Existing Materials to Google Drive
​ Approve Offer Outline (Google Docs)
​ Confirm Coaching Model, Pricing, and Transformation Journey
Process Improvements

2.​ Automated Reminders:
