New B2B Process Overview

Why are we changing this?

● Enhance compliance with legal and regulatory requirements.


● Improve transparency and accuracy in invoicing.

Key Changes:

1. Invoicing Model:
○ Shift from a fixed monthly amount to an hourly-based invoicing system.
○ Hours worked will be tracked in Kenjo.
○ Invoices will reflect hours worked x hourly rate.
2. Vacation Tracking:
○ No predefined vacation days.
○ 1800 hours per annum of invoicing includes vacation time (explained in Slide 3).
○ Contractors must log vacation days in Kenjo to keep their managers informed of planned hours.
Why 1800 hours?

Working Days in a Year: 365 days - 52 weekends (104 days) = 261 Working days
Minus 25 vacation days: 261 - 25 = 236 days
Minus 11 public holidays: 236 days - 11= 225 days

225 working days x 8 hours = ca. 1800 hours/year


What about time off?

Let’s assume you make 12.000€ p.a.

Example Invoice Calculation

Assume a Contracted Rate of: €36,000 per annum.

Annual Hours: 1,800 hours.

Calculate the Hourly Rate:

● Hourly rate = Annual compensation / Annual contracted work hours.


● €36,000 / 1,800 hours = €20/hour.

Monthly Breakdown

● Hourly rate: €20/hour.


● Hours worked in the month: 150 hours.

Invoice Calculation:

● Monthly invoice = Hours worked x Hourly rate.


● 150 hours x €20/hour = €3,000.
FAQ

Q: Do we have paid vacations and holidays?


A: From a legal standpoint, no, paid vacations and holidays have never been part of your contract. However, the hourly rate is
adjusted to account for this. While you are contacted for 1800 hours, an employment contract employee is contracted for 2.088
hours. They make less per hour because they get paid for the days the are off too. You make more per hour and do not invoice
hours not worked. The amount of time off and compensation is the same on the bottom line.

Q: Am I free to decide if I take time off?


A: Yes, you are free to decide when to take time off. However, over the course of the year, you are expected to take the equivalent
time off to ensure fair pay and because we want you to use time off to recharge.

Q: Can I work extra hours?


A: You are contracted for 1800 p.a. and are expected to work 1800 p.a. Any extra hours will not be compensated, as is for
employment contracted individuals.
FAQ

Q: Should extra hours worked be compensated with time off later?


A: Ideally, yes. To manage workloads and maintain balance, extra hours should be evened out with time off within a reasonable
period.

Q: Can I work weekends?


A: Working weekends is possible from a legal standpoint, as the B2B framework offers flexibility in how and when you fulfill your
work hours. However, we encourage aligning your schedule with the company’s core working hours and communicating clearly
with your manager to ensure smooth collaboration and availability for team activities.

Q: Will we sign new contracts to reflect these changes?


A: No, your contract reflects that you are contracted for 1800 hours of work.

Q: When should we generate invoices under the new structure?


A: Invoices will be generated based on the hours worked in a given month. This might mean invoices can only be finalized the
following month after all hours are accounted for. However, we encourage you to send your invoice on the 20th or 21st of a
month and we are looking into options in Kenjo for you to accurately track time from 20th of the previous month to 20th of the
month of invoice.

Q: How will sick leaves be managed under the new structure?


A: Since tracking is hourly, there might not be a specific "sick leave" allowance. However, this is under discussion, and
guidelines will be provided by your direct supervisor.

Q: Do we still need to use Kenjo for booking national holidays, sick days, and planned vacations?
A: Yes, it is important to log them in Kenjo for transparency and to keep managers informed about when employees are
unavailable.

Q: What happens if I take no time off or work more hours than contracted?
A: Your earnings will reflect the hours worked. However, there is an expectation to balance hours over the year, whether through
time off or adhering to agreed-upon limits.
