Intended use and precautions
Neo, the floor scrubbing robot, is designed exclusively to wet scrub
smooth hard floor surfaces (concrete, tile, stone, vinyl, etc.) in
commercial environments. This robot can be operated in either robotic
mode (without operator) or manual mode (with operator). This robot is
intended for indoor use only. Do not use this robot on soil, grass,
artificial turf, or carpeted surfaces. Do not use this robot other than
described in this Operator's Manual. Neo floor scrubbing robots must
only be used by trained operators in controlled, restricted environments
approved by Avidbots Corporation.
Additional training materials may be provided as to the intended use of
the Neo floor scrubbing robot, and it should only be used in accordance
with such training. Use the robot in approved environments in
accordance with the provided Avidbots documentation and training.
The operator is responsible for the use of each Neo floor scrubbing
robot in both manual and auto mode. All operators must be aware of
the safety warnings and use the robot in accordance with its intended
use and be cognizant of precautions at all times. Operators will not
engage in any of the following conduct or activities:
• Transmission of any software or other materials that contain any
viruses, worms, trojan horses, defects, spyware, spiders,
screen−scrapers, or other items of a destructive or disruptive
nature;
• Exploitation of the Neo floor scrubbing robot’s hardware or
software in any unauthorized manner, including by trespassing or
burdening server or network capacity or infrastructure;
• Framing, mirroring, or reselling any part of the Avidbots software
or hardware without written authorization from Avidbots Corp;
• Unauthorized collection, storage or transferring of user
information;
• Attempting to deliberately damage the software or hardware, or
to undermine the legitimate operation of the robot; or
• Use of the robot for purposes other than floor cleaning, scrubbing
or disinfecting.
The robot’s onboard 3D sensors may capture images of people who
happen to be in its proximity. Observe any local laws of operation
relating to use of technology with sensors. Comply with all applicable
data privacy laws of the jurisdiction where the robot operates, including
using signage or obtaining consent as required.

INTRODUCTION
The purpose of this Operator's Manual is to provide users with an
outline of the Neo 2 floor scrubbing robot’s daily use, including
important safety information, operating instructions and maintenance
guidelines.
All operators must read this manual prior to using the robot or receive
appropriate training. This manual does not contain instructions for
parts replacement or advanced maintenance. Contact Avidbots
Technical Support at [email protected] for the relevant
guides and procedures required.

SAFETY AND REGULATORY
The following warning symbols and headings are used throughout this
document to provide important guidance for operating the Neo floor
scrubbing robot.

DANGER
Indicates a hazardous situation that will cause a serious injury or
even death if not actively avoided.

WARNING
Indicates a hazardous situation that may result in damage to
property, injury or death.

CAUTION
Indicates a hazardous situation that might cause an injury that is
classified as minor to moderate.

NOTICE
Used to convey other information when there is no hazard
present and no risk for personal injury.

SAFETY INSTRUCTIONS
Describes safety-related instructions or procedures.

Operating environments
DANGER: EXPLOSION
Flammable materials can cause explosion or fire. Do not use the
robot to pick up flammable materials. Do not use the robot in
proximity of flammable materials.

CAUTION: VOID WARRANTY


Do not operate the robot in outdoor environments.
Using Neo floor scrubbing robots in locations that are not indoor
voids the robot warranty.

Neo, the floor scrubbing robot, is designed for use in indoor
environments only. Avidbots defines “indoor” locations as fully enclosed
and sheltered climate-controlled areas that are protected from direct
sunlight and precipitation.
Do not use Neo robots in:
• Environments where persons other than operators are expected
to be within 2 meters of the operating robot more than 60 times
per hour on average.
• Environments with unguarded sudden drops, stairs, escalators,
voids or moving platforms.
• Environments with a gradient of more than 3%.
• Low traction environments (icy surfaces, etc.).
• Environments with features of very high reflectivity (for example,
mirrors, chrome etc.) or very low reflectivity less than 10% (matte
paints, black felt etc.).
• Environments containing flammable, explosive, or hazardous
substances.
• Any environment which may violate the rated specifications,
intended use and approved environments as stated in the
Operator's Manual.

Safety precautions and warnings


To use the robot, an operator must:
• Have been trained and authorized by Avidbots Corporation or its
designee.
• Have read and understood the Operator's Manual.
• Not be under the influence of alcohol or drugs.
• In Manual Mode: not use a cell phone or other types of electronic
devices.
• Be mentally and physically capable of safely operating the robot.
(Persons with conditions requiring the aid of electronic devices,
for example pacemakers, must follow all safety precautions
recommended by their medical equipment supplier or health
care provider regarding use of machinery.)
Operators must not use the robot:
• With the brake disabled.
• Without filters in place or clogged filters.
• If the robot is not in proper operating condition.
• In areas where flammable vapors/liquids or combustible dusts are
present.
• In outdoor areas. This robot is for indoor use only.
• In areas where the possibility of falling objects exists.

• With cleaning floor pads, brushes, or accessories not supplied or
approved by Avidbots Corporation. The use of unapproved
brushes may hinder the robot’s safe operation.
• If the robot has a Disinfection Add-On installed and the operator
uses a sensitive medical device such as a pacemaker or
defibrillator. This machine contains an electrostatic device that
may interfere with such medical devices.
Before starting the robot, operators must:
• Check robot for any fluid leaks.
• Make sure all safety devices are in place and are operating
properly.
• Check brakes and steering for proper operation.
When using the robot in manual mode:
• Ensure safe operation of the robot at all times.
• Use the robot only as described and for the purpose outlined in
the Operator's Manual.
• Ensure a safe speed while turning.
• Move slowly on inclines and slippery surfaces.
• Do not scrub on inclines that exceed 3% grade.
• Do not transport on inclines that exceed 3% grade when the
pads/brushes are installed.
• Do not transport on inclines that exceed 18% grade when the
pads/brushes are removed.
• Drive slowly through doorways and narrow openings.
• Be cautious of the squeegees’ proximities to bystanders and
obstacles.
• Always be aware of surroundings while operating robot.
• Use care when reversing robot.
• Keep children and unauthorized persons away from robot.
• Do not allow the carrying of passengers on any part of the robot.
The robot is not designed to carry passengers in any capacity.
• Always follow safety and traffic rules.
• Report robot damage or faulty operation.
• Follow mixing, handling and disposal instructions on detergent or
other chemical containers.
• Place proper floor cleaning signage in areas where the robot is
operating while people are present, in accordance with standard
floor cleaning practices.
• Follow site safety guidelines concerning wet floors.
When the robot is operating in autonomous mode:
• Use only as described in the Operator's Manual and only in the
approved environments.
• Do not attempt to ride robot.
• Do not stare at the blue safety light; it may be harmful to the eyes.

• Do not operate robot in environments requiring fail−safe
performance (areas where robot failure could lead to personal
injury or property damage).
• Guard or protect areas with sudden drops, stairs, escalators, or
moving platforms in area of robot operation with a physical
barrier.
• Do not use ladders, scaffolds, or other temporary constructed
structures in area of robot operation.
• Only scrub flat, hard surfaces.
• Only allow autonomous operation on surfaces with a maximum
incline of 3%.
• Do not operate robot in low traction environments (ice, oil, etc.).
• Ensure no electrical cords or low-profile items (anything having a
height of 15 cm or less from the ground) are in area of robot
operation.
• Always operate robot in manual mode when going into elevators
or through automatic doors. Programmed mapped routes should
never include paths going into elevators or through automatic
doors.
• Keep children and unauthorized persons away from robot.
• Do not allow the carrying of passengers on any part of the robot.
The robot is not designed to carry passengers in any capacity.
• Always follow safety and traffic rules.
• Report robot damage or faulty operation immediately.
• Follow mixing, handling and disposal instructions on detergent or
other chemical containers.
• Place proper floor cleaning signage in areas where the robot is
operating while people are present, in accordance with standard
floor cleaning practices.
• Follow site safety guidelines concerning wet floors.
Before operators leave a robot parked and unattended, operators
must:
• Stop on level surface.
• Ensure autonomous cleaning plans are cancelled.
• Power off the robot.

When the robot is being serviced:
• All work and maintenance must be performed by trained persons.
• All work must be done with sufficient lighting and visibility.
• The work area must be kept well ventilated.
• Service personnel must avoid moving parts, not wear loose
clothing or jewelry, and secure long hair.
• Block robot tires before jacking robot up.

• Use only low-profile floor jacks or low-profile automobile jacks to
move or lift the robot. Jacks must be rated to lift the weight of
the robot.
• Do not push or tow the robot on inclines with the brake disabled.
• Do not power wash /hose off robot. Electrical malfunction may
occur.
• Plug the off-board charger into a properly rated outlet only.
• Do not disconnect the off−board charger’s DC cord from the
robot’s receptacle when the charger is operating. Arcing may
result. If the charger must be interrupted during charging cycle,
disconnect the AC power supply cord first.
• Disconnect battery connections before working on robot.
• Do not attempt to unplug battery charger cord by pulling cord.
Grasp plug at outlet and pull.
• Do not use incompatible battery chargers as this may damage
battery packs and potentially cause a fire.
• Do not attempt to charge frozen batteries.
• Inspect charger cord regularly for damage.
• Avoid contact with battery acid.
• Keep all metal objects off batteries.
• Use a non-conductive device to remove batteries.
• Use a hoist or cart and adequate assistance when removing
batteries.
• Support the battery tray when pulled out of the robot battery
compartment. An unsupported battery tray may tip over.
• Battery installation must be done by personnel trained by
Avidbots Corporation or its designee.
• Follow all site safety guidelines concerning battery removal.
• All repairs must be performed by personnel trained by
Avidbots or its designee.
• The robot may not be modified from its original design.
• Use only replacement parts supplied or approved by
Avidbots Corporation or its designee.
• Wear personal protective equipment (PPE) as needed and where
recommended in the Operator's Manual.
• If the robot has a Disinfection Add-On installed, do not touch or
insert anything into the nozzle of the sprayer unless the robot is
powered down.
When handling the robot’s batteries:
• Always keep the battery bay door open while charging batteries
inside the robot. Keep open flames and sparks away.
• Only use chargers approved for the robot’s battery type and
equipped with an automatic shut off.
• Never overcharge the batteries.

• Never connect a battery charger or other power supply directly to
the robot’s internal power connector.
• Do not connect a battery charger or other power supply directly
to the robot’s internal power connector.
• Only use the battery trays configured for Neo 2 floor scrubbing
robots. Battery trays from past versions of the robot are not
compatible. Battery trays configured for Neo 2 will be labelled as
such on the front left of the battery tray.
• Wear gloves, foot protection, and eye protection when installing
batteries.
• Ensure that the battery charging area is well ventilated.
• Follow local guidelines for the safe disposal of batteries.
When moving the robot by truck or trailer:
• Drain tanks before loading robot.
• Use ramp, truck or trailer that will support the weight of the robot
and operator.
• Do not drive on a slippery ramp.
• Use caution when operating on a ramp.
• Do not load/unload on ramp inclines that exceed an 18% grade.
• Lower cleaning head and squeegee before tying down robot.
Cleaning head and squeegee may need to be raised before
moving on ramps.
• Power off the robot.
Turn key switch to off position.
Remove key
Block robot tires.
• Use tie-down straps to secure robot.

Safety recommendations
Before starting the robot:
• Release all emergency triggers (such as the Emergency Stop (E-
Stop) button, bumper and cleaning head flaps).
• Close the battery bay door.
• Secure in place and latch cleaning head, squeegee and all
securing covers are in place and latched.
• Attach and secure all hoses.
• Close the recovery tank cover.
When the robot is in operation:
• Remove any objects 15 cm in height or less in the robot’s cleaning
path, including unsecured floor mats, which should not be
thrown by the cleaning floor pads and brushes or be pulled under
the robot.

• Remove any cables from the floor on which the robot will be
operating.
• In manual mode, always be aware of surroundings.
• Use extra caution when operating in Reverse gear and backing
up near walls.
• Keep hands and feet clear of moving parts.
• Do not operate on inclines greater than 3%.
• Robots left unattended must be secured against unintentional
movement.
• Use only low-foam cleaning agents, suitable for automatic
machines. Follow instructions on chemical containers for mixing,
handling, and disposal.
• Ensure that the area where the robot is operating is clear of
people and animals at all times. If people are unavoidably present
where the robot is operating, ensure that:
They are aware that the robot is operating in the area; and
that they must get out of the way if it approaches them;
They have sufficient mobility to avoid and move out of the
way of the robot.
They do not have any physical or mental impairment that
could prevent them from avoiding the robot.
They are not distracted or likely to be distracted by the
robot.
Before storing the robot:
• Park the robot and store it on a level surface.
• Power off the robot.

• Do not short-circuit supply terminals.
• Remove the batteries from the robot if storing for an extended
period.
When charging the batteries:
• Ensure the charging area is well ventilated.
• Only use chargers approved for the robot’s battery type with
automatic shut off.
• Do not overcharge the batteries.
• Do not connect a battery charger or other power supply to the
robot’s internal power connector.
• Ensure the robot is powered down before charging the batteries.
When servicing or cleaning the robot:
• Park the robot on a level surface.
• Avoid moving parts. Do not wear loose clothing or other items
which may be caught in machinery.

• Disconnect batteries and/or main power when working with
machine parts or electronics.
• When working with batteries, remove all metal jewelry and do
not put anything on the batteries – metallic objects, in particular.
• Do not charge the batteries if the charger has a frayed or
damaged power cord.
• Do not clean the robot with a high-pressure hose. Do not
immerse the robot in water.
When the Disinfection Add-On is installed:
• Do not operate in flammable or explosive environments.
• Do not touch or insert anything into the nozzle of the sprayer
unless the robot is powered down.
• Keep hands and feet clear of moving parts.
• Do not operate the robot or stand within 10 feet if you use a
medical device that is sensitive to electrostatic devices (such as a
pacemaker). Contact your physician prior to operation if you are
unsure if this machine will interfere with your medical device.
When transporting the robot:
• Ship the robot in its original packaging.
• Lower the cleaning head transporting it on a moving platform.
• Engage the Emergency Stop (E-Stop).
• Remove batteries for shipping.
• Do not move on inclines of greater than 18%
• Only lift the robot by its designated lift points; never lift the robot
by its tank or wheels.
• Do not operate the robot in locations where the temperature may
fall below freezing. Any water inside the robot may freeze and
cause damage. Only store the robot in locations where the
temperature may fall below freezing if all water has been
removed from the tanks, water lines, filters, and pump.
• Use only low-profile floor jacks or low-profile automobile jacks to
move or lift the robot. See "Moving the robot using a jack" for
more information.

Safety features
The Neo 2 floor scrubbing robot is supported by a range of automatic
safety features designed to detect and react to potential risks and
dangerous operation. These situations include:
• Obstacle detection
• Collision
• System diagnostics
• Loss of localization
When one of the above situations occurs, the robot either re-plans its
route or pauses operation. In some cases, power to the robot’s
mechanical systems is automatically disabled to prevent injury to
people, damage to the robot, and damage to the premises.

Obstacle detection and avoidance


The Neo 2 floor scrubbing robot is equipped with an advanced array of
sensors that detect obstacles in the robot’s path when cleaning or
traveling in Auto mode. Observations from the sensors update the
robot’s internal map, and the motion controller plans paths around any
obstacles.
2D laser detection (lidar) – The robot's laser sensors can detect objects
at 39.5 cm in height and up to 20 meters away. Its front and rear laser
sensors detect within a 264-degree range.
• The Neo 2 floor scrubbing robot has 360 vision and no blind
spots.
• Transparent, highly reflective objects (such as glass or chrome)
and objects with less than 10% reflectivity (such as dark, non-
reflective leather and some matte paints) may not be reliably
detected.
3D sensor detection – The robot’s 3D sensors can detect obstacles
taller than 15 cm in height, at a distance of up to 3m.
• Note that objects very close to the robot (within 50 cm) cannot be
seen if they are between 108 cm & 137. 4 cm from the ground
when the robot is autonomously cleaning. Examples of this would
be starting the robot within 50 cm of a hanging object and/or
doors, which have a height of 1.25 meters.
• The robot’s 3D sensors can reliably detect objects with a diameter
of 9 cm and greater, unless they are transparent.

Safety zones
The Neo 2 floor scrubbing robot’s safety is further enhanced by an
independent backup safety monitor. The safety monitor has a faster
reaction time than normal obstacle avoidance functions and is only
used in emergency situations.
The safety monitor continuously monitors two spatial zones around the
robot:
• A fixed zone defined by the robot’s own footprint, and
• An expanding zone that stretches out in front of it depending on
its speed and direction.
If the fixed safety zone is violated, the robot immediately stops and
issues a voice warning (if enabled). To resume autonomous operation,
an authorized operator must ensure that it is safe to continue and then
enter their passcode and tap Resume.

Emergency stops
Emergency stops (E-Stops) are triggered by operators. When an
Emergency Stop is triggered, the robot immediately stops moving and
its front wheel locks. The status indicators pulse red and a warning is
displayed on screen.
To trigger an E-Stop, press the E-Stop pushbutton. Operation is
immediately paused. Twist the E-Stop button clockwise to release.

Protective stops
Protective stops are triggered by the robot. When an protective stop is
triggered, the robot immediately stops moving and its front wheel
locks. The status indicators pulse red and a warning is displayed on
screen.
The robot automatically triggers a protective stop when:
• The front safety bumper is pressed.

• Either of the cleaning head safety flaps are flipped.
• A critical internal process fails.
If the Emergency Stop has been triggered by an internal issue, first try
to restart the robot. If the issue persists, contact Avidbots Technical
Support for guidance.

Brake release switch


If a fixed object (such as a pillar or wall) is pressing against one of the
robot’s safety sensors, you will not be able to clear the E-Stop. The robot
must be moved away from the obstacle. To move the robot while it is in
an E-Stop state, manually release the brake switch.

To release the brake switch:


1. Locate the Brake Release Switch near the rear base of the robot.
2. Push the switch to release the brake. You will hear a clicking
sound when the brake is released.
3. While still pushing the switch, manually move the robot away
from the obstacle.
4. Tap the Reset button on the touchscreen to resume operation.

DANGER: CRUSHING HAZARD


When the brake is released, the robot can roll if it is not on flat
ground.
When the brake release switch is released, the brake is
immediately re-engaged. Do not prevent the switch from
returning to the brake-engaged position.

Sound
The speakers on the right and left sides of the robot alert nearby
pedestrians of the robot’s presence and actions.

Do not stare at the blue safety light; it may be
harmful to the eyes.

Brake Lights
Red brake lights on the rear of the robot light
up any time it is slowing down in both Manual
and Auto mode.

Notifications
If the robot experiences an issue with one or more of its internal
systems, a safety incident is triggered, and an error code is displayed on
the Incident Notifications screen. See "Resolve incidents".

About security
For security purposes, all robot operators should receive unique user
accounts and passcodes. You are required to enter your passcode when
you first turn on the Neo floor scrubbing robot.
User accounts are created through the Command Center website and
are automatically transferred to the robot during synchronization.

About the control panel


The control panel is the touchscreen panel located at the back of
the Neo 2 floor scrubbing robot, above the handlebar. Operators use the
control panel to perform the following tasks:
• Select a cleaning plan
• Enable Manual mode
• Map an area
• Adjust the robot’s volume
• View the robot’s status
during autonomous cleaning

About autonomous mode


The Neo 2 floor scrubbing robot’s auto mode uses pre-set plans to help
the robot navigate and clean your premises. These autonomous plans
are created by the Avidbots Cleaning Plan Generation team and are
automatically downloaded by the robot when needed.
Autonomous plans begin at a designated start position. The start
position indicates the robot’s required location and orientation (the

direction the robot is facing). A cleaning plan cannot commence until
the floor scrubbing robot is correctly placed at the start position.
Depending on your robot’s configuration, it can support up to three
types of autonomous plans:
1. Cleaning plans

2. Disinfection plans
Only available on robots with the Disinfection Add-On installed.
3. Combination plans
Only available on robots with the Disinfection Add-On installed.

About manual mode


Manual mode allows an operator to manually drive and clean with a
Neo 2 floor scrubbing robot. All manual operation is performed from the
Manual Controls screens. You can access these screens by tapping
Manual from the Home screen.

From the Manual Controls screen, you can do the following:


• Drive the robot

• Manually clean floors

• Manually disinfect surfaces
This option is only available from the Disinfection tab for robots
with the Disinfection Add-On installed.

About plans
Before a Neo 2 floor cleaning robot can clean an area on its own, it
needs a cleaning and/or disinfection plan. Plans tell the robot where
and how to clean.
There are six general steps for creating a plan:
1. The facility manager maps an area (see "Mapping").

2. The facility manager transmits mapping data to the Avidbots
Cleaning Plan Generation team.
3. The facility manager also e-mails the Avidbots Cleaning Plan
Generation team ([email protected]) with specific
requests or details about the cleaning plan to be created.
4. The Avidbots Cleaning Plan Generation team creates the cleaning
plans.
5. The Avidbots Cleaning Plan Generation team transmits the
cleaning plans back to the robot.
6. The facility manager or operator tests the cleaning plan.
Note that during initial setup, the deployment technician will assist in
creating the maps for your facility.

About remote assistance


Floor scrubbing robots are supported by a dedicated Avidbots Remote
Assistance team who monitor all deployments worldwide. The team
receives real-time alerts of issues with robots during operation and can
assist with resolving common issues, when required.
If your robot is experiencing an issue, you may be contacted by a
member of the Avidbots Remote Assistance team to support you in
resolving the problem. Please assist the team in getting the robot back
up and running

About robot service


We recommend that the Neo 2 floor scrubbing robot receives regular
inspections and maintenance from service technicians trained by
Avidbots. These services should be scheduled every 4 months/480
hours of cleaning.
Contact your local distributor to learn about available service plans for
your robot.

About Command Center


Command Center lets you monitor, manage, and track your robot (or
an entire fleet of robots) remotely and in real time. The Command
Center provides highly detailed reports of every cleaning operation,

Power the robot on and off
The power button and key switch are located on the back right side of
the robot.

To power on the robot:


1. Insert the key and turn
the key switch.
2. Press the power button.

Never leave a robot unattended while a user is logged in. An
unauthorized person may activate the robot and/or change settings,
which may lead to damage to property, injury or death.

WARNING
If you need to leave the robot unattended (other than when it is
in auto cleaning mode), always log out and power down the
robot.

Proper detergent use
To ensure proper floor cleaning and operation of the robot, and to
prevent damage to the robot, comply with the guidelines listed
below:
1. Clean detergent spills immediately to prevent injuries.
2. Do not exceed a water temperature of 43˚C (110˚F).
3. Use only cleaning detergents designed for use in automatic
floor cleaning robots.
4. Review and follow all detergent manufacturer’s instructions
for safe use, storage, and disposal of the cleaning solution.
5. Never use detergent containing any of the following
ingredients that are incompatible with the Neo floor
scrubbing robot and can cause damage to the robot:
Chlorine, bleach, and chlorinated solvents such as
trichloroethylene
Hydrochloric acid
Hydrofluoric

correct plan, and then do one of the following:
To run the selected cleaning plan with the default settings,
tap and proceed to step 4.
To adjust the settings for the selected cleaning plan, tap .

To return to the list of cleaning plans, tap .

you press Resume to continue the automatic cleaning plan.
1. Tap the screen during cleaning.
2. When prompted, enter your passcode to unlock the screen.

Note: If a passcode is not entered to unlock the screen, the


robot will resume automatic cleaning within several
seconds.

3. Tap the screen again to place the robot in pause mode.

Note: If the screen is not tapped to pause at this point, the


robot will resume automatic cleaning within several
seconds.

Cancel a cleaning plan


1. Tap the screen during cleaning.
2. When prompted, enter your passcode to unlock the screen.

Note: If a passcode is not entered to unlock the screen, the


robot will resume automatic cleaning within several
seconds.

Empty the recovery tank


When the Neo floor scrubbing robot vacuums up dirty water during the
cleaning process, that water is stored in the recovery tank. Empty the
recovery tank before every cleaning operation.

WATER DISPOSAL INSTRUCTIONS


Water stored in the recovery tank is not potable and may be
harmful to health and the environment.
Always follow local health and safety regulations for the handling
and disposal of wastewater.
SAFE OPERATING PROCEDURES
• Exercise caution and wear protective gloves.
• Always ensure the recovery tank drain hose cap is secure.
Failure to securely fasten the hose cap can result in spillage
during operation.

WARNING: DAMAGE TO ROBOT


Neo floor scrubbing robots are powered by sensitive internal
computer components, motors and sensors that can be
damaged by water. Never use a pressure washer or hose to clean
any part of the robot.

1. Drive the robot to a suitable


drainage area.
2. Place the robot in park
so that it does not move
while being drained.
3. Use the recovery tank drain
hose to drain dirty water
from the tank.
4. Fasten recovery tank drain
hose cap until it is secure.
5. Re-secure hose to the robot
using hose clips.
The recovery tank should also be
rinsed clean daily. See "Clean
recovery tank".

Resolve incidents
If the Neo 2 floor scrubbing robot detects a possible fault, the robot
displays a "diagnostics check in progress" notification and comes to a
complete stop. You cannot operate the robot while it is in this state.
After the robot completes its diagnostics check, any detected faults are
displayed on the Incident Notifications screen on the control panel.

Operators can use the information displayed on this screen to resolve


basic faults such as low battery or a blocked vacuum hose. For more
complicated faults, operators should contact Avidbots Technical
Support when directed to do so.
To reset an incident:
1. Wait a moment for the issue to automatically resolve.
2. If the issue resolves itself, do one of the following:
If the robot was in auto mode when the incident occurred,
tap Resume Plan to continue cleaning autonomously, or
tap Cancel Plan. Note that you can tap Drive to move the
robot before resuming a plan.

occurred, tap Hide to return to the previous screen, or tap
Drive to manually drive the robot.
3. If the issue does not resolve itself after fifteen minutes, try
restarting the robot.

Daily maintenance tasks


To maintain optimum cleaning performance, perform the following
maintenance tasks on a daily basis.

Charge the batteries


While the Neo floor scrubbing robot can operate for up to five hours
between charges, we recommend that you charge the robot’s batteries
before they become depleted.
You can charge the batteries while they are inside the robot (see
"Charge batteries internally") or you can remove the battery tray and
charge them in a designated charging area (see "Charge batteries
externally").
Tips:
• To preserve battery life, do not exceed five hours of use. We
recommend that two battery packs be charged so that up to ten
hours of cleaning can be completed in one session, if required.
• Note that batteries can take up to 12 hours to be fully re-charged.
Using batteries before they have fully recharged can diminish the
overall lifespan of the batteries.
• When the remaining battery charge is low, a pop-up alert is
displayed on the control panel. The robot shuts down after 30

minutes of low charge. It is best to charge or replace batteries
before the automatic shutdown.

DANGER: FIRE OR EXPLOSION HAZARD


Batteries emit hydrogen gas. Keep the battery bay door open
while charging batteries inside the robot. Keep open flames and
sparks away.

WARNING
Only use chargers approved for the robot’s battery type, equipped
with automatic shut off.
Do not overcharge the batteries.

WARNING
Do not connect a battery charger or other power supply directly
to the robot’s internal power connector.

WARNING
Always ensure the robot is powered down before charging the
batteries.

SAFE OPERATING PROCEDURES


• To avoid injury, wear gloves, foot protection, and eye
protection when handling batteries.
• Ensure that the battery charging area is well ventilated.

5. Ensure the battery tray is secure and unable to roll forward before
proceeding.
6. Connect the battery cable to the robot’s internal power
connector. Press the two halves of the connector together firmly
until you hear a click.
7. Close the battery bay door.

Clean side and rear squeegees


Squeegees should be maintained daily for best performance.
1. Wipe all squeegee blades
clean with a damp cloth or
sponge.
2. Check the condition of
squeegee edges and rotate
or replace if worn.

Check squeegees for wear


The rate of wear varies with use and floor material. Check the
squeegees regularly. For optimal cleaning performance, rotate or
replace squeegees when they are worn, torn, or wavy. See "Replace

Empty debris bin
Empty the debris bin at least once daily. If you are using the robot in
sweeping mode in an area with significant debris on the floor, the
debris bin needs to be emptied more than once a day.

damaged by water. Never use a pressure washer or hose to clean
any part of the robot.

1. Empty the recovery tank. See "Empty the recovery tank".


2. Rinse the recovery tank with clean water and drain.
3. Clean out any debris, then wipe down the bottom and sides of
the tank.
4. Leave the recovery tank cover open to allow the tank to dry.
5. Fasten recovery tank drain hose cap until it is secure.
6. Re-secure hose to the robot using hose clips.

Tip: For locations with hard water, clean the tanks with descaling
solution every two weeks to reduce the build-up of limescale.

Ensure the drainage hose is tightly


stowed and secured by all retaining
clips. If the hose is improperly
clipped and hangs below the
bottom clip (below red line), as
shown here, the hose may interfere
with the robots’ sensors, causing
malfunction.

Clean laser sensors


The Neo floor scrubbing robot’s front and rear lasers are essential
components to support automated navigation around your premises.

Each laser is enclosed in an apparatus made up of metal housing and
protected by clear acrylic covers.
Without regular cleaning, dirt and dust on the protective covers can be
detected by the lasers and falsely interpreted as obstacles, causing the
robot to stop.
Clean the lasers’ protective covers daily after use.

1. Use a dry, lint-free microfiber


cloth to gently wipe the
cover from top to bottom.
2. Remove any dirt from the
bottom of the laser housing.
3. After cleaning, inspect the
entire cover of the laser for
any missed spots, smudges,
or streaks. Use a bright light
(for example, an LED
flashlight) to help.

Note: Do not leave streaks as this will impair sensor performance.

Note: Use of the cloth should not result in water droplets on the
protective cover. If there is stubborn dirt or oil on the protective
cover, use a neutral, non-abrasive detergent diluted with water.

Clean 3D sensors
The Neo floor scrubbing robot’s 3D sensors are critical for identifying
and avoiding obstacles during cleaning. The sensors are installed inside
the unit and clear acrylic covers protect the sensor lenses.
Dirt and dust buildup on these sensor lens covers can result in impaired
operation. Clean lens covers daily to maintain optimal performance.

Ensure no smears are left behind.

Clean debris diverters


The brushes on the front and rear debris diverters can suffer from a

If the debris diverter is installed on your robot, ensure brushes and
fittings are free of dust, hair, and debris after each operation.
1. Power down the robot.
2. Use a damp cloth to clean all
debris and dust from the

Empty in-tank debris catch basket


The debris catch basket is located inside the recovery tank and should
be emptied and cleaned on a daily basis.

3. Remove the vacuum filter

Rinse vacuum hose


The Neo 2 floor scrubbing robot’s rear vacuum transfers water, dust,
and other debris from the floor to the recovery tank. Unless regularly
maintained, the hose can become blocked, reducing suction power,
and incurring premature wear on the vacuum motor.
For best performance, clean the hose on a weekly basis.
1. Remove the vacuum hose
from the rear squeegee
assembly.
2. Remove the other end of the
hose from the recovery tank
fitting.

3. Remove all dirt and clean the


vacuum socket with a damp
cloth.
4. Rinse warm water through
one end of the hose for at
least 20 seconds to remove
dirt and debris.

Ensure the hose does not interfere with the rear laser sensors.

along the back of the robot. If the sensor detects the hose, the robot

Clean exterior chassis


Gently wipe down the body of the robot with a damp clean cloth. You
can also use a gentle all-purpose, non-abrasive cleaner.

Clean the control panel


The touchscreen control panel must be kept clean to ensure clear
visibility and unimpaired performance.

CAUTION
Do not use chemical cleaning agents or compressed air to clean
the screen. Doing so may damage the screen and impair
performance.

To clean the panel:


Wipe the touchscreen with a dry lint-free microfiber cloth to remove
dust and dirt. Use gentle wiping motions. Do not wipe or press the
touchscreen with excessive force

Replace floor pads and brushes


The pads and brushes in the Neo 2 floor scrubbing robot’s cleaning
head are consumable parts which must be regularly checked and
replaced when worn.
Always use Avidbots pad drivers and disc brushes to ensure maximum
life and optimal cleaning performance.

lock when the driver is twisted.

of the robot.
10. Turn on the robot and verify that the cleaning floor pads rotate
without excessive vibration and remain attached to the pad
driver.

To remove the old cylindrical brushes:

4. Open the squeegee
assembly.
5. Remove the brush head
plate from the cleaning head.
6. Slide out the old brush.

To install a new cylindrical brush:


1. Insert the new brush:
a. Ensure the brush
bristles are fully inside
the robot’s chassis.
b. Ensure the slots on the
brush cylinder slide
securely into the
robot’s spoked hub.

Note: If the brushes make a loud noise when rotating, the most
likely cause is incorrect positioning on the hub or on the inside
port. Remove and re-install the brush.

Adjust rear squeegees


Regularly check and adjust the squeegees to ensure optimal cleaning
performance. The squeegee should make uniform contact with the
ground. A squeegee that is not correctly aligned may result in poor
water pickup, uneven wear, or vibration noise.
If the robot is leaving water or debris behind while cleaning
autonomously, adjust the rear squeegee.

SAFE OPERATING PROCEDURES: Use care when securing the


squeegee retainment bands so that you do not pinch your
fingers.

Check squeegee deflection


Verify the squeegee has proper deflection angles, height, and floor
contact, as pictured below.

If the squeegee is improperly set, it will either not meet the floor (A) or
be too low with no angled deflection (B), as pictured below. Resolve
either of these issues by adjusting the pitch (angle) or the height of the
squeegee.

a level surface.
2. Use two 13 mm wrenches to
unlock the turnbuckle jam
nuts.

Rear squeegee replacement


The rear squeegee assembly has two squeegee blades, an inner and
outer blade.
Before starting the replacement, note the positions of the following

Remove the front debris diverter


If the debris diverter is installed on your robot, the front debris
diverter MUST be removed before doing any of the following to avoid
damage:
• Driving the robot up or down
a ramp
• Lifting the robot using a jack
• Replacing the brushes
To remove the front debris
diverter:
Lift the debris diverter up and then
pull it towards you to remove it
from the four thumbscrews that it
sits on.

Replace debris diverter brushes


If the debris diverter is installed on your robot, check the brushes on the
front and rear diverters for wear on a daily basis. The brushes are
consumable parts that must be replaced when worn.

To remove a brush:
1. If you're replacing brushes on
the front debris diverter,
remove the diverter from the

2. Using a flat head screwdriver,

holes on the metal bracket.

Transport the robot


SAFETY INSTRUCTIONS
Safe lifting procedures:
• Contact Avidbots Technical Support if you need help lifting
a robot.
• Never lift the robot by its tank or wheels.
Safe moving procedures:
• Do not move the robot over an incline greater than 18%.
• If you need to move the robot to a different site that
requires transport on a truck or trailer, contact Avidbots
Technical Support for guidance.

Moving the robot using a jack


If you are unable to move the robot by driving it manually because the
batteries are drained, or if you need to lift the robot from the front, you
can use a jack.
If your Neo floor scrubbing robot did not include the optional low-
profile 3000 lbs. aluminum floor jack, use only a low-profile floor or low-
profile automobile jack to move or lift the robot.

WARNING: PROPERTY DAMAGE


Using any other type of jack, such as a pallet jack, can damage
your robot.

completely powered off.
2. If the robot has a front debris
diverter installed, remove

3. Position the low-profile jack
below the front-center of the
robot.
4. Align the rubber jack saddle
pad with the frame of the
robot (metal lift point) on the
underside.
5. Be sure to align the jack
saddle with the metal lift
point and not the plastic
casing on the underside of
the front of the robot.
6. Once the jack is positioned
correctly under the robot,
raise the jack to move the
robot.
7. Because the robot is heavy
and hard to move,
Avidbots recommends that
one person pulls the jack and
another pushes the robot
from the back, pushing the
robot body rather than the
handles.

Store the robot


Store the robot indoors and protected from the elements in a dry area
that is free from rodents and insects.
To safely store the robot for an extended period:
• Charge the batteries fully.
• Do not short-circuit supply terminals.
• Remove the batteries from the robot.
• Leave recovery tank cover open.
• Drain and rinse the solution tank.
• Drain and rinse the recovery tank.
• Drain and rinse the disinfectant tank, if applicable.

Adjust robot volume


The robot’s audio signaling for forward movement can be adjusted by
administrators. The reverse audio alert volume cannot be adjusted.

SAFE OPERATING PROCEDURES


• Set forward motion alerts at a volume loud enough to be
heard over other noises in the cleaning environment.
• Do not mute audio signaling when operating in an
environment with people.

1. From the Home screen, tap on the status bar.


2. Adjust the volume control for audio announcements. These
announcements can be set to muted (0) or volume levels 1-5.
3. Adjust the audio signaling volume for forward movement for
manual (MAN) or automatic (AUTO) cleaning modes. The volume
for each can be set to muted (0) or volume levels 1-5.

Mapping
It is important to maintain accurate cleaning plans for safe and efficient
performance. If an area in your facility has permanent or semi-
permanent changes, or if you have a new area that needs to be cleaned,

Map a location
1. From the Home screen on the control panel, tap .
If this button is not visible, you do not have the appropriate
permissions to perform mapping.
2. On the pop-up dialog box that’s displayed, fill in the Location and
Name fields.
a. Location: Name of the facility
b. Name: Name of the resulting cleaning plan (for example,
“Aisles 101-110”, “USA Arrivals,” or “Entrance 2”)
3. Tap OK.
4. Use manual controls to drive the robot to an ideal start position
(refer to the Avidbots Command Center User Manual for details
on selecting a start position).
5. Position the robot so that it faces toward the longest direction of
travel. This will make the map easy to see on screen when it is
complete.

6. On the Ready to Learn screen, tap Start. The robot will begin
recording data from its sensors.

Note: Do not tap Start unless you are ready to start


mapping. When you tap Start, the robot will start recording
data.

7. When all areas have been mapped, tap Finish.

Synchronize the map

1. From the Home screen, tap .


2. On the Sync screen, tap to select the map file you created and
tap Sync.
Avoid selecting and syncing more than 3 mapping files at
once.
If a map is not needed and should be deleted, select the
map file and tap . Deleted mapping files cannot be
retrieved.
If you leave the Sync screen, synchronization will continue
in the background.

Send the map to Avidbots


1. Email the Cleaning Plan Generation team at
[email protected] to request creation of your cleaning
plan.
2. Include your location and any preferences (such as water flow,
brush/disc pressure, etc.) regarding the order in which the various
areas of your location should be cleaned.
3. When your map data is received, the Cleaning Plan Generation
team will start the work to translate the data into a cleaning plan
for automated cleaning.
4. You will be given an estimate for the time required to complete
the plan.

Synchronize the cleaning plan


Once available, the cleaning plan will be automatically downloaded to
the robot. Neo floor cleaning robots regularly check for available
cleaning plans when a network connection is available and
automatically download new and amended plans in the background.

Settings
Tap from the Plans or Paused screens to view the settings for
the selected cleaning plan.
For cleaning plans, you can adjust the water flow level and
floor pad/brush downforce (See "Manual control buttons").
Adjusting these settings may impact the expected
performance of the cleaning plan. For example, if you
increase the water flow rate, the cleaning quality will improve
but the cleaning solution will run out sooner.
If you would like to change the default settings for a cleaning
plan, contact the Cleaning Plan Generation team.

Manual control buttons


The table below describes the function of each button available from
the Cleaning tab on the Manual Controls screen.

Icon Description

The right button lowers the head. Lowering the cleaning


head increases floor pad/brush downforce.
Disc models have three downforce settings, while cylindrical
brush models have two settings, with level 1 tailored to
enhance sweeping ability and level 2 designed for maximum
scrubbing performance.
Note: Always test the downforce in an inconspicuous area to
be sure that you are using a force level that will not damage
your flooring type. Appropriate downforce varies depending
on floor pad or brush types and flooring materials.

Vacuum

Tap to toggle the vacuum on and off.


Note: The vacuum will run for approximately 10 seconds after
you turn it off so that any residual water from cleaning may
be picked up.

Select speed
Tap on the slider to select the robot’s gear. See "Drive in
manual mode" for tips on driving.

Reverse
The robot will travel backwards at low speed when the
throttle is turned (maximum 0.33 m/s).

Park
The robot will remain stationary with the brake applied, even
if the handlebar throttle is turned.

First Gear
The robot will travel forwards at low speed (maximum 0.47 m/
s) when the throttle is turned.

Second Gear
The robot will travel forwards at medium speed (maximum
0.80 m/s) when the throttle is turned.

Third Gear
The robot will travel forwards at high speed (maximum 1.15 m/
s) when the throttle is turned.

Incident notification icons and buttons
The table below describes the function of each button and icon on the
Incident Notifications screen.

Icon Description
Incident Notification
This icon displays in the status bar to indicate if a fault has
occurred. The number of active faults is displayed inside an
orange circle on the bell icon. You can tap on this icon from
any screen to return to the Incident Notifications screen.

Information
The Information icon appears beside each fault. Tap to view
additional details, including recommendations for resolving
the issue.
Cleared Fault
This icon appears beside faults that have been resolved by
the operator or automatically cleared by the robot.

Active Fault
This icon appears beside faults that are active.

Fault Status Unknown


This icon appears beside faults when the robot cannot
determine if they are active or cleared.
For example, a fault for a clogged vacuum hose will have a
status of Unknown while the robot is paused and the
vacuum is off. The robot cannot determine if the clog has
been cleared until the vacuum is turned on again.
Hide Incident Notifications screen
The Hide button is displayed if the robot was in manual
mode when the fault was detected. Tap Hide to return to
the previous screen.
Drive Robot
The Drive button is displayed if the robot was in either
manual or auto mode when the fault was detected. Tap
Drive to display the gear selector and drive the robot. See
"Drive in manual mode".
Cancel Plan
The Cancel Plan button is displayed if the robot was in auto
mode when the fault was detected. Tap Cancel Plan to
cancel the current cleaning or disinfection plan.

Resume Plan
The Resume Plan button is displayed if the robot was in auto
mode when the fault was detected. If the fault has been
resolved, tap Resume Plan to continue with the current
cleaning or disinfection plan. Note that if there are still active
faults, you cannot resume a plan.

Control panel touchscreen gestures


When viewing a map on the Cleaning Plans and Move to Start Position
screens, use the following gestures to interact with the map. This
feature helps operators to identify a cleaning plan’s start position more
easily.
To return to the map’s original orientation, tap the Reset button.

For accurate mapping, ensure no one
approaches the robot during this stage.

Remote Pause
The robot has been paused by the
Avidbots Remote Assistance team while
an issue is being investigated. Tap
Resume to restore local control.
Do not attempt to operate the robot
when it is being controlled remotely.
The Avidbots Remote Assistance team
will contact your facility if local
assistance is required.

Detour Planning
The robot has been instructed by the
Avidbots Remote Assistance team to
make a detour and is planning a new

Clean Water Tank Empty
The solution tank is empty.
When this notification is displayed, use
manual controls to drive the robot to a
suitable refilling station and refill the
tank. See "Fill solution tank" for
instructions.

Dirty Water Tank Full


The recovery tank is full.
When this notification is displayed, use
manual controls to drive the robot to a
suitable emptying station and empty
the tank. See "Empty the recovery tank"
for instructions.

Water Levels Alert


Both tanks require attention.
When this notification is displayed, use
manual controls to drive the robot to a
suitable refilling station. Drain the
recovery tank first ("Empty the recovery
tank"), and then refill the solution tank
("Fill solution tank").

Low Battery
When the robot’s battery is low, it
automatically stops cleaning and
cancels the current operation. An
incident notification is displayed with a
countdown to when the robot will
automatically shut down. A
performance report is generated with
details of the cleaning operation.

and recharge/replace the batteries. See

Wireless router specifications
Your Neo 2 floor scrubbing robot uses a wireless router to sync with the
Command Center. The router used by your robot may be one of the

APPENDIX A: HOME BASE
The Home Base software feature is available for subscription to facilities
that have more than 18,580 m² (200,000 ft²) of floor space to clean.
• Neo floor scrubbing robot is equipped with the Home Base
If your
software feature, an operator no longer needs to manually drive the
robot to a different start position for each cleaning plan. Instead, the
operator drives the robot to a home position, from which the robot
autonomously drives to the start position for the selected cleaning plan.

Clean from Home Base in Auto


mode
To autonomously clean with Home Base enabled:
1. Follow the steps outlined in Clean in auto mode to select a
cleaning plan.
2. When prompted to drive the robot to the start position, drive it to
the home position specified on the screen and tap Start.
3. Step back as the robot finds its location and drives to the start
position for the selected cleaning plan where it will begin
cleaning.
4. When cleaning is complete and the robot returns to the home
position, either start a new cleaning plan or prepare the robot for
storage at the end of a shift, as required.
Note: The robot does not scrub the floor while it is driving between the
home position and the start or end of a cleaning plan. However, after a
cleaning plan is complete and the robot begins to return to Home Base,
the rear squeegee will remain down until all the water is vacuumed off
the floor.
Note: You can pause the robot while it drives from the home position to
the start of a cleaning plan to spot-clean an area in Manual mode;
however, you cannot override default cleaning settings for a cleaning

plan from the Settings ( ) pop-up menu until the robot has begun
cleaning.
