Student Name Format


• The prefix 'Mast.' (Master) will be used for boys and 'Miss' for girls.

• The student’s full name must be written in the following sequence:

[Student’s First Name] [Father’s Name] [Surname]

- Example: Mast. Gaurav Sachin Kumar

- Example: Miss Gauri Sachin Kumar

• Father’s and mother’s names should not follow the surname.

- Example:

- Father's Name: Sachin

- Mother’s Name: Priya

2. Marks and Grades Entry


• Marks should not be written in decimals.

• Grades and marks must be written exactly in the center of the designated box.

• Teachers should ensure uniform font size while filling in marks and attendance.

• Handwriting on the progress card must be clear, legible, and flawless in print writing.

• No student should be awarded an 'E' grade.

3. Address Format
• The area name should be mentioned first, followed by the place name.

- Example: Hutatma Smarak, Jintur

4. Student Information Collection


• The following details must be obtained only from the school admin office:
- Full Name - Admission Number - Mother's Name - Father's Name – Address

5. Academic Year Format


• The academic year should be mentioned in the format: 2024 to 2025

6. Student Photograph Placement


• A passport-size photograph of the student must be placed exactly in the center of the
designated space.

• If the photograph size exceeds the provided space, the teacher should trim the photo to fit
correctly.

7. Attendance & Working Days for March


• Total working days for March will not be filled at this stage.

• Teachers should wait for further discussion with the management before entering attendance
details for March.

8. Promotion & New Academic Session


• The promotion status should be entered as: 'Promoted to Grade ____' (as applicable).

• The new academic session will commence on: 1st April 2025.

9. Stamping & Principal’s Signature


• School Stamp: Must be placed exactly in the center near the CBSE logo.

• Principal’s Stamp: Must be placed directly above and below the text 'Principal’s Signature'.

10. Verification & Cross-Checking of Marks


• First Level Verification: Each subject teacher must thoroughly check the marks before
submitting the sheet to the class teacher.

• Second Level Verification: The class teacher must carefully verify the total of Internal
Assessment, Half-Yearly, and Yearly Exam marks before entering them on the progress card.

• Final Verification: Two different class teachers must cross-check the total marks and
assigned grades against the grading scale.

• If any discrepancy is found, the class teacher and subject teacher will be held responsible.

11. Digital Record-Keeping


• Santosh Sir will record and maintain all mark sheets on the school desktop.

12. Entry of Work Education, Art Education, and Physical Education Grades
• The class teacher must collect grades from concerned subject teachers and ensure grades are
entered correctly.

• Grades must be assigned based on a three-point scale.

13. Progress Card Availability & Distribution


• Each class teacher will receive only three extra cards.
• Progress cards are limited. If a teacher requires additional cards, they will be required to bear
the cost.

14. Teacher Cooperation & Responsibilities


• Subject teachers and class teachers must support each other in the process.

• Non-class teachers must assist in verification and filling wherever needed.

This SOP must be strictly followed to ensure accuracy, uniformity, and professionalism in
maintaining student records. Any failure to comply may lead to accountability measures as per
school policy.
