Explain the purpose and contents of a typical event venue and site safety plan.

Event Venue and Site Safety plans are very important aspects as they ensure the safety of everyone
on the site like the employees and the attendees.

The purpose of these plans is to identify the hazards and risks and when identified they should
measure the risks to see that to what extent can they harm anyone and after measuring the risks we
can then find solutions on ways to avoid these risks.

Make sure to also meet all the protocols observed in the local state. Be able to follow the rules and
regulations to ensure safety and also helps to avoid some expenses like fine and some legal issues.

Event venue and site safety plans also helps in providing emergency plans in case of different
emergencies or accidents like extreme weather conditions, fire, theft and robbery. There will be
procedures on how to handle these emergencies and respond to each one of them.

The contents of event site includes knowing all the details of the event like the total area, floor plan
and layout as well as the capacity and many more features and this will help to figure out a way to
solving risks that could occur at the event site.

Describe at least three welfare facilities.

Three welfare facilities that must be provided at the event venue are providing a sick bay where
attendees can receive treatment on site when they need medical attention. There must also be
properly trained individuals who will be ready to attend those who need first aid. There should also
be a stretch bed that carries people who need medical attention to the sick bay and lastly a first aid
kit to give immediate treatment to those who would have been injured or in need of medical
treatment.

The second facility is food and beverages. The event organizers must make sure that there is enough
food at the event site and everyone has access to water to avoid spread of diseases like running
stomach which are caused by lack of hygiene and this can only happen if the attendees have no
access to water. Food and beverages must also be properly served to the guests.

Lastly, there should be sanitation and toilets facility. The toilets must be constantly checked to see if
the flushing system is work and also check if there are tissues and other detergents to avoid outbreak
of diseases.

Describe at least three first aid facilities.

Three first aid facilities that must be provided are first aid kits with enough tools needed. An
emergency might occur that requires immediate first aid attention so those who are properly trained
to attend to those who need first aid must make sure that all the first aid tools are available to avoid
serious problems for example if the first aid kit has no bandages the person who needs bandages
might loose lots of blood.

The other first aid facility that must be provided is a first aid room as well as a vehicle like an
ambulance. The first aid room is where those who needs immediate medical attention will be
brought in and attended. It must not be crowded and must contain all the equipment needed to give
first aid.

Lastly, a medical tent is also another first aid facility. That’s where the people who need first aid
attention are put into and the medical tent is supposed to have all the items needed to provide first
aid to whoever needs it.

Identify three types of emergencies and the procedures to respond to these.

Three types of emergencies are fire, medical emergencies or physical attack by robbers

In case of fire there must be a fire alarm, emergency exit and an assembly point where people will
gather which is also a safe spot. The event venue must provide an emergency plan when there is a
fire emergency. There are various procedures that can be done when there is fire and thus includes
leaving the building in a single fire through an emergency exit. The staff must also be properly
trained on how to use dire extinguishers and how to give first aid in case of a fire emergency and that
includes providing inhalers and masks.

When there is a medical emergency like allergies there should be provided first aid attention and that
includes giving medication. Some guests may react to food or some plants at the venue. The medical
team must be ready to attend to these patients and give them the medication needed to cure
allergies.

In case of physical attack, attendees must follow instructions given by the authorities. The authorities
may give instructions like calling the emergency numbers which includes calling the police so
everyone must comply to the instructions given by the authorities.

Explain at least three responsibilities that employees have for health and safety at work and the
responsibilities that other employees have towards health and safety.

Three responsibilities that employees have for health and safety is to make sure that they are safe
and wear protective clothing when they are working in hazardous environments. There are various
protective clothing that employees should wear when doing a dangerous task for example when
working with the ceiling or working with heights they should use a ladder and make sure they use a
helmet so that they do not get injured if they slip and fall. They should also wear gloves when using
detergents or any other chemicals.

The second responsibility that employees have to do is ensuring that the site is safe and that
includes checking if the venue has fire extinguishers, clear emergency warning signs and many other
precautions. They should also be properly trained on how to respond to different emergencies that
may occur during the event.

The last responsibility that employees have is to make sure that all the guests have been notified
about the site and safety plan and they know how to react in different emergency situations.

Other employees have different responsibilities towards health and safety and these includes:

i) Reporting any hazards to the authorities or supervisors


ii) Following the protocols to ensure safety and make sure to wear protective clothing.
iii) Make sure that the place is safe. There should not be any bare electrical cables as this
can cause fire or electric shock if people are not careful.

Explain four responsibilities and liabilities a supervisor has for health and safety at event venues and
sites
Supervisor has additional responsibilities when it comes to health and safety and that includes
making sure that there is security to protect the premises from any attack

The supervisor is also responsible for making sure that there is no harm inside the building for
example leaking roof or ceiling that is almost collapsing.

Supervisors should also check if there are fire extinguishers or fire hose reels so that in case of fire
they can take immediate response.

Describe at least two ways how health and safety information can be communicated to employees
and others working at event venues and sites.

Training Sessions Prior to the Event .

It is essential to plan in-depth training sessions in advance of the event. Aspects of health and safety
such as emergency protocols, danger identification, and the application of personal protective
equipment (PPE) can all be covered in these sessions. By receiving training, all employees are
guaranteed to be knowledgeable about their roles and to be well-prepared. Additionally, it gives staff
members a chance to get clarification on any doubts they may have by asking questions

Announcements and Signs That Are Clear

Another useful strategy is to use obvious signage everywhere in the event space. Signs can be used
to show safety advice, first aid stations, and emergency exits. Public address system announcements
can also serve as a means of reiterating crucial safety instructions and informing attendees of any
updates or modifications that may occur throughout the event

The other ways also includes visual and verbal communication.

Visual communication is communicating through signs, markings , posters and many other visual
items.

Verbal communication is communicating through words and that involves conducting a workshop
where everyone can be trained.

Define what site specific and dynamic risk assessment are and how these are used in the events
industry.

Site specific assessment is moving around the site to see if it is safe and if there could be any harmful
objects and that helps to identify if there could be and risks and provide a solution to these risks.

Dynamic risk assessment is an a risk assessment that happens frequently to see if there are any
hazards on the site .

In the events industry the site and dynamic risk assessment is done by checking the venue
surroundings and make sure to identify all the potential risks and come up with a solution to avoid
these risks.

Describe the five steps in the risk assessment process.

Identify Hazards

The first step is to identify potential hazards that could cause harm during the event. This includes
anything from physical obstacles, electrical equipment, and weather conditions to health risks like
infectious diseases. Identifying the risks which is locating the potential hazards, assess to consider
how hazardous the risk is.

Assess the Risks

Once hazards are identified, the next step is to assess the risks associated with each hazard. This
involves determining the likelihood of the hazard occurring and the potential severity of its impact.
This helps prioritize which risks need more immediate attention(prioritizing the hazard)

Determine Risk Controls

After assessing the risks, you need to determine the appropriate control measures to minimize or
eliminate the risks. This could include implementing safety protocols, providing training, or setting up
emergency response plans

Record the Findings

Documenting the findings of the risk assessment is crucial. This includes noting the identified
hazards, the assessed risks, and the control measures put in place. Keeping a record ensures that
everyone involved is aware of the risks and the steps taken to mitigate them

Review and Update

The final step is to regularly review and update the risk assessment. This ensures that any new
hazards are identified and managed, and that the control measures remain effective. Regular reviews
are especially important if there are changes to the event plan or new information comes to light

Describe at least four typical hazards , the risk associated with each of these hazards and how these
can be eliminated and controlled.

Four typical hazards and risks associated with them are fire hazards and the risk associated with
them are fire flames this can be controlled by making sure that after cooking the flames or stoves are
turned off . The other hazards is uneven surfaces and the risk is injuries which is controlled by
making sure that the building is not leaking to prevent wet floors.

Illness is also caused by a risk of drinking water from an unprotected source and can be prevented by
drilling a borehole or filtering the water.

The other risk is crushing caused by large crowds and can be controlled by inviting guests that equals
or are lesser than the venue capacity.
