Guidelines for submission of promotion forms

The application to be submitted for promotion has to be forwarded by TIC. Please note that
these are guidelines only, and this document should not be used to fill up the application
form. Please download the application form from the college website/procure from admin.

The general guidelines to be followed are:

1. APAR proforma should be submitted on an annual basis by 30th June of each academic
year.
2. Initially one copy of duly filled PBAS along with their Annexures and Publications,
wherever applicable, printed on both the sides should be submitted. Additional copies may
be asked later.
3. Applicants should check relevant eligibility criteria for promotions as per Career
Advancement Guidelines, DU dated 27.08.2020 and applicable amendments issued
thereafter.
4. The application for promotion should have
a. Covering letter
b. Option form
c. Table of contents
d. PBAS and APAR.
e. List of Annexures with page numbers. The relevant annexure numbers along with page
numbers should be mentioned in text, in the PBAS and APAR forms.
f. Annexures should be self-attested & the name of the applicant should be highlighted in
the annexures.
g. All proofs including timetables, committees, orientation, refresher, FDP, MOOC,
paper publications, awards should be within the assessment period i.e. only after
appointment as assistant professor, or the time period for which service is being
counted whichever is applicable. Proofs before or after the assessment period should
not be included.
5. Following Annexures to be submitted along with applications (according to the level of
promotion). Please submit the annexures with the following annexure numbers and headings
only:
a. Annexure Set I: MPhil degree/ Ph.D. degree
b. Annexure Set II: Prior experience letters issued by relevant authority exactly mentioning the
dates
c. Annexure Set III: Proofs of refresher course/ FDPs/ Orientation/ MOOCs etc.

d. Annexure Set IV: Time tables with total workload marked. Pl mention the total hours of
teaching per semester in the time table proofs.
e. Annexure Set V: Committee membership proofs. If you so wish, include annual day
committees in the list
f. Annexure Set VI: Committee activities. Enlist all the activities and get it signed by
committee convenor. Mention your role clearly.
g. Annexure Set VII: Membership of academic bodies like DRC, BRS, COC
h. Annexure Set VIII: Department activities, get activity list signed by TIC. For past years, the
activities need to be forwarded by the TIC of the relevant past period. In case, the TIC has
retired or resigned, then the seniormost faculty can forward.
i. Annexure Set IX: Paper publications
j. Annexure Set X: Chapter/ book publications
k. Annexure Set XI: Research project granted; research guidance experience
l. Annexure Set XII: Syllabus/ Curriculum prepared
m. Annexure Set XIII: MOOCs designed
n. Annexure Set XIV: Conference Presentations, invited lectures, seminars participated in
o. Annexure Set XV: Conference Presentations, invited lectures, seminars attended
p. Wherever grading is claimed, proofs have to be attached. The following guidelines are
applicable in case of promotions to Associate Professor and Professorship:

✔ For Research papers-

● Research Papers as per the eligibility. Papers should be within the span of
eligibility.
● All paper publications should be submitted in soft copy with the application and
mailed to Convenor, Screening committee.
● Wherever the UGC CARE/UGC/Scopus/WOS list is mentioned, the candidate must
attach a proof from the UGC Care/Scopus/WOS website. It is mandatory to include
only UGC Care/Scopus after July 2019.
● The impact factor should be as per Thomson Reuters/Clarivate Analytics. For impact
factor, attach the Clarivate proof.
● For promotion from Assistant to Associate Prof. under CAS 2010 scheme, 3 papers (within
the time span of appointment of the candidate as Lecturer/Assistant Professor and the date of

eligibility for promotion as Associate Professor, 2 if M.Phil. and 1 if Ph.D.) to be submitted.


Submit the soft copy also for review by the experts.
● For Associate professor to Professorship, ten papers are required. Three papers out of
the above have to be in assessment period [three academic years]
● Other relevant documents to support the claim for academic score as per the guidelines
(books, chapter written, papers presented, research guidance, conferences, awards etc.) to
be attached.

6. For counting past service, following documents along with respective APARs shall have to
be enclosed with the PBAS proforma for promotion
● APAR gradings from the concerned College/University/Institution, where served in the
past during the assessment period has to be procured and submitted.
● Certificate from the past College/University /Institution, which indicates that the service
under reference fulfils the necessary criteria for counting of past service.
7. Undertaking is to be submitted in case the teacher’s past experience is outside IHE,
while submitting such documents/testimonials.
8. APAR has to be forwarded by respective college’s TIC in case the teacher’s past
experience is outside IHE
