LIBRARY MODULE

Library module is useful in the management of the book available in Library. We will be able to do
tasks related to library management after the development of this module. Entry of books in school
with their details like Title , Author, Price, quantity, ISBN, and many more, issue-return of the books
to students and staff, stock verification, stock transfer, library fine management, entry of discarding
damage books , bills printing of books, purchase register, accession register, issue-return register, bar-
code generation, periodicals-management, multimedia-management, book search engines, book
positioning with DDC(Dewey Decimal codes) are some major part of this module.

The following developments will be under Library module.

1. DDC: Dewey decimal codes are used to trace book positioning in the libraries.
Fields: DDC and ddcName

2. STREAM – Stream will be used for the classification of books. e.g. GENERAL STUDIES,NON
FICTION,ACTIVITY are a few example. Only name of streams will be created here.
Fields: Stream.

3. SUB STREAM – Sub Stream will be used divide a category in sub catagories.e.g. English
Stream may have many Sub-Streams : Fiction , Literature, Poetry etc.
Fields: stream(mapping), subStream & DDC.

4. BOOK-SUPPLIER-INFO: We will save the information of a book supplier here. Only name of
the supplier would be mandatory here.
Fields: supplierTitle, contactPerson, email, plot/shop_no., area, city, state, pinCode, phone1,phone2,
Mobile no., email, website.

5. HEAD- books filed, electronic filed, periodical filed.


Fields: Head name & specific accession no.

6. ISSUE GROUP- We will manage fine settings, issued book due period, and quantity of book
issued to specific group (students, staff etc)
Fields: issue group, due period(days), max issued qty & fine(Rs/day),Students field, staff
member, other & branch

7. ALMIRAH PARTICULARS- Library almirah positioning will be setup on the bases of this form.
Fields: almirah name, item per shelf, shelf name & stream.

8. PERIODICAL PARTICULARS: Newspaper magezines are part of periodials. Any article


published on a specific period is called periodical. We will do settings of periodicals here.
Fields : title,head,supplier,periodicity,volume,issue,edition,year,class,stream,sub stream, unit cost,
discount & with CD

9. BOOK/MEDIA PURCHASE-
Books- Books entry will be entered here.
Fields:
Main Details: p.o no., supplier, receipt date, bill no, bill date,
General details-head, title(mapping), author, publication, year, edition, type,
class(mapping), stream, (mapping) sub stream(mapping), pages, ISBN,LCCN, DDC, qty, rate,
dis%, total, with cd, copy info, net qty & net amount.
Other details - status(mapping), release no, binding, barcode no, print no, printer by,
language, height, width, depth & key word.

10. PERIODICAL RECEIVING- Entry of periodicals receiving will be done here. Details of
periodicals will be picked up from -
periodicity, bill no, receipt date & bill date.

11. PERIODICAL BILL- Bill will be generate at the end of month, week, yearly.
Fields: supplier, bill, receipt date, to & bill number

12. ACCESSION NUMBER GENERATION- Accession Number is a unique number identity


Fields: books field, electronic media field & periodical field, Head(mapping)

13.BINDING- Issue return of books for binding purpose.


Fields: Person, issue date, accession number (Mapping) & title.

14. POSITION ASSIGNMENT- Book position will be assigned to books from here
Fields: Accession Number (Mapping),Almirah name, shelf name & shelf pos.

15. RECOMMENDATION- A user can put his book recommendation here. IF any user wants to get a
book, but it is not available in library, he can mention books here. Later during Books requisition
Librarian can use this recommendation.
Fields: person name, title, author, publication & quantity.

16. ISSUE/RETURN-
(TAB) Student and employee -issue group(mapping),
class(mapping),section(mapping),AdmissionNo(mapping), EmployeeNo(mapping), issue status)
Issue and return- accession no, title, issueDate, returnDate, dueDate, fine & remark.

17. LOST/DAMAGE-Entry of Lost damaged Discarded books will be done here.

18. ADVANCE BOOKING- If a user want to book a book in advance. This option will be used by him.

19. SEARCH ENGINE- This utility will be used to search the books on different criteria.
Search Criteria will be as follows:
accession no, title, author, publication, stream, sub stream, class, type, edition, year, quantity,
status, almirah, rack, pos., supplier, receipt no., bill no, receipt date, rate, bill date
ISBN, LCCN, DDC, status, release, binding, barcode, print, language, keyword, printer by.

20. STOCK TRANSFER- This form will be used to transfer book stock from one library to another
library.

21. STOCK VERIFICATION- This form will be used to verify stock at the end of the year. It is like the
audit of books. User will verify the available , issued, damaged , discarded books. It can be done
manually or by using bar code reader.
Reports:
1. Book purchase register: Used to keep records of books with books price and bills.
2. Accession Register: It is a register which is maintained by schools in a pre-defined format
and various filters can be used to filter data.
3. Issue return register: This register maintains record of books issued and returned by
students. Various filters can be used to filter data.

4. Fine info: Details of fine due and paid by students.
5. Bar Code generation: It is used to generate bar codes for books.
6. Stock Verification Report: It is consolidated report of stock verification.
