1 Candidate Information Form

1.1 How do I submit a document online?


New hires no need to submit any physical documents on the day of their DOJ with organization. For all
pending documents you need to submit with [email protected].

1.2 What would happen if I didn't submit my documents?


You will receive two reminders from the documentation team to submit pending documents. In case of
failure in doing so, an email will be sent to your Counselor.
Note: For all onboarding related issues, kindly write an email to [email protected].

1.3 In case new hire fails to submit documentation within 48 hours what needs to
be done?
a. Please write to [email protected] (FADV vendor) to reset the password
b. Please write to [email protected] or [email protected] (EY India)
c. Please write to [email protected] (7042856665), (Authbridge BGV vendor) to sort the
technical issues

1.4 Where can I submit documents which were pending during joining formalities?
Please provide all pending documents to [email protected]

2 New Hire Relocation

2.1 How do I get New Hire Relocation benefits?


Yes, if you meet any of the below mentioned conditions:
a. All outstation full time hires (excluding Ranks 04, 5, 51 and 53), who have relocated to the
EY GDS India locations from their home location
b. On being approached directly/indirectly through EY GDS India
Note: Home location refers to the current address of the employee, irrespective of the
permanent address.

2.2 How can I claim reimbursement incurred during my new hire relocation?
You can submit your eligible claims for reimbursement using the Concur tool along with a written
approval from the Recruitment team.

2.3 How do I claim my relocation benefits? How do I contact them?


Please refer to the New Hire Relocation policy and resolve queries accordingly. In case of additional
queries beyond the policy, you can speak to your respective Recruitment SPOC.

2.4 What are the typical benefits of a relocation package for new hires?
Relocation assistance and benefits are being offered to new hires of EY. New hires must avail themselves
of relocation assistance within 60 days of joining the firm and submit receipts for reimbursement. Travel
and household transportation assistance are provided to new hires, including reimbursement for
relocation travel, transportation of goods, and local conveyance, subject to certain limits and guidelines.
The company will arrange interim living for a maximum duration specified in the policy based on the rank
of the new hire. The policy also includes guidelines on how to claim expenses for reimbursement. Please
refer to page 3 and 4 of New Hire Relocation Policy for more details.

2.5 What are the different kinds of benefits provided as a part of new hire relocation at
EYGDS India?
Under relocation benefits, new hires are eligible for one-way travel, interim accommodation,
transportation of goods and vehicle. You can connect with your Recruitment SPOC on the various
benefits and eligibility.

2.6 When should I submit my claim for relocation expenses?


The relocation must take place within two months from the date of joining the company and claims should
be submitted within two months following the date of joining.

2.7 In case I resign before completing twelve months EY GDS, will I have to repay the
relocation expenses?
A new hire who avails either or all the benefits mentioned in the policy is expected to serve EY GDS India
for a period of at least 12 months from their date of joining EY GDS India. If you choose to resign from EY
GDS India or is terminated by EY GDS India within the above-mentioned period, you will be obliged to
repay EY GDS India 100% (of the value) of all expenses borne by EY GDS India at the time of joining as per
new hire relocation policy.

2.8 If I am an outstation new hire, can I claim local conveyance from the hotel to office?
No, local conveyance to and from hotel and workplace is neither reimbursed nor payable by EY GDS India.

3 Offer Letter

3.1 If I don't get my offer letter, who can I reach out to?
You may reach out to your respective recruiter to get your offer letter.

3.2 Whom can I connect in case a correction is needed in my offer letter?


New hires will have to connect with their respective recruiter to make any amends in the offer letter.

3.3 How do I get my acceptance/offer letter?


You can contact your recruiter.

4 Background Verification (BGV)

4.1 Which vendor will do the background verification?


EY is affiliated with First Advantage (FADV), EY India & Authbridge to complete background verification
for all new hires.

4.2 From which id will the new hire get the background verification email?
You will get the background verification email from First advantage —
FADV([email protected]) or EY India ([email protected]) or Authbridge
([email protected]) vendor.

4.3 What is the cut-off date for new hires interview to submit online background
verification form?
For FADV (First Advantage) vendor: new hires will have to submit the relevant documentation within 9
working days from receiving the background verification email For EY India (BGV) Vendor: New hires will
have to submit the relevant documentation within 7 working days from receiving the background
verification email.
For Authbridge Vendor: New Hires will have to submit the relevant documentation within 21 days from
receiving the background verification email.

5 Salary/Payroll

5.1 When will I need to update my bank details in EY payroll employees Self-Service
portal (ESS)?
You will receive an email communication from payroll team between 20th to 23rd of the month post which
you must update all relevant bank details in EY portal.

5.2 When is the payroll cut off?


Payroll cut-off date to process salary for a particular month is the 15th of that month. Employees who join
on or before 15th of the month will have their salary processed in the same month (e.g.: If your Date of
Joining (DOJ) is 10 April, your first salary will be processed in April. If your DOJ is 18 April, your first
salary will be processed in the next i.e., in May month’s payroll.

5.3 When will I get my monthly salary?


You will receive your salary on the last working day of every month.

5.4 How do I access payroll ESS portal?


You will be able to access the payroll ESS portal once you receive an email from the payroll team.

5.5 Whom should I contact for most my payroll questions?


For all your payroll related queries you will have to raise a Payroll Helpdesk request by accessing the
Global Delivery Network-Helpdesk Home page.
In case you have not received your official laptop, then you may refer to the finance POC details in the
“Welcome to EY GDS Important Point of contact” document you have received from the Onboarding GDS
India team on the day of your induction.

5.6 Where can I get my Universal Account Number (UAN) number?
If you are first-time employee or a fresher, you will receive an email from the payroll team to complete
your KYC details. On the receipt of that email, you will have to share all necessary and relevant
information with the team for further verification. EPFO will create a UAN for you, Your UAN and
PF account details will reflect in your pay slip after 2 months from receiving your first month’s salary.

5.7 How do I initiate a Provident Fund (PF) transfer?


You can initiate the PF transfer online through Employees Provident Fund
Organization (EPFO) portal after 2 months of receiving your first month’s salary. The guideline document
is available in the payroll ESS portal -> Document center.

5.8 How do I update my PF information I have?


You will get an email from payroll team to complete your KYC details. On the receipt of that email, you will
have to share all necessary and relevant information with the team for further action on your PF details.

5.9 When should I declare tax investment?


You can declare the tax investments through the payroll ESS portal once you receive a mail from the
payroll team. Tax declarations can be amended between the 10th and 22nd of every month.

6 Learning/SL Induction

6.1 Who will provide information on my scheduled SL/SF (Service Line/Sub


function) session?
Your SL/SF SPOC will share all details about any SL/SF specific training or sessions.

6.2 Where can I get information about my project manager or counselor?


You can reach out to your SL/SF SPOC/Buddy (as shared during the NHO session) for information on your
project and project manager. You will get to know your counselor contact details during your SL/SF induction.

6.3 How do I learn about my team?


You can contact your Counsellor/buddy and they will guide you on the next steps.

6.4 When will SuccessFactors be opened to new employee?


New hires will be able to access the SuccessFactors after 10 working days from their date of joining.

6.5 How do I find out who my buddy is?


Please contact your counselor/[email protected] to know who your buddy is.

6.6 I am unable to access SuccessFactors after 10 working days from my date of joining.
How do I reach out to them?
You may write an email to [email protected] or [email protected].

6.7 What is the CE/CPE (CE-Continued Education/CPE-Continued Professional


Education) credits to do in NHO?
Yes, you will get the CE credits for attending the NHO session. These will reflect in your learning report
after a week of the session.

7 Bank Account

7.1 Which bank can I open my new Salary account?


EY is affiliated with ICICI, HDFC & HSBC for employees to open a new salary account.

7.2 How can I open a new bank account?


a. To open a new salary account with ICICI/HSBC/HDFC bank, please refer to the attached document.
b. The bank person will be available on the day 1 of new hires induction date between 10:00am to
5:00pm at respective EY Office. Also bank person will be available every Week Monday at respective
location wise EY office.

7.3 I have an existing ICICI bank account, how do I update my bank details?
a. Follow the guidelines in the available documents shared to convert your existing Savings AC from
ICICI bank account into a salary account.
b. Post 1st Salary credit from EY to ICICI Bank savings account, the new hires will have to convert from
savings account to salary account through I mobile App referring the user guide which was sent by
onboarding GDS India team or GDS India Non-PPEDD Onboarding Hub (ey.com).

7.4 How can I convert my HDFC account from savings to EY salary code?
a. You must send an email with below information to your respective EY work location bank
representative for them to update in their data base under EY salary code
i. GPN Number (optional)
ii. Employee Name
iii. Mobile Number
iv. Personal email id (To be use for bank related emails)
v. EY work location
vi. Requirement — New account or existing account mapping formalities
vii. In case of existing account mapping — Provide your account number and IFSC code
b. Note: If you haven’t received your official email ID yet, you may share the above
i. information from your personal email id
c. Those who has joined us on after payroll cut-off date (15th of Month) then they will receive an email from
payroll team between 20th to 23rd of following month to add the salary account on our payroll portal

7.5 What is the response time for bank POC inquiries?


It takes at least two working days to receive a response from the bank POC.

7.6 Can I use an account in another bank instead of HDFC, HSBC and ICICI?
EY has partnered only with HDFC, ICICI & HSBC bank for salary accounts. Therefore, no other bank
accounts will be accepted for payroll formalities.

7.7 Is HDFC, ICICI and HSBC mandatory for credit card?


No, it’s not mandatory to opt for a credit card.

7.8 How do I update my HSBC bank details?


Follow the guidelines in the available documents shared to convert your existing HSBC bank account into
a salary account.

7.9 My bank account is not yet opened. Who should I connect with for this?
You can contact the bank representative directly referring the PDF file which was shared by onboarding
GDS India team or [email protected].

8 IT Services

8.1 Could you please provide more details on IT services?


a. Laptop collection timelines: The Onboarding GDS India team will send you the laptop survey link
within two working days from your date of joining in case you have not received the survey link earlier
b. EY Credentials: You will receive your official user id and password within 2 working days from your
date of joining EY
c. Ping Id and PC On Demand (PCOD) step by step process: You will receive detailed documents on how to
complete the RSA token and PCOD configuration, within 2 working days from their date of joining EY
d. Physical Collection: The Onboarding GDS India team will send you a welcome email along with your
respective office addresses, and official laptop collection dates and will received official laptops within
10 working days from the date of joining EY
e. Home Delivery: New joiners who opt to get their laptops delivered to their doorstep will receive
official laptops within 10 working days from the date of joining EY

8.2 How can I receive my laptop if I don't have one yet?


Please write an email to [email protected].

8.3 How can I get my official laptop?


You will receive an email from onboarding GDS India team on your laptop delivery details.

8.4 How can I get in PC on Demand?


A detailed communication to configure your personal laptop to access Outlook and MS Teams will be sent
by the PCOD team. Please use the login credentials received from the Virtual desktop solutions team to
access this.

8.5 What can I do if I don’t have a laptop?


Please inform your SL/SF SPOC (as shared during the NHO session) about your situation so you can agree
on how you can ensure client work is not delayed. You will receive an email from the IT team with
information about your official laptop shortly.

8.6 How can I collect my laptop from another city?


Your laptop will be delivered to you at your official EY work location only, as each location has
specific norms.

8.7 Who is the best point of contact for IT related queries?


For all IT related issues, you will have to raise a self-service portal request with the help of your
SL/SFPOC, buddy, or Counselor until you get your official laptop.

8.8 Whom do I contact for PCOD related issues?


For all PCOD related issues, please send an email to [email protected].

8.9 Whom should I contact if I haven’t received my User ID, password and RSA login
credentials yet?
You will get your official user id and password within 2 working days from your date of joining. In case you
have not received the credential and RSA login details within 2 working days from your date of joining,
then you may send an email to [email protected]; [email protected];
[email protected]; [email protected]; [email protected];
[email protected]; [email protected]; [email protected] or
raise the self-service portal request with the help of your SL/SF POC, buddy, or counselor.

9 Other Queries

9.1 How can I find my GPN number?


Your GPN number will be processed within three to four working days from your date of joining.

9.2 How can I reset my password when it is not working?


a. Please write to [email protected] (FADV vendor) to reset the password
b. Please write to [email protected] or [email protected] (EY India)
c. Please write to [email protected] (7042856665), (Authbridge BGV vendor) to sort the
technical issues

9.3 How many review cycles per year?


We have three review cycles in a year. and You will get all information from your respective service line
Talent consulting POC for every cycle about timelines to send the feedback to your stakeholder.

9.4 How do I get my welcome kit?


WES team will distribute the welcome kits every Wednesday and Friday between 12:30pm to 2:00pm

9.5 Where can I view the holiday collection?

9.6 I need assistance in completing tasks under onboarding period
