Definition of Needs Analysis

Needs analysis is the process of identifying and evaluating the language needs of learners to design an
effective curriculum or instructional material. It helps determine what learners require in terms of skills,
knowledge, and competencies to perform effectively in their specific contexts.

According to Hutchinson and Waters (1987), needs analysis is divided into:

 Target Needs (what learners need to do in the target situation)

 Learning Needs (how learners can achieve the target needs effectively)

Steps to Conduct Needs Analysis for Adult Learners in a Business Institution

When designing materials for adult learners in a business institution, follow these structured steps:

1. Identifying Stakeholders

 Determine who will be involved in the process (e.g., learners, employers, HR managers,
trainers).

 Clarify their expectations and objectives for the training.

2. Defining Objectives

 Specify what the needs analysis aims to uncover (e.g., language skills for meetings,
presentations, email writing).

 Align objectives with the business context and learners' job roles.

3. Collecting Data

Use multiple methods to gather information:

 Surveys/Questionnaires – Assess learners’ self-perceived needs and preferences.

 Interviews – Speak with employees and managers to understand real workplace demands.

 Observation – Analyze communication in business meetings, emails, and negotiations.

 Workplace Document Analysis – Review company reports, emails, or presentations to identify


language patterns.

4. Analyzing the Data

 Identify gaps between learners' current skills and target language needs.

 Categorize needs into general business communication (e.g., email writing, negotiation,
meetings) and specific job-related language skills (e.g., financial terminology, legal contracts).

5. Prioritizing Needs

 Rank the identified needs based on importance and frequency of use in the workplace.

 Focus on the most critical skills first to maximize effectiveness.


6. Designing the Material

 Choose appropriate content based on real workplace scenarios (e.g., role-plays for meetings,
case studies for decision-making).

 Incorporate authentic materials (e.g., business reports, email templates).

 Ensure activities are task-based and problem-solving oriented.

7. Implementing and Evaluating

 Pilot the materials with a small group and collect feedback.

 Adjust content based on learners’ engagement and performance.

 Continuously refine the materials to align with evolving business needs.
