KVS CHENNAI REGION

KVS Regional Sports Meet 2025 – Modalities.

The following guidelines / modalities are prepared based

on the KVS Sports Modalities issued by KVS Hqrs New Delhi for a
quick check and appropriate action.

1. Regional Level events for the academic year 2025-26 will

be conducted in four phases as detailed below:

Phase I : 11 to 13 April 2025

Phase II : 15 to 17 April 2025
Phase III : 21 to 23 April 2025
Phase IV : 23 to 25 April 2025
Phase V : 24 to 26 April 2025

The details of phase-wise events and venues are given in

the Schedule attached.

2. Last Date to submit the details of students in the

Sports Portal is 10-04-2025 for the year 2025-26 if
Portal functioning, In case portal is not functioning
kindly download the excel sheet from the portal and
fill all the collum and sent to the concern regional
venue well in time.

The students of Class X during 2024-25 may be

allowed to participate in the Regional Sports Meet
2025 / trials by taking an undertaking / consent from
the parent as per the guidelines issued by KVS Hqrs
New Delhi vide letter dated 27.03.2025.

3. Students / Teams must carry the regional entry form

downloaded from the sports portal or excel sheet entry
form and medical certificate in the prescribed format for the
regional meet.

(a) Team Events U-14 (Boys & Girls)- The winner Vidyalaya
team will participate up to KVS National Sports Meet.
 (b) Team Events U-17 (Boys & Girls)- The Vidyalaya team
will participate in Regional Meet (For the selection of
regional team, school may send outstanding players
for trial/selection on last day of tournament) and then
mixed team (Best players) will be selected for the KVS
National Sports Meet and KVS team for National School
Games (SGFI) during NSM.
(c) For Individual/Semi Team Events in U-14, 17 & 19
(Boys & Girls)- The existing system will continue as per
SGFI norms.

4. Benchmark for Regional meet which will be sent shortly for

strict compliance. However, the benchmark for the National
Meet should be followed strictly as per the norms decided
by KVS.

5. Substandard teams / students should not be deputed to

take part in Regional Sports meet merely for the sake of
participation

6. All the participants shall wear T Shirts & Shorts during the
Regional Sports Meet.

7. Vidyalaya must provide the kit and bear the travelling

expenditure for the Vidyalaya team for participating in the
Regional Meet

8. The Principal of Venue KV for Regional Meet would make

TRAIN RESERVATIONS for selected students and escort
teacher for NSM destination They will also procure the
T/Shirt and Shorts, Shoes and kits (except TRACK SUITS,
MARCH PAST SHOES, SOCKS, CAPS) as per the Hqrs sports
modalities for the Team game and Individual event.

9. Coaches who are appointed in the Vidyalaya should be

utilized for coaching and training the students in their
respective games before and after school hours regularly.
There will not be any separate coaches for primary classes.
Contractual yoga coaches should be appointed by the KVs
apart from the sports Coaches.

10. Mini sports meet to be conducted for classes 3 to 5 for 80

mtr run,100 mtr run,
Tennis ball throw, chess, kho-kho and football.

11. To conduct a workshop for the newly introduced subject Khel

Yoga class III for Primary teachers by TGT PH&E.
12. A two-day workshop may be conducted for all TGT PH&E of
Chennai region.

13. The summer coaching camps for the selected Probable Boys &
Girls from KVS Chennai. Regional Sports Meet -2025 in a
selected KV for 12 days during the Summer Vacation 2025.
Coaching venues will be intimated later. TGT(P&HE) who is
given responsibility for Regional Sports Meet will be the in
charge of the Coaching Camp and reputed coaches will be
called for specialized coaching and remuneration may be
given as per the modalities (Rs.2000 Per day).

The expenditure of summer coaching camp (probable camps)

will be borne on Pro-rata basis. The participating KVs shall
pay the amount to Venue KV in advance. Pre National
coaching camp scheduled will be sent shortly,
expenditure of pre national camp will be borne on
RSCB.

14. The SGFI selected students journey/ Escorting shall be

arranged by the Principal KV Concerned from where the
maximum number of students selected for participation
However, the Venue Principal of Regional Sports Meet
of concerned event would coordinate the same.
15. During the pre-national coaching camp practice / friendly
matches can be arranged.
16. Facilities should be provided for the sports
department.
Every KVs of Chennai region should be provided
with a PC, Net facility and Printer in the Sports
Room to enable them to carry out of the online
entry for smooth conduct of Regional, National and
SGFI Sports meet 2025.

17. Sports experts for coaching KVS team for participation in

SGFI or other National or International Tournament from
SAI / reputed player from National / International level is
to be engaged.
18. Settlement of Bills
All those bills pertaining to the Regional Sports Meet
which is to be reimbursed from RSCB to be sent to
KVS RO Chennai within 15 days after completion of
the meet.
19. Age calculation for different age groups and to which the
students are eligible to participate in these games from
class SIXTH and above are as under:

 Age of students /Participants will be verified from

Vidyalaya record.
 If any student /participant is found under /over age
or underweight/overweight, the responsibility will be
fixed on concerned Vidyalaya.


20. Opening / Closing Ceremony shall be organized at the

Venue for conducting Athletics only.

21. Medals & certificates are to be distributed on the

concluding day of the meet

22. Merit certificates and medals may be given to all the

position holders during regional meet.

23. No Objection Certificate is to be retained by the

Vidyalaya concerned.

24. Services of the Officials from State associations /

affiliated Clubs to conduct the Regional Sports Meet
are to be engaged as per the guidelines.

25. The remuneration may be paid as per the rates of the

State association, but not more than the rates
mentioned in the KVS Sports Modalities. The rates
should be obtained in writing from the Association /
Affiliated Clubs before finalizing the same.
26. Services of Officers from Sports Authority of India
(SAI), NIS qualified coaches (Diploma) /
University/National / International players are to be
utilized to act as judges. The rate should be obtained in
writing from the Association / Affiliated Clubs / KVS Sports
Modalities.

27. The Principal of the Venue KV will form a Selection

Committee comprising of the following members.

a) Principal of venue KV
b) TGT (P & HE) of Venue KV
c) Senior official from SAI, etc

28. The Selection Committee would finalize the team /

students for participation at KVS National sports meet.

29. Team Games are to be played on league cum knock out

basis

30. In Badminton, Tennis & Table Tennis Best five individual

singles players can be selected for KVS National Meet.
However, in Athletic & Swimming 1 st and 2nd position
holders can be selected for the KVS National Meet subject
to qualifying norms. Each participant can participate in 3
events excluding relay.

31. All the sports and games related letters to be send to

the following mail id [email protected]

32. Students having Extraordinary talent in games and

sports may be sent to the selection trails on the last
day of the meet if there is no team in the Vidyalaya
provided such students did not take part in the
Regional Meet.

33. A first Aid kit should be available during the Regional

Meet at the Play and stay venue and services of Nurse
also to be made available.

34. The principal of venue KV and Winner KV of Under 14

must fill the details of results and travel details
including escorts in the sports portal immediately after
completion of the meet.

35. Kabaddi and Kho-Kho (U–14 & U 17) will be played on

the mat and hence teams should be provided with
Kabaddi and Kho-Kho shoes out of VVN of the
respective Vidyalayas.
36. The Principal of venue KV would issue Kit to those
students who are representing the region and the track
suits and shoes will be provided by the Regional
Purchase Committee.

37. Principal in charge of Purchase Committee for

procuring sports items will also procure certificates for
Regional participation, winners, runners and Medals for
the Regional Meet (Boys & Girls) and will make
arrangement to distribute the items to the venue KVs
of the Regional Meet well in time.

38. The DA for the students participating in the Regional

meet 2025 will be met out of funds available in RSCB
and the Principal of Venue KV would incur strictly as
per the expenditure norms of KVS.

Conduct of KVS National Sports Meet 2025:

Chennai Region has been assigned the responsibility of conducting

the following events of KVS National - Skating (Boys& Girls)– U-
14,17 & 19, Table Tennis (Boys & Girls) U-14, 17, 19. It is proposed
and decided to conduct these events in the following venues:

1. Skating (Boys) U-14, 17, 19 – KV No.2 Pondichéry

2. Skating (Girls) U-14, 17, 19 – KV 1 Pondichéry
3. Table Tennis (Boys)– U-14,17 & 19 – KV 2 Tambaram
4. Table Tennis (Girls)– U-14,17 & 19 – KV 1 Tambaram

The events will be conducted in the month of August (September

2025). A committee may be constituted to visit the proposed
venues to check the facilities available and for further planning.

Jury of Appeal

The Jury of Appeal for Regional Sports Meet 2025 would comprise
of the following Members:
