Job Title: Executive Assistant and Admin

Department: Administration
Reports To: CEO

Summary:
We are seeking a highly organized and experienced Executive Assistant to provide
comprehensive support to our CEO while also acting as a key liaison between the internal
team and our finance department. The ideal candidate will be a proactive problem-solver
with exceptional communication and interpersonal skills, and a strong understanding of
financial processes.

Responsibilities:

1. Executive Support:
 Manage the CEO's complex calendar, scheduling meetings, appointments, and
travel arrangements.
 Prepare and organize meeting materials, presentations, and reports.
 Screen and direct phone calls, emails, and correspondence.
 Maintain confidentiality and discretion in handling sensitive information.
 Manage CEO’s LinkedIn profile and postings.

2. Finance Liaison:

 Facilitate communication and collaboration between internal teams and the


finance department.
 Manage expenses and process invoices.
 Assist with budget preparation and tracking.
 Handle invoicing, assist with payroll, and vendor payments.
 Gather financial data and assist the financial team.
 Assist finance team in compliance with tax regulations, financial reporting and
other procedures.
 Address and resolve finance-related inquiries from internal and external teams.

3. Admin Work:
• Maintain office organization and supplies.
• Assist in onboarding new employees and their contracts and scheduling
interviews.
• Circulate office policies and management announcements.
• Maintain files for important documents and undertake digitization
• Maintain attendance records.
• Handle internal communication, performance reviews, and assist with HR
compliance.
 Assist with special projects as needed during shoots and events.

Qualifications:
• Bachelor's degree in Business Administration, HR, or a related field or equivalent
experience.
• 1+ years of experience as an Executive Assistant, Admin, HR or in a similar operations
role.
• Excellent communication, interpersonal, and organizational skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and as part of a team.
• Ability to prioritize tasks and meet deadlines in a fast-paced environment.
• Since we are a start-up and the job requires being a personal assistant to the CEO,
the role demands flexibility in working hours, including late evenings and occasional
weekends.
