CHAPTER ONE

1. INTRODUCTION

1.1 BACK GROUND OF THE STUDY

Madda walabu University was one of the Ethiopian university. The university was formulated
in 1998 E.C Robe teacher’s college and it is being developed to the university in 1999 E.C. when
the university was started us independent university, it had 434 male and 266 females (as the
total 700) students. The registration services were started when the teaching learning process is
established in Madda walabu University.

Madda walabu University was started before nine years ago. It was founded by Ethiopian
government organization and foreign voluntary organization especially Chinese and Japanese. At
this time it is widely used to define one of the several service functions involved in to registrar
activities in the broad sense.

Madda walabu university registration was established for different objectives. One of the most
objectives is by developing online registration to save the time and money for the user.

1.2 STATEMENT OF THE PROBLEM

As starting point for problem definition we try to identify how registration of students was being
carried out and we get some information about the system from the registrar office. From our
observation of the student registration process we have collected data and identified the
following problems.

 Lack of online registration system

 The office consumes manpower, time and resources because of manual service of student
registration system.
 students also consume time and resources for registration
 Lack of organized data for screening student’s service documents and relevant
information.
 Inaccuracy of information (loss of data)
 Reports are not processed on time.
 Redundant flow of student information.
 There are also time wastage, business competition and economic problems.
 Difficult to access the registration service because the existing registration system is
traditional one.

1.3 OBJECTIVE OF THE PROJECT

1.3.1 General objective

The general objectives of this project is to develop online registration system for Madda walabu
University

1.3.2 Specific objective

The study tries to achieving predetermined specific objectives which started concisely clearly as
follows:

1. To change the currents registration system to the technological based registration.

2. To identify the factors that affect registration performance.
3. Provides the website registration for the madawalabu university communities.
4. Access sufficient registration service to time.
5. To provide the mechanism that help for the students around registration to get
enough and efficient services.
6. To produce the alternatives solution and select the best solution for the university
problems around registration.
7. To ignore redundancy of the student data.
8. To reduce space that taken by student data.

1.4 Significance

It is believe that registration services are important to script student in efficient ways. This study
tries to survey whether the registration system given to student at maddawalabu university are
efficient or not.

As the result the project will have the following significance:-

 To improve the method of accessing enough information about madawalabu university

student registration.
 It saves time and money during the process of providing service.

1.5 Scopes

The scope of the project is to design and implement student online registration for the Madda
walabu University. The major serves that will be covered includes adding student to database,
produce the simplest student registration for the Madda walabu University.

In order to complete this project in effective manner the team has planned the activities which
are performed throughout the development of online registration.

1.5.1 Limitation

In general the limitations of our projects are:

 No enough time to gather different information in detail about the registration

services that is given for the students at Madda walabu University.
 As a result the project could not include many of the services such as library system
and teaching-learning system given to student at Madda walabu University.
 Lack of enough information about student registration of Madda walabu University at
the time interview.
 Lack of sufficient material and financial resource.

1.6 Proposed System

The aim of proposed system is to develop a system of improved facilities for madda walabu
university student registration. The proposed system can overcome most of the limitations of the
existing system. The system provides proper service including how to register the student and
give better registration service for the student in Madda walabu University.

1.7 Feasibility Study

Feasibility is the measure of how beneficial or practical the development of an information

system will be to an organization. To start with our project first we should have to clearly notify
the problem.

The feasibility factors of our project are: -

 Technical feasibility
 Operational feasibility
 Economic feasibility and

7|Page
 Schedule feasibility

1.7.1 Technical Feasibility

This can be expressed our project that any user can access the online registration through the
technological material.

1.7.2 Operational Feasibility

This project provides a solution of the current problem of the registration, accordingly
performance, Information (timely, pertinent, accurate and useful information), economically,
control, and efficiency by using operation feasibility.

1.7.3 Economic Feasibility

There are costs associated with a development of the online registration, and there are costs
associated with operating system we can be estimated the outset of a project and should be
refined at the end of each phase of the projects.

1.7.4 Schedule Feasibility

During we develop our project we done by on time line, and we finish the development of the
project on the given schedule.

1.7.5 Operational definition

Registration (Reg: Registration) is the way of registering and being the party of the organization
or institution.

Online registration is the registration of some one with out physical contact with Registrar
workers

1.7.6 Organization of the proposal

Our proposal has two chapters with critical and evident ideas. The first chapter (chapter one)
contains about background, statement of problem, objective of the study, scopes, limitation
significance feasible, and Proposed system with brief discussion. The second chapter contains
about literature reviews, about methodology of gathering information that is the backbone our
projects, and final contains about the time budgets&schedule .

Chapter 2

2. LITERATURE REVIEW

2.0 Definition of online registration system

Registration is the way of registering and being the party of the organization or institution. There
are many definition and function of the online registration.

2.0.1 Application of online registration system

As in take capacity of the university is increasing, the demand for extra online materials is also
increasing. Therefore, the university allocated many budget to develop website to fill the gap of
the shortage of ease access registration services in all schools about many budjet was allocated &
large number of users was users & being to getting service in registration. Future plan for the
coming academic year the university registrar plans to open a website registration

2.0.2 METHODOLOGIES

We have used interview, observation and document analysis in order to determine the
information which is used in the developing online registration in madda walabu university every
important to develop the proposal. This deals with research method, data collection, and system
analysis and design and system development/implementation.

2.1 DATA COLLECTION

9|Page
Interview: We get much information by asking different face to face many questions from the
manager of the registrar and the other servant who works in the madda walabu university
registration. We also get much information by interviewing servant and within the observation
we collect data that is the cornerstone of our projects.

Observation: Read the document and seeing whatever around maddawalabu university
registration, enables us to list out the existing problems, since it is what we see observe in reality.

Document analysis: To have detailed awareness about this research we will use document such
as books, and some related previously done research which is very important to develop our
project. During the analysis of documents, we give especial consideration to those documents
which can bring more features to research.

2.2 EXISTING SYSTEM

In Madda walabu University student registration there is different method that currently exists.
Those existing systems are registering students dividing into different registration places. The
registration place is divided depends on the school. Depending on those schools the student
registration is achieved in Maddawalabu University now. So Maddawalabu University is more
interesting exists in Ethiopia.

2.3 Requirement Analysis and Design

Analysis of a project is a problem-solving technique that decomposes a system into its

component pieces for the purpose of studying how well those component parts work and interact
to accomplish their purpose. It is a problem-solving approach that emphasizes the drawing of
pictorial system models to document and validate existing and/or proposed systems. Ultimately
the system model becomes the blue print for designing and constructing an improved system.

2.4 System Requirement

The system requirements are the task that is must to be done by the newly established system. In
this system, we try to incorporate as much functionality as we could. The task in the
maddawalabu university website registration will be changed from manual to computerized

10 | P a g e
system. Our project focuses doing on the following task of the madawalabu university student
registration.

 Recording information:
 Registration: all information of student in to database.
 Deleting: the unnecessary information of the all student is
totally deleted and replaced necessarily by the one in the
database.
 Searching information of the student.
 Updating student informstions
 Display registration form.
 Retrieve all recording information of student.

There are also hardware and software requirements.

 Hardware requirement:-

 Personal Computer (PC).

 Removable disk such as CD-Rom, Flash and the like.
 Software requirement:-
 Dream waver /Notepad ++
 Microsoft word.
 Xampp server
 Mozila firefox

2.5 SYSTEM ANALYSIS

There are many methodologies to carry out our project but we have chosen to implement the
xampp server approach because of the following few reasons:

 Improved communication among user, analysis, designer and programmers.

 Increase consistency among analysis, design and program.
 The actual system must be adapted to the environment in which the system will
actually be implemented.

11 | P a g e
2.6 SYSTEM DESIGN

Our system designing uses xampp server techniques. Xamp server development approaches are
best suited to project that implement systems, manages and assemble the object in to useful
computer application. Xampp server design is in that we use many of the same models developed
in analysis and refine them to reflect the targeted production environment, including selected
software, hardware and architecture technology.

2.7 System Implementation

The purpose of this topic is to provide some basic highlight of the issue deal which the
implementation phase. During implementation the physical operation specification is turned into
working computer code. Then the system is tested until most of the errors have been detected
and corrected. The goal of implementation is to introduce the new services for the users how
they use these new services.

2.8 System Testing and Validatio

System test is done by combining each individual (related forms) form and report with their
concerned database by giving general data. Here the whole system is tested for its performance
and reliability. A deployment modeling platform enables user to model application of target SW
and to associate application modeling parameters to the modeled application. We also use testing
environment for the target of developing system and to associate environment modeling
parameters to model system deployment
