❇ Overview:
This document provides an overview of SAP S/4HANA Flexible Workflow, its relationship to SAP Business
Workflow, key concepts, configuration, and advantages.
Flexible Workflow is an add-on to the traditional SAP Business Workflow. It's designed to be more user-
friendly and easier to implement, particularly within sourcing and procurement processes. It is also known as
a "workflow scenario." As per my understanding, "Flexible Workflow is an add-on built on top of SAP Business
Workflow, also known as a workflow scenario. It is designed to be easier to use and implement than standard
SAP Business Workflow."
Relationship to SAP Business Workflow: Flexible Workflow builds upon SAP Business Workflow. Existing
knowledge of SAP Business Workflow (transaction code SWDD) is beneficial and, according to the source,
"flexible workflow is extra stuff on the sap business workflow." Flexible Workflow scenarios are built in the
SWDD_SCENARIO transaction.
S/4HANA Requirement: Flexible Workflow is available only in SAP S/4HANA, not in SAP ECC/HANA. This is a
key differentiator.
Primary Use Case: The primary use case for Flexible Workflow is in sourcing and procurement, specifically
for implementing release strategies for purchase requisitions (PRs), purchase orders (POs), and RFQs. It’s very
easy to configure release strategy for POs etc. using Fiori Manage Workflow App with Flexible workflow.
Flexibility and Ease of Use: A core benefit is its flexibility and ease of implementation. It offers more
simplified configuration options compared to traditional SAP Business Workflow. The word "flexible"
indicates that it can be implemented in different ways easily.
🔴 Fiori Launchpad and Manage Workflow Apps: Configuration and creation of Flexible Workflows are
primarily done through Fiori Launchpad using "Manage Workflow" apps (e.g., "Manage Workflow for
Purchase Orders"). These apps need to be configured.
My Inbox (Fiori): Work items (tasks requiring approval/action) are accessed through the "My Inbox" Fiori
app, which is accessible on desktops, tablets, and mobile devices. Mobile accessibility is a significant
advantage. My Inbox is mandatory for a flexible workflow. Work items from SAP business workflow can be
routed to My Inbox.
.
Workflow Scenarios: These are templates defining the basic structure (conditions, activities, agent
assignments) for Flexible Workflows. SAP provides standard scenarios that can be used as-is or customized.
Workflow Scenario Activation: Workflow scenarios are activated in the SPRO (SAP Project Reference
Object) path for flexible workflow by ticking the checkbox next to the scenario. Activation is crucial. If a
scenario isn't activated, it won't be available for selection when creating a Flexible Workflow instance.
Workflow Start Conditions: Define when the workflow should be triggered (e.g., based on company code,
document type, purchase order amount).
🔍 Steps (Activities): Specific tasks within the workflow (e.g., "Release of Purchase Order").
🔍 Agent Determination: Assigning users/roles to the tasks. Uses agent determination rules.
🔍 Conditions for Each Step: Define when a specific step should be executed.
🔍 Agent Determination: Flexible workflow includes different options to determine agents including role-
based assignments or user assignments.
🔍 Testing Flexible Workflow: Flexible workflows can be tested using transaction SWDD_SCENARIO, selecting
the workflow and executing it with test data.
🔍 Customization: You can copy standard workflow scenarios provided by SAP and customize them. This is
done by scenario definition where new scenario identifiers are created.
🔍 SAP_WFRT vs. WF-Batch: In ECC standard user for workflow used to be WF-BATCH, but in S4/HANA, it is
SAP_WFRT.
🔍 Key Transaction Codes (Mentioned):
🗝 SWDD: SAP Business Workflow (traditional).
🗝 SWDD_SCENARIO: Flexible Workflow Scenario Creation.
🗝 PFTC: Task definition.
🗝 SPRO: SAP Project Reference Object (for configuration).
🗝 SWU3: The transaction code used to activate standard settings and perform client-dependent
configurations.
💎 Conclusion:
🔴 SAP S/4HANA Flexible Workflow offers a more streamlined and user-friendly approach to workflow
implementation, particularly in sourcing and procurement. Its integration with Fiori Launchpad and the "My
Inbox" app provides enhanced accessibility and efficiency. Understanding the underlying concepts of SAP
Business Workflow is highly recommended before delving into Flexible Workflow.
