called ‘visual collaboration’ and is a type
of groupware.

* Audio output: Usually loudspeakers

* Data transfer: Analogue or digital
telephone network, LAN or internet.
* Specialized room: The best scenario is
to have a specialized room with qualified
staff to set up and maintain the room
and the equipment:
- Ensure that the room has a wall clock
- Ensure that the room is well air
conditioned
- If the session is to last more than one
hour ensure that coffee facilities are
near at hand
- To counteract 'techno stress'-
concentrating on content whilst coping
with equipment is stressful
- Ensure that water is available in the
room
- Seating arrangement maybe best as a V
shape allowing the remote group to be
involved and discussion locally to be
facilitated. The monitor can be thought
of as another person in the group.
- Placing the camera above or below the
monitor can help achieve eye contact as
people tend to look at the monitor and
the image of the person rather than the
camera.
- Lighting and framing subjects should
follow the same guidelines as for
photography.
- Good, controlled lighting, which
reduces shadows, have the background
evenly lit.
- Do not put people next to the window,
especially if the camera is to focus on
them.
- Frame people properly. Close-ups do
not work well with compressed video.

presentation skills.
Increased engagement: Video
conferencing requires more
attention than audio-only calls
because participants can see
each other.
Efficient collaboration: Video
conferencing tools like live chat
and screen sharing make it
easier to convey information and
collaborate.
Better learning
opportunities: Video
conferencing can help provide
lessons in a structured way and
promote interactions between
learners and instructors.
Flexible access: Students and
educators can access lectures
and coursework flexibly, without
being constrained by a physical
classroom.
Diverse course options: Students
can access a wider range of
courses from around the world.
Customized teaching: Video
conferencing can allow for more
customized teaching.
Cross-cultural interaction: Video
conferencing can allow students
to interact with people from
other countries.
Session recording: Digital
learning services can record
sessions.
DISADVANTAGES OF VIDEO
TELECONFERENCE
Technical issues:
Unstable internet connections,
software glitches, and audio or
video issues can disrupt
meetings and frustrate
participants.
Lack of personal interaction:
Video conferencing can limit the
ability to see body language and
facial expressions, which can
make it harder to understand
communication.
Digital divide:
Some students may not have
access to the devices or internet
connection needed for video
conferencing.
Distractions:
Students may be distracted by
their surroundings, such as noisy
environments or multitasking.
Meeting fatigue:
Frequent video conferences can
lead to participants feeling
drained and less engaged.
Security and privacy:
Video conferencing platforms
may be vulnerable to security
breaches or unauthorized
access.
Cost:
Video conferencing systems can
be expensive to purchase.
Cultural and language barriers:
Global collaboration can
introduce cultural and language
barriers that may hinder
effective communication.
Need for training and support:
Educators need to be equipped
with the skills and knowledge to
use the technology effectively
and troubleshoot any technical
issues.

CONCLUSION
Video conferencing is one of the best
ways of communication for large
organizations as they provide an instant
and reliable method through which the
entire organization can connect,
communicate, and collaborate. Not only
do video conferencing tools make
communication efficient, more
comfortable, and cheaper for the
organization but they also provide a lot
of intangible benefits such as increasing
the productivity of the employees in the
organization in general.
