Application Writing

An application is a written correspondence used to seek something, request permission, or apply for
various purposes. It serves as a formal means of communication to express one's intentions and seek
a favorable response. Typically, an application letter is concise and limited to one page, ensuring
clarity and conciseness in conveying the message effectively.

Application letters can be written for both personal and business needs. On a personal level,
individuals may write application letters to request admission to an educational institution, apply for
a job position, seek financial assistance, or seek permission for specific activities. On a business level,
application letters can be used to inquire about job opportunities, request business partnerships,
apply for grants or funding, or express interest in a particular project or opportunity.

The structure of an application typically includes a formal salutation, an introduction stating the
purpose of the application, a body providing relevant details, and a courteous conclusion. It is
essential to tailor the application’s content to the specific purpose and audience, ensuring clarity,
professionalism, and a persuasive tone when necessary.

Some Guidelines for Writing an Application


1. Write the application in a respectful tone that explains the leave request and seems genuine.
2. Mention the particular reason you are requesting to be excused.
3. Application's foundation should be preserved.
4. Application must be brief and to the point.
5. Check for syntax and punctuation mistakes.
6. Purpose of writing the application should be expressed explicitly in the application. Along with
this, specifics about the reason, such as the number of days of leave, and so on, must be included.

Format to Write an Application


Receiver’s Address
Mention the person being addressed, i.e. The Principal/HoD and then the college’s/dept. address.
Date
The date on which the application is written. It helps in officially documenting the application.
Subject
A short statement reflective of the purpose for which the application is written.
Salutation
Here the addressee is respectfully acknowledged and referred to.
‘Sir’, ‘Madam’ or both in case of ambiguity about the gender of the person being addressed.
Body of Content

 State the reason for the application.


 Related factors such as the number of days for a leave (including dates), reason for fee
concession, etc.
 Humbly extend your gratitude towards the receiver.
 Complimentary note as a closing acknowledgement for the receiver’s time, understanding
and patience.
Closing
Close it with: Yours Obediently, Yours Sincerely, etc.
Add Name of the Sender with signatures and details if required.
