Unit 1: Material

In manufacturing, master data determines the relationships between the materials used in
production and the production process. Material master records must exist before a bill of
material (BOM) and its components can be created.
BOMs indicate what materials are used to produce a product. The components in a BOM can
be assigned to specific operations where they are required.
You must define the work centers before they can be used in an operation.
Routings are more complex and pull the other pieces of master data together. Routings define
the operational steps required to produce the product, along with the time required, work
center where the work is done, and other manufacturing control data.
Production resources and tools identify the tools necessary to do the work. These tools can
be assigned to operations.
Documents created in document management can be assigned as components in BOMs, or
as a production resource tool (PRT) to routing operations.
You can create and assign standard SAP texts to production planning (PP) basic data objects.
You can use the SAP classification system to group PP basic data according to user-defined
attributes.
For the material you need to produce, set the procurement type to in-house production (X, E).
You must maintain at least one plant-specific view (material requirements planning (MRP) or
work scheduling) in the accounting and costing views for the material.

Introduction to Material
Material Master

Figure 2: Material Master Definition

The material record integrates data from different areas of a company. The material
maintains all data in several centralized tables, based on relevance to a particular part of the
organizational structure. The material is used by all SAP logistics applications.
Various departments in a company work with the same material, and each department wants
to store different information on the material. To address this requirement, you can subdivide
the material data as per the department to which it belongs, and every area of responsibility

can have a material view. In this way, each department has its own material record view and is
responsible for the correctness of the data.

Production Planning Functions

Production planning (PP) functions use the data that is maintained in the following views:
● Basic data view:
This view includes general data, such as the material number, material description, base
unit of measure, and technical data.
● Classification view:
This view contains the user-defined class assignments for a material.
● Materials planning view:
This view contains plant-specific data that is used in procurement planning.
● Scheduling view:
This view contains plant-specific data that is used in scheduling materials for production.

Unit 1: Material

Organization Levels of the Material

Figure 4: Organization Levels of the Material

Some material data is valid for all organization levels, while the rest is valid only for specific
levels. The hierarchical structure of the material is aligned with that of the company.
The following elements in SAP ERP directly impact production planning:
● Client
● Plant
● Storage location

The hierarchical structure of the material helps you to manage the material data in the
company centrally and to minimize data redundancy.

Material Tables
Some of the main material tables are as follows:

MARA
The MARA table in SAP S/4HANA contains the general material data that applies to the
entire company. This data is stored at client level.
General material data includes the following information:
● Material descriptions
● Base units of measure
● Conversion factors for alternative units of measure

MARC
The MARC table contains the data that applies to a plant and its assigned storage
locations. This data is stored at plant level.
The following are examples of the data in the MARC table:

● Material requirements planning (MRP)

● Forecasting data

MARD
The MARD table contains data that applies to a specific storage location. The data is
stored at storage location level (this is mainly the storage location stock).
The material is a link between several tables, defined by their relationship with the
organizational structure.

Unit 1
Lesson 2
Creating a Material

LESSON OVERVIEW
This lesson describes how to create a material master record using different methods.

Business Example
You are responsible for creating material masters in SAP S/4HANA for your organization. For
this reason, you need to know how to create a material master record in the following ways:
● From scratch
● From an existing material master
● From profiles and other shortcuts

LESSON OBJECTIVES
After completing this lesson, you will be able to:
● Maintain prerequisites for creating material
● Create materials using different methods

Prerequisites for Creating Material

To create a material in SAP, you must be aware of the following general information:
When creating the first view for each material, you must define the following:
● Material number
● Industry sector
● Material type
● Unit of measure
● Description

Material Type Determination

Materials with similar characteristics are divided into groups and are assigned to a material
type. This helps you manage different materials as per the company’s standard requirements.

When you Create a Material, the Material Type Determines the Following:
● Which departments can maintain the material
● Whether the material number is assigned internally or externally
● Which number range interval the material number comes from
● Which screens appear and in which sequence

Unit 1: Material

● Which department-specific data you have to enter

● Whether quantity changes in the material are updated
● Whether value changes to financial accounting stock accounts are updated
● Whether the material is produced in-house, procured externally, or both
● Which accounts are posted when a material enters or leaves the warehouse

Additionally, the material type defines the procurement type. You can decide whether the
material is an in-house production, whether you have to create purchase orders, or both
scenarios are possible.

Predefined Material Types

SAP delivers some predefined material types:
● Finished products (FERT):
Finished products are produced in-house. Since they cannot be ordered by Purchasing, a
material of this material type does not contain purchasing data.
● Raw materials (ROH):
Raw materials are always procured externally and then processed. A material of this type
contains purchasing data, but not sales data since they cannot be sold.
● Semifinished products (HALB):
Semifinished products can be procured externally and manufactured in-house. They are
then processed by the company. A material of this material type can contain both
purchasing and work scheduling data.
● Services (DIEN):
Services can be performed internally or procured externally (outsourced). They cannot be
stored or transported.
● Configurable materials (KMAT):
Configurable materials are materials that can have different variants. For example, an
automobile can have different types of paintwork, trim, and engine. The Material is
configurable indicator is already set for this material type in Customizing.
● Intra materials (INTR):
Intra materials exist only temporarily between two processing steps. A material of this
material type contains not purchasing or sales data.
● Production resources/tools (FHMI):
Production resources/tools are procured externally and used in production or plant
maintenance. A material of this material type can contain purchasing data, but not sales
data. It is managed on a quantity basis.

Industry Sector

When you create a material, the material type determines the following:
● Which screens appear and in which order
● Which industry-specific data appears

Lesson: Creating a Material

● Which branch of industry the material is assigned to

The industry sector is one of the several influencing factors that determine the data fields and
screens that are available for input during material maintenance.
When the material is configured, the industry sector can act as a key for specifying whether a
field is required, changeable, display only, or hidden.
In addition, the industry sector is used in the configuration to determine the views and the
sequence in which a user can display the material.

Note:
From within any of the Create, Change, or Display transactions, users can access
the Defaults → Industry Sector menu. This transaction is user-specific and can
control the default industry sector as well as hide the industry sector once a
default is set.

Material Numbering

Figure 5: Material Numbering

Each material has a unique material identification number.

You can assign the identification number in the following ways:
● Externally:
If you assign the identification number externally, you need to enter the required character
string while creating a material.
● Internally:
If you assign the identification number internally, you do not need to enter any material
number while creating a material. Until you save the material, the system sets the internal
material number in the appropriate field. When you save, the system automatically assigns
the next available number.

Unit 1: Material

The type of number assignment you can implement depends on the material type and is
defined in Customizing. To do this, you must maintain the number range groups. You can
assign the material types to the groups.

Note:
Material numbering is defined at client level.

You can assign an interval to only one group and also change the current number of an
interval manually.

Note:
In Customizing, you decide whether you would like to use the long material
number in SAP S/4HANA. Then, the material number is 40 digits long. The long
material number does not work for the internal numbering. In this case, the
material stays with 18 digits in the database, as it was in SAP ERP.

Storing and Displaying the Material Number

Figure 6: Storing and Displaying the Material Number

Your company can decide how it wants to view the material when these are being configured.
The material field has a maximum of 40 characters, with an internal number assignment of 18
digits. You can configure a template to provide breaks in the material number, for example,
123-456-789. If you do not intend to use all 18 characters from the beginning, you can specify
whether leading zeros are to be displayed.
The data you enter for material number conversion determines the way material numbers are
displayed in dialog functions and printouts only. This means that the information is stored in
the database unconverted.
