Hello and welcome to a high-level overview of ARIS Background


This guide will provide you with a general idea on how access and navigate your way around ARIS.
This guide does not help to interpret the model information you are looking at, for this you will need to
contact [email protected] and someone will get back to you.
Having access to ARIS with viewer privileges means that you will be able to browse the process models in
ARIS with the safe knowledge that you are unable to accidentally make changes.
The NZ AoG Process Model that you have been given access to is based on the NSW Government
Standard Business processes (release 7.2) developed by the Department of Finance, Services and
Innovation (NSW DFSI) – see www.finance.nsw.gov.au ”. These processes are managed by Inland
Revenue under a licence from NSW DFSI. The processes should not be modified and should not be
distributed outside of your organisation (eg. third parties) without the express permission of Inland
Revenue.

Accessing ARIS
Please refer to the document you have received Aris first time login and access to complete the remote
access requirements.

Once you have completed this you can access your landing page by clicking on the same link provided to
you in the invitation email.

Once you have logged in you will see the landing page

Click on the IR ARIS icon and this will open ARIS

This is your default view when ARIS opens the default tab Diagram. This tab provides a general overview

of the Common Process Model and the areas this covers. To view the linked models, click on the
icon.

Other tabs are:


• Quick Start – See the information below
• My Favourites – where you can see a list of recent models you have been through or can select
Personal Favourites and see any models you have selected the star icon next to its name e.g.

• Recent changes – This will show any model in the database that had been updated in the last 14
days

Quick Start - Icon Descriptions


View models & documents – Will show the top level of the database where you can manually look for
models in the database. You can also access this view by clicking on the Groups tab.
Search – A way you can search the database for with specific criteria (This is covered next)
User settings – You can update your email, add a phone number. This is your contact information we
have been provided.

Searching in ARIS Connect


The Search function can be accessed either from the top right of the Portal screen labelled “Search”

Alternatively select Search found on the Welcome Portal screen.

Filters can be applied when using this Search option. You can select an Item that can be found in a model
eg Activity, then you can filter looking for a specific property eg Description as shown in the example
below.

Navigating in ARIS Connect


To access the models, you can use the “View models & documents” icon on the Home tab of the portal
page.

The Main Group will show:

From here you can either use the Explorer view on the left or click on the links under the Subgroups. You
may need to select more than one level before you can view a model depending on the structure of the
database you are looking at.
Once you have selected a model you will be taken to the Overview which provides various information on
the model. Please note, not all of the options below are available for all model types.
Other options to review the selected model which you can select are –
Diagram – This would be the most common view used. Enables you to view the model graphic. Once the
diagram is open, there are additional features available:

Navigation – This can turn on and off the left hand Explorer to give more room on
screen for the Diagram

Highlight – If this option is available in the model you can highlight specific paths
you click on in the process model diagram

Reports – You can select from a list of reports you can create for the process model
selected. Once your report has been created, you are able to view it on your computer or
print for your convenience.

Properties – This will show an overview of information for the model or the specific
item you have clicked on in the diagram.

Steps – You can go through the process model here and focus on the process steps that are of interest to
you. The previous and the subsequent version of the selected object are displayed with events and
functions represented by different graphics. This is how you easily follow the control flow.
Table – Displays the model content in table form. To highlight specific information you can display
columns, this results in a new analytical view of your model.
RACI – If connections have been used to specify responsibilities in the process model, a display of the
connections can be shown here in a compact list. This will provide a quick overview of participation of the
roles in the process
Tasks – Will display any tasks that have been defined for this model
Documents – Any additional information for the process model is available in document storage.

Printing Reports in ARIS Connect


ARIS Connect users are able to print process models.
1. With the model you wish to print open in Diagram mode, select the Reports tool from the tool bar
on the top right of the modelling palette :

2. A list of reports that are available in Connect pops up:

Process Description options:


Lite prints only the model you select
Med will print the selected model + 1 level of
child processes.
Full will print the selected model and all levels
of models assigned below it. Beware of the
‘Russian dolls’ effect. This can produce a vast
report with siblings being repeated if they occur
in multiple models.

3. Select the report you want and then the output type (PDF or DOCX). Some are only in PDF.

4. Now click START. When the report has been generated, the report name will appear BOLD, as below:

Click the link to open the report. You can print it or (if DOCX) copy objects and / or edit the report to suit your needs.
Word (DOCX) format is useful if you require a high definition object that can be scaled / printed etc.
