Folder Setup & Structure

Project Folders are divided into the below Subfolders.

 You can easily create this folder structure when a new project starts by copying and
pasting the folder titled “New project template” in the main project folder

ACD FOLDER

 For all ACD files.


 This is only used on projects when we are doing ACD and can be disregarded most
times.

ARCHITECTURAL FOLDER

 For all Architectural files.


 See below for further description of subfolders
CURRENT SUBFOLDER

 This folder always contains the most current set of architectural drawings files
 When new architectural files are received – they should be saved to this folder.
 Any files that are no longer current should be deleted.
o Ie: If you received a 1st Floor plan and the folder already contains a 1st floor plan,
the original 1st Floor plan should be deleted.
 The CURRENT folder should also have a date in standard format. (Year.Month.Day)
o This is the date that the current set was last updated.

ARCHIVE SUBFOLDER

 All architectural files should be saved to this folder in a dated folder.


 This is a history of all architectural files received and the date received.
 When you receive architectural drawing files – you should first update the CURRENT
folder with the new drawings.
 After this, all the files should also be saved in the ARCHIVE folder in a dated folder.
 This folder is merely a means to track when filesl were received.
 The CURRENT folder should always contain the most current set of files.

BOD FOLDER

 This is for the most current client approved Basis of Design File
 BODs should not be placed in discipline specific folders such as MEP or Structural.

CIVIL FOLDER:

 This is for all items received from the Civil consultant.

EXISTING DRAWINGS FOLDER

 This is for all items existing drawings.


 This folder will only be used on renovation or addition projects.
FROM CLIENT FOLDER

 This is for all items received from the client that don’t fit specifically in another folder.
 This would include Fixture Schedules, Go-By Examples, Brand standards, etc.
o Geotech reports should not be placed in this folder.
 All folders should be named with a date - Description convention.
(ie: 2015.11.28 – Fixture Schedules)
 Architectural drawings should NOT be placed in this folder.

FROM VENDOR FOR DESIGN FOLDER

 This is for all items received from the vendors working for Base4.
 This typically includes the following:
o GENPRO
o TRANE
o CAPTIVEAIR
o POOLPAK
 All folders should be named with a date - Description convention.
(ie: 2015.11.28 – GENRPO Selections)

MEETINGS FOLDER

 This is for all meeting notes.

MEP FOLDER

 For all MEP related files


 The following subfolders should be used.
CALCULATIONS SUBFOLDER

 This is for all Calculation Files

 All files and folders should be named with a “Date - Description” convention.
(ie: 2012.06.08 - HVAC Load Calcs)

COMCHECK SUBFOLDER

 All files and folders should be named with a “Date - Description” convention.
(ie: 2012.06.08 – NP-US-COMcheck Report)

MARKUPS SUBFOLDER

 This is for all internal markups.


 If a QC check is completed on a project with markups - files should be saved
here.
 All files should be named with a date - Description convention.
 (ie: 2014.11.28 - Mechanical Markups)

OUTPUT SUBFOLDER

 This is for all drawing output.


 All folders should be named with a date - Description convention.
(ie: 2012.06.08 – Hampton Inn Reno, NV - Structural)
Files within these folders should also be properly named:
 dwg files should be named with proper sheet information.
 dwf, pdf, and zipped dwg files should be named with full date, project
name and discipline information so it can be passed directly to the client.
(ie: 2014.11.28 - Latitude 39 Mechanical.dwf)
 Currently a lot of files are simply being names “E.dwf”. This makes it very
difficult to pass the cloud link to the client as no job information is given.

Output Folders should always contain the full most current set.

 It's important that we always keep the full most current set in the
most recent folder.
 When changes are only made to a few sheets, please ensure you still
reupload all disciplines and all sheets to the new dated folder so the next
person working on the set can easily find the most current drawings.

RFIS-SUBMITTALS FOLDER

 All files/folders should be named with a date - Description convention.


 (ie: 2014.11.28 – HVAC RFI)

STRUCTURAL FOLDER

 For all Structural files.


 See below for further description of subfolders
CALCULATIONS SUBFOLDER

 This is for all Calculation Files


 All files and folders should be named with a “Date - Description” convention.
(ie: 2014.11.28 - HVAC Load Calcs)

CURRENT SUBFOLDER

 This folder always contains the most current set of calculations files

ARCHIVE SUBFOLDER

 All calc files should be saved to this folder in a dated folder.


 This is a history of all calc files performed and the date they were completed.
 The CURRENT folder should always contain the most current set of files.

MARKUPS SUBFOLDER

 This is for all internal markups responses back from the production team.
 All files should be named with a date - Description convention.
(ie: 2012.06.08 - Latitude 39 Structural – AJG REVIEW – SH RESONSE.dwf)

 This is for all drawing output.

Output Folders for SE will also include the markups from the PM

 The markup will have the file name with a clarifier of whom reviewed
it ie, 2012.06.08 - Latitude 39 Structural – AJG REVIEW.dwf
 This will keep an easily traceable and locatable tracking of which
output files were actually reviewed paired with the proper output file
and in the proper directory.

GEOTECHNICAL REPORT & TRUSS DWGS FOR DESIGN FOLDER

 This is exclusively for SUBMITTALS USED DURING THE DESIGN PROCESS


 Submittals for the CA portion fo the project are located in the root RFI/Submittal
Directory.
 All files/folders should be named with a date - Description convention.
 (ie: 2014.11.28 : Geotechnical Report)

File/Folder Naming
Dates should all be in year.month.day format.

 This applies to both file and folder naming.


 For example:
o 2014.11.28 – Soil Report (Folder Name)
o 2014.11.28 – Holiday Inn Express Uniontown – Structural.dwf (File Name)
