Chapter 11 (File management)

Generic file type – they allow you to save files so that they can be opened on any platform

Common generic file formats/types include:


• Text files:
❖ Comma separated values (.csv) – it tasks data in the form on tables (that could ne
used with a spreadsheet or database) and saves it in text format, separating data
items with commas
❖ Text (.txt) – it’s not formatted and can be opened in any word processor
❖ Rich text format (.rtf) – saves some of the formatting within the text
• Image files:
❖ Graphics interchange format (.gif) – stores still & moving pictures, images using
smaller file size. It’s widely used in web pages.
❖ Joint photographic expert group (.jpg or .jpeg) – stores still images and images
using smaller file size but doesn’t store moving images. Widely used in web pages.
❖ Portable document format (.pdf) – a document which has been converted to image
format. Allows documents to be seen as an image so they can be read on
computers. The pages look the same as when you print it. Contains clickable
links/buttons/audio/form fields/video. Prevents from editing a document.
❖ Portable network graphics (.png) – compresses graphic image files without any loss
of image quality. Created to replace “.gif”.
• Video files:
❖ Moving pictures experts group layer 4 (.mp4) – not a single file format, it’s a
multimedia container which is used to store video files, still images, audio files,
subtitles, etc. Used to transfer video files on internet.
• Audio files:
❖ Moving pictures experts group layer 3 (.mp3) – compress file format that stores
audio files. Cannot store still or moving images. File sizes are relatively small but
with near-CD quality which makes it suitable for use on the internet.
• Website authoring files:
❖ Cascading style sheets (.css) – saved in cascading style sheet format. Attached to 1
or more web pages (often written in HTML). Defines the page’s color scheme, fonts,
etc.
❖ Hypertext markup language (.html or .htm) – text-based language used to create
content that a web browser can display as a web page

Common compressed file types:


• Roshal archive (.rar) – a container that holds any file type in compressed format. Used to
reduce number of bytes needed to save a file (either to save storage space or reduce
transmission time). Developed for “Windows” by Russian software engineer, Eugene
Roshal.
• Zip (.zip) – a container that holds any file type in compressed format. Used to reduce
number of bytes needed to save a file (either to save storage space or reduce transmission
time).

Why reducing file sizes are important?


• To make efficient use of storage space
• To increase the speed at which files are transmitted from one device to another

IMPORTANT POINTS
• Higher image resolution, larger the file
• The larger the file size, the more time it takes to transmit
• Many email mailboxes have a limit to the files size that can be sent/received
