1.

Test Day Guidelines


1.1 Proctor Instructions
Log-in and Technical Setup: Ensure you are logged in to the proctoring system at
8:30 A.M. Use a system and browser recommended for proctoring.
Ensure all necessary tools for monitoring are functioning correctly (e.g. Webcam,
Microphone etc).

Connection and Disconnection: If disconnected from the assessment platform for
more than 2 minutes any time during the day on the test day due to power,
internet, or other failures, contact your Proctor group leader immediately via
phone call.

1.2 Test Details


Duration of the Test:
 Test Type 1: 155 minutes (Approximately XX% of all students)
 Test Type 2: 90 minutes (approximately XX% of all students)
Total Number of Students:
 Approximately XXXX students

Break Section: The students are allowed a 5-minute break during the test after
the first section of the test in Test Type 1.

✅ 1. Status Update Every 30 Minutes

Action: Every 30 minutes, the proctor must send a message with the current status
of all candidates & Proctor group leaders must ensure that this is sent

Example Format:

Status: 4 Active | 1 Suspicious | 1 Escalated | Total: 6

Reason: Maintains a running log and encourages continuous attention from the
proctor.
👋 2. Welcome Message with a Warning

Action: At the start of the session, send a welcome message that includes a clear
warning.

Example Message:

"Welcome to the test. This session is being actively monitored. Any suspicious
behavior may lead to disqualification."

Reason: Acts as a deterrent by reminding candidates that their behavior is being


tracked and stops cheating.

🚨 3. Use Prompts Judiciously

Action:

Read the “Prompts” Excel Sheet carefully to understand when and how to use each
message.

Only send a prompt when it is required — avoid overuse.

If a candidate is caught cheating or displaying suspicious behavior, send the


appropriate warning prompt.

The Credibility Message (final warning) should be sent only after the candidate has
received 3–4 prompts already.

Reason: Ensures that warnings carry weight and credibility.

🕵️♂️ 4. Post-Test Review via "Report" Section

Action: In ProctorEdu, go to the Report section to view the candidate’s recorded


session.

Follow-up: If you suspect any missed cheating behaviour, you can flag the
candidate within 24 hours after the test ends.

Reason: Allows a second review opportunity and helps catch what may have been
missed live.
 Screen or Video not shared by the candidate
If the screen is not shared by the candidate, Top left corner of supervision
screen will be blank

If it is being shared then it will appear on the top left of the supervision screen

The top left screen can be clicked to enlarge the shared screen video
If the screen is shared by the candidate but the video is not shared by the
candidate

Pre-programmed prompts should be sent if the candidates Video or screen is


not shared and multiple violations must be shared with the proctor leaders
 Headphones warning

If the candidate is using headphones or small TWS (Truly wireless earphones)


warning needs to be sent. Ears of the candidate must be checked during the
test for small earphones if suspicious activity is observed like student dictating
the questions.
 Continuously monitor the credibility score of the candidate

If the credibility score of the candidate drops below 80, warning needs to be
sent using the pre-programmed prompts. 1 warning should have been sent
before the credibility score has dropped for the reason for the drop

The actual warning message for the drop should be sent before the credibility
score message has been sent. Update the violations sheet that is there in the
google sheet and mention the exact time of the violation so that we can check
and disqualify the candidates.

 Background voice or No voice coming


If there are background voice coming from the candidates feed, or No voice is
coming (no mic detected)

Prompts are to be sent to the candidate


 Pre- programmed prompts (refer to Draft excel
for full message)
The proctor needs to use these prompts for the violations. After clicking on
any of them, the full message will be displayed.

7. Continuous Monitoring

7.1 Camera Visibility


Proctors must continuously monitor the candidate's video feed for any abnormal
activities, such as glances away from the screen, off-camera hand movements, or
unauthorized devices or people. In case of violations, warning messages must be
sent immediately through the test platform using pre-defined prompts outlined in
the "Warning Messages" section. All incidents must be documented to ensure
compliance and prevent further issues.
Camera Visibility: If the face of the student is not clearly visible during the test,
issue a warning message using the test platform.

7.2 Check Surroundings:


Confirm that no other people are present in the candidate's environment.
Ensure there are no unauthorized devices or materials in the candidate’s
surroundings.
7.3 Mobile Phone Detection
The AI system cannot detect mobile phone usage. Proctors must manually monitor
candidates via the live video feed to identify any suspicious behaviour, such as
repeated downward glances, hand movements off-frame, or hidden objects.
If mobile phone use is suspected, Send the pre-programmed warning prompt to
the candidate immediately. Ask the candidate to adjust their camera to confirm
that no mobile phone is being used. Refer to the videos shared

8. Proctor Actions for Violations


8.1 Reporting and Documentation
If any issues are identified during candidate verification or surrounding checks
(e.g., mismatched photos, unauthorized devices, or additional people):
Request the candidate to adjust their camera to confirm.
Document the incident with timestamps or screenshots.
In 15 mins, If the 3 warnings in 5 mins are ignored by the candidates, Report
violations immediately to the group leader.

Documenting Violations

Proctors are required to document all exam violations in the designated Excel sheet. The
sheet contains three columns specifically for recording violations. Proctors must adhere to
the following guidelines:

1. Timestamping the Violation: Each violation must have an exact timestamp


mentioned in the column.
2. Description of the Violation: The violation should contain a specific description of
the observed violation.

Mandatory Documentation: It is essential that every violation is documented in detail.


Credibility score mentions are not acceptable; instead, proctors must specify the exact
nature of the violation and provide concrete evidence to support their observations.

8.2 Failure to Act:


All sessions are recorded and reviewed by the Central team.
If a candidate is found to be cheating and the proctor fails to address or confirm
the violation, the issue will be escalated to the proctoring agency with recorded
proofs.
Penalty measures will be applied to the proctor responsible for the lapse.

8.3 Student cheating techniques to pay attention to


• The student is reading the questions loudly (dictating the questions to
ChatGPT on another device, like a phone, and getting the answers).
• The print screen is popping up (taking a screenshot of the questions and
sharing it in a WhatsApp group for answers).
• The student is wearing small hidden TWS (truly wireless earphones) and
getting the answers.
• There is the presence of other people in the room, helping the applicant
by taking images or answering the questions.
• Another person might take the online test while impersonating the
student.
• The student is using a mobile phone to scan the questions.
• The student is using a mobile camera to be on a video call.
• The student is using a mobile phone in any other case, such as calling
technical support.
• There is an exchange of any paper notes, digital notes, or any printed
material.
• The student is changing location during the exam without the proctor’s
permission.
• The student is giving the test in a moving vehicle or a fabricated
environment like a bus, auto, car, or two-wheeler.

The proctor must ensure instances like these are promptly dealt with in the form
of warnings being sent, escalate to proctor leaders where needed and indicate the
need to terminate test.

1. SOFTWARE INFORMATION
1.1 System assignment
The proctoring system is designed to help you verify the identity of the participant
and monitor in real time to identify possible violations.

1.2 Technical requirements


Technical requirements of the proctoring system are given in Table 1.

Before the test date, you must check the compatibility of the computer with the

1.3 Login to the system


Login IDs and Passwords: Proctors will be provided with login credentials (ID and
password) to access the proctor interface on the platform. These credentials will
be shared in WhatsApp group at least 24 hours before the test.

Enter your credentials shared in the proctor group.
Once logged in, the monitoring interface is displayed.

1.4 Supervision interface


After logging in using the credentials provided, this page will come. The left side of the
monitoring interface displays a list of students assigned to the proctor.

Student to proctor ratio will be 20:1 at max

Multiple candidiates can be selected using Ctrl + clicking on the students tab
Active students taking the test will be highlighted with Pink play icon

If the candidate has finished the exam, Blue colour pause icon will be there
2. Proctor Chat and Warning Process
Proctors can communicate with students via the chat feature during an active
session.

2.1 Sending Warnings


Use pre-programmed prompts to send warnings. Ensure you select only one
candidate when sending text interventions.

2.2 Faces Tab


Displays participant photos verified by the biometric system:

 Green: Matches the participant’s profile.


 Yellow: Matches the profile but similar photos were found.
 Red: Does not match the participant’s profile.

2.3 Events and Recorded Metrics

In each observed session, events that are recorded at the last minute (they are
updated every minute) are displayed using special icons on top of the student’s
video. A list of all recorded events with symbols is given in Table.

7. Points on which the credibility score is calculated


The system automatically assigns an assessment of the level of credibility in the
examination results, which depends on the factors described below. For the
correct operation of the algorithms, the student must ensure that the following
conditions are met:
 the webcam must be installed strictly in front of the face, and it is not
allowed to install the camera from the side;
 the head must be fully framed, and no partial or complete exit from the
camera's field of view is permitted;
 the face should be in the center of the webcam's field of view and occupy at
least 10% of the space captured by the camera during the entire session;
 the face should be evenly lit, the light source should not be directed at the
camera or only one half of the face;
 hair, clothing, hands or anything else should not cover the face area;
 it is not permitted to wear sunglasses, glasses with transparent lenses may
only be used;
 there shouldn't be any other people in the room;
 it is prohibited to leave the workplace during the examination;
 there shouldn't be voices or noise in the background, it is most preferably if
the exam is held in silence;
 do not use sound, visual or any other clues;
