MS Word Interface

Ribbon - comprises nine tabs; Home, Insert, Design tab, Page layout, References,
Mailing, Review and View. Each tab has specific groups of related commands.
Quick Access toolbar - provides access to common commands such as undo, redo,
save, and start from the beginning.
Title Bar - displays the name of the document you are currently using.
Ruler - are horizontal and vertical rulers that display when you are in Print Layout View.
Scroll Bars - it is use with your mouse to move up, down, right or left within the
document.
Status Bar - displays the page number, page count, document view buttons, and zoom
control.
View Buttons - is used to switch between views such as Print Layout, Full Screen
Reading, Web Layout, Outline, and Draft View
Screen Tips - are small windows that display descriptive text when you rest the pointer
over a shape.
File tab - allows you to access the Open, Save, Close, Properties, and Recent file
options . This is also where you can save, share, and print your document.

● New - creates a new document, either from a blank template or a pre-designed


one.
● Open - displays file locations where you may find the file.

● Save a copy - enables you quickly create a copy of the current file.

● Print – can access print settings and print the document.

● Share - command facilitates collaboration with others.

● Export - saves the document in a different format, such as PDF.

● Close - the current document.

● Info – views the document properties and other information.

● Account - manages your Microsoft account and Office settings.

● Options - is where you go to configure your app.


Home tab - It helps you change document settings like font size, adding bullets,
adjusting styles and many other common features.

● Font - allows you to change the font type, size, style, color, and effects.

● Paragraph - offers tools to control paragraph formatting, including alignment, line


spacing, indents, and bullet points.

● Styles - provides pre-defined styles for applying consistent formatting to


headings, paragraphs, and other elements.

● Editing - contains commands for finding and replacing text, and checking
spelling and grammar.

● Add-ins - allows you to add apps or extensions to Word.

Insert tab - it is used to insert or add features in your document.


Design Tab – allows you to format your document.

● Themes - Changes the theme of the document.

● Style Set - Change the look of your document by choosing a new style set. Style
sets change the font and paragraph properties of your entire document.

● Colors - Displays a list of all the available colors and lets you change the color
component of the active theme.

● Fonts - Displays a list of all the available fonts and lets you change the font
component of the active theme.

● Paragraph Spacing - Quickly change the line and paragraph spacing in your
document.

● Effects - Displays a list of all the available effects and lets you change the effect
component of the active theme.

● Set As Default - Use the current look for all new documents.

Page layout tab - allows you to control the look and feel of your document. You can
change the page size, orientation, margins, line spacing, indentation, etc.
Margins – allows you choose from one of the built-in margin settings or lets you
customise your own.
Orientation – allows you change the orientation of the current section.
Size – allows you select from all the different available paper sizes.
Columns - contains the commands: One, Two, Three, Left and Right and the command
More Columns. Provides access to 1,2,3 column layouts.
Breaks - contains the commands: Insert Page Break, Remove Page Break and Reset
All Page Breaks.
Line Numbers - contains the commands: None, Continous, Restart Each Page, Restart
Each Section, Suppress for Current Paragraph and Line Numbering Options
Hyphenation - Drop-Down. The drop-down contains the commands: None, Automatic,
Manual and Hyphenation Options. The Hyphenation Options displays the "Hyphenation"
dialog box.
References tab - allows you to enter document sources, footnotes, citations,
bibliography commands, etc.
Mailings tab - allows you merge emails, writing and inserting different fields, preview
results and convert a file into a PDF format.

● Start Mail Merge - allows you to choose the type of document you want to create
Select Recipients - enables you to choose the data source for your mail merge,
such as an existing list, a new list, or Outlook contacts.

● Write & Insert Fields - allows you to insert merge fields (placeholders) into your
document that will be replaced with data from your data source.

● Preview Results - allows you to preview how your merged documents will look
before printing or sending.

● Finish - allows you to complete the mail merge process, such as printing the
merged documents or sending emails.
Review tab - helps you proofread your content, to add or remove comments, track
changes, etc.

● Proofing - allows the user to improve the words in their document.

● Speech and Accessibility - can read any text in the document by clicking on
the Read Aloud icon in the Speech Group.
● Language - allows the user to translate words in the document into a different
language.
● Comments - is the easiest way to keep track of information about the document
without changing characters in the actual document itself.
● Tracking & Changes - can help the user determine which text additions or
deletions were entered and which user made the changes.
● Compare, Protect and Ink group - Compare allows the user to compare their
current version with previous versions of the document. The Protect group allows
the author to stop certain authors from being able to edit or restrict others from
making any changes to a document to make it read-only or restrict permission to
change words in the document.
View tab: allows you to switch between Single Page and Two Page views. It also
enables you to control various layout tools like boundaries, guides, rulers.

● Read Mode - Maximises the Word window on the screen and removals all toolbars etc to
allow easy reading.
● Print Layout - Displays the document as it would appear if printed and is the default view.

● Web Layout - Displays the document as it would appear as a web page.

● Outline - Displays the document as an outline is displays the Outlining contextual tab.

● Draft - Displays the document in draft mode allowing for quick editing.

● Focus - Eliminate distractions so you can focus on your document.

● Immersive Reader - Open a focused reading and editing experience that lets you adjust
text size, spacing and more.
● Zoom - adjusting the display percentage of the active document. There is also a
new zoom slider in the bottom right corner next to the status bar.
● Window - every document you open in Word can be thought of as a window. It is
possible to open multiple windows of the same document.
