READ India hereby extends to you an offer of temporary/contractual appointment for the

is contingent upon the successful verification of your credentials and acceptance of this offer
within the stipulated timeline.

and ending on [End Date], and does not in any way create a right to regular or permanent
employment. The position is being offered solely to support specific project requirements and
organizational deliverables during the stated term.

The terms and conditions of your engagement are outlined below:

1. Position and Reporting

You will be appointed as [Designation] in the [Department/Program], reporting to [Reporting


Manager/Designation] or any other person as designated by the organization. Your duties will
be as outlined in your Job Description (Annexure A) and any additional responsibilities
communicated from time to time.

2. Nature and Duration of Employment

i. This is a fixed-term contractual appointment starting from [Start Date] and


concluding on [End Date], unless terminated earlier as per the termination clause herein.
ii. This appointment does not constitute permanent employment and is project-linked.
Reappointment or extension, if any, will be at the sole discretion of READ India and
subject to organizational requirements, funding availability, and performance.

3. Compensation

● You shall receive a consolidated monthly remuneration of INR [Amount], payable on


or before the 10th of the following month.

● This amount includes all statutory obligations and allowances. Taxes will be deducted at
source as per applicable laws, and Form 16 will be issued at the end of the financial year.

● No additional payments or allowances shall be due unless expressly agreed in writing.

4. Work Location and Hours

● Your primary work location will be [Assigned Location]. You may be required to travel
or relocate temporarily based on project needs.

● Working hours are from 10:00 AM to 6:00 PM, Monday to Friday. You may be
expected to work beyond these hours during project deadlines or events. No additional
compensation is applicable for extended work hours unless authorized.

5. Leave Entitlement

i. You will accrue 1 day of paid casual leave per month, usable after completion of the
first month of service.
ii. Sick leave for more than 2 consecutive days requires a medical certificate.
iii. Leave must be pre-approved through official systems. Unused leave will not be carried
forward or encashed.

6. Reimbursement of Expenses
Approved work-related expenses shall be reimbursed upon submission of original bills within 10
working days, as per the Travel & Reimbursement Policy.

7. Conduct and Policies

i. You are required to adhere to all organizational policies and codes including but not
limited to:

a. Prevention of Sexual Harassment (PoSH)

b. Child and Vulnerable Adult Protection

c. Financial Integrity and Anti-Fraud

d. Data Protection and Confidentiality

e. Code of Conduct and Conflict of Interest Policy

ii. A formal grievance redressal mechanism is available to address any concerns or disputes.

8. Confidentiality & Intellectual Property

i. You are required to maintain strict confidentiality regarding all organizational data,
information, and intellectual property during and after your engagement.

ii. All intellectual property created during your employment shall remain the exclusive
property of READ India.

9. Performance Review

i. Your performance will be reviewed periodically based on deliverables, quality, and


adherence to timelines and policies.

ii. Repeated non-performance may result in reduction of responsibilities or early


termination.
10. Termination

i. Either party may terminate this contract by giving 30 days’ written notice or one
month’s salary in lieu thereof.

ii. Immediate termination may occur in cases of:

a. Misconduct, harassment, or policy violation

b. Criminal proceedings or fraud

c. Data breach or unauthorized disclosure

On termination, all READ India assets, documentation, and materials must be returned
immediately.

11. Non-Compete and Non-Solicitation (Post-Employment)

i. For 6 months post-employment, you shall not engage in work that directly competes
with READ India’s ongoing or recent programs.

ii. For 12 months post-employment, you shall not:

a. Solicit READ India’s employees or partners

b. Approach READ India’s donors or beneficiaries for fundraising, consultancy, or


programmatic work using confidential knowledge.

12. Statutory Compliance

Your employment is subject to applicable laws in India. You are responsible for updating the
organization with valid PAN, Aadhaar, and bank details.

13. Acknowledgement and Acceptance

Please confirm your acceptance of the above terms by signing and returning a copy of this letter
no later than [Insert Date]. Upon your acceptance, a detailed employment contract will be issued
for execution, along with annexures on job description, policy declaration, and documentation
checklist.
