1 Introduction
A student portal project that acts as an online portal between students and the admin.
The system is designed for a particular branch such as BCA.
This Web Based Student Portal in PHP/MySQL is solely controlled by a
user/student. The user must register first to get an access into the system. After
having an account, he can simply log in to the system and can freely use it. The user
has now the ability to upload his biodata. This Web Based Student Portal in
PHP/MySQL is a user-friendly system that the features can be easily understood by
any users.

2 Problem Statement
In the current system, we need to keep several records related to the student and want
to enter the details of the student and the marks manually.
In our proposed system we have the provision for adding the details of the students
by themselves. So, the overhead of the school authorities and the teachers become
less. Another advantage of the system is that it is very easy to edit the details of the
student and delete a student when it is found unnecessary.
Our proposed system has several advantages

 Fast access to the database
 Less error
 More Storage Capacity
 Search facility
 Look and Feel Environment
 Quick transaction
All the manual difficulties in managing the student details in a school or college
have been rectified by implementing computerization.

3 Objectives
The main objective of developing the Student Portal is listed below:
 To identify the problem encountered in using the manual system.
 To manage and upload the student profiles.

4 Scope
This study is focus on managing and uploading student profiles.

5 Methodology

5.1 Requirement Identification


5.1.1 Study of existing System

System Analysis is a detailed study of the various operations performed by a


system and their relationships within and outside of the system. Here the key question
is- what all problems exist in the present system? What must be done to solve the
problem? The analysis begins when a user or manager begins a study of the program
using the existing system.

During analysis, data was collected on the various files, decision points, and
transactions handled by the present system. The commonly used tools in the system
are Data Flow diagrams, interviews, etc. Training, experience, and common sense are
required for the collection of relevant information needed to develop the system. The
success of the system depends largely on how clearly the problem is defined,
thoroughly investigated, and properly carried out through the choice of solution. A
good analysis model should provide not only the mechanisms of problem
understanding but also the framework of the solution. Thus, it should be studied
thoroughly by collecting data about the system. Then the proposed system should be
analyzed thoroughly in accordance with the needs.

Some existing Student Portals are:

 College Management System


College Management System is a internet based Web Portal that aims at providing
information to all levels of management system for the College. This system can
be used as a information management system for the college.
For a given registrar / staff / student (Technical / Non-technical) the Administrator
creates loginid & password, using these registrar/ staff / students (Technical /
Non-technical) can access the system to either upload or download some
information from the database.
The front-end will be HTML pages with Java Script for client-side validation
where as all business logics will be in PHP reside at middle layer. And these
layers will interact with third layer of database, which will be MySql database.
The web server will be Apache. To start working on this project environment
required is a server having Apache as web server, MySql as database and
LAMP(Linux,Apache,MySql and PHP ) as development environment
College Management System Software allows college authorities to streamline
education process and manage students with ease and provide a unified
environment where teaching & learning can thrive.

This Project includes process like Students Module, Teachers Module, Faculties
Module, Subjects Module, Score Module where all the results of students are
available, Article Posting Module and Location Module. We can easily identify
the details of each and everything in this College Management System.[1]

 Student Web Portal


The system is simple and quite easy to use. The basic fundamental of this system
is to manage and upload the student profiles. Here the user can simply log in to
the system and can use it. The user can upload his biodata or CV or resume. From
there you can easily search for jobs availability around your region. Also, you can
simply upload your verified documents as well. This system allows you to create a
chat system with those people who are using this system. As a whole you can refer
this system as a web-based job finding system.[2]

5.1.2 Literature Review


The college admissions environment has changed significantly during the past 20
years. Amid this new landscape, there is growing concern that individual
institutional actions, activities of parents, schools, students, and other actors in
what we refer to as the admission process, may not be serving the values and
purposes traditionally associated with higher education.
The college admission process has been studied extensively from marketing
perspective – how student choose the colleges to which they apply and eventually
enroll. Some attention has been given to the psychological aspects of the process –
especially the accompanying stress and confusion experienced during the
decision-making process.
However, we now need to better understand the impact of the admission process,
especially selective admission, on student learning. The portal also provides
automatic college list generation with the help of preference set. In this we will be
providing students who want to take admission through cap rounds, a cap round
list according to their preferences of the hostel, mess, placements criteria, marks
etc. In email sending module we will send email to students who have registered,
advertisement of mess hostel, coaching classes, and we will also send mail for
verification of accounts. Cap round list generated can be converted to pdf, excel,
text format, and print out can also be taken out. It provides the way to find the
nearest hotels, hostels, atm, bank, etc to a particular college. The application will
also provide network of all the colleges coming under Pune University
autonomous colleges.

5.1.3 Requirement Collection
For this system, requirements are basically identified through functional and
non-functional requirements.

 Functional Requirements
 The system should allow user to register.
 The system should allow user to manage their profiles.

 Non-Functional Requirements
 Availability
The system will be available for 24 hours service as users can apply from
anywhere and at any time.
 Performance
The performance of the system will be fast and accurate as it will provide
fast response to the user’s actions.
 Reliability
The system will be reliable as it will perform function and run without a
failure, and it must be reliable due to importance of data and damages that
can be caused by incorrect or incomplete data.

5.2 Feasibility Study


A feasibility study is a test of a system proposal. According to its workability,
impacts on the organization, ability to meet user needs and effective use of the
resources its main task done during feasibility study are:
5.2.1 Technical Feasibility
The factors for proposed project’s technical feasibility are that the basic
programming language which will be suitable for project is available and the
libraries required for project will be capable of achieving the result that we are
aiming for. All the existing resources can be used for the development and
maintenance system.

5.2.2 Operational Feasibility
This system will include all the requirements used for Student Portal and this
system will be completely operational and can be successfully implemented and
easy to use this system as it will be user-friendly.

As to execute the system we need an android mobile or laptop which is common


to all and used by everyone in today’s world.
Hence our system will be operationally feasible.

Economic Feasibility
The system which we are going to develop is economically feasible and cost
effective. As all the tools and resources required are either open sources or free.
After the completion of the system didn’t need to deploy any new hardware and
software as the required software and hardware. The existing resource of the
system can be used.

5.2.3 Schedule Feasibility


Schedule Feasibility is defined as the probability of a project to be
completed within its scheduled time limits, by a planned due date. Our system will
be completed on-time and hence its schedule feasibility will be high.
Gantt Chart:
A Gantt chart is a bar chart that provides a visual view of tasks scheduled
over time. It also helps you view the start and end dates of a project in one simple
chart.

5.3 High Level of System Design


This section presents the research methodology used in the study, the research
design, and the data collection process. This section also presents the theoretical or
conceptual framework of the study, the sampling plan, and tools to be used for data
analysis.

5.3.1 Methodology of Proposed System

This system is based on the waterfall model and is designed with the series of
processes starting with requirement gathering, design, implementation, testing and
maintenance.

For this system, requirement is gathered first and then verified then design process
is carried out according to the requirement. After the design process, coding and
development part is start then after integrating the system there is testing of the
system. If testing is positive, then system is implemented otherwise some
maintenance is done and system come in operation.

5.3.2 Use Case

Student Portal will be develop using html, PHP and CSS. There will be a college
administrator who will have the right to add and delete student accounts and so
on. Following are the system design of the system:
 Login/register to the system.
 Admin panel.
 Student panel.
 Add students’ profiles.
 Add notes and notices.
 Check student profiles.
 Check notes and notices.

5.3.3 System Flowchart

5.3.4 Description of Algorithm

Binary Search is a searching algorithm used in a sorted array by repeatedly


dividing the search interval in half. The idea of binary search is to use the
information that the array is sorted and reduce the time complexity to O (Log n).
Working of Binary Search Algorithm in our system:
 The search process initiates by locating the middle element of the sorted
array of data
 After that, the key value is compared with the element
 If the key value is smaller than the middle element, then searches analyze
the upper values to the middle element for comparison and matching
 In case the key value is greater than the middle element then searches
analyses the lower values to the middle element for comparison and
matching

6 Expected Outcome
Our main purpose of this project to develop the student portal with some new features
and consist of a lot of information. We want to make sure that by this project Admins
and Students both will get satisfaction and it will give us a maintaining outcome that
will help everyone and consume the work pressure. In other side students can do their
pre-registration on time with a perfect sequence. And this will help students and
admins both equally.
After the completion of the project, we are expecting the following outputs which will
minimize the problems as well as solve the existing problem.
 Make college administration faster and easier.
 Expected to provide better services.
 Students can check their complete profiles.
 Student can have easy access to reading materials.
