SPIN OFF 2023 VOLUNTEER

TERMS & CONDITIONS

GENERAL INFORMATION
• Spin Off is located at Adelaide Showground, Goodwood Road, Wayville SA 5034 and will take place on
Friday 21 July 2023 (inclusive) (Festival Date).
• These terms and conditions apply to all volunteers engaged by Spin Off to perform volunteer duties at
the Festival (Volunteers). The relationship between Spin Off and the Volunteers is not an employment
relationship or a relationship of principal and contractor.
• The Festival is a licensed event and all Volunteers must be over 18 years of age before they begin their
Volunteer duties.
• Volunteers must provide current and valid photo ID as part of the check-in process.

VOLUNTEER DUTIES
• Volunteers may be engaged to perform duties from the Wednesday before, to the Saturday after the
Festival Dates (Festival Event Volunteers) or prior to the Festival Dates (Pre-Festival Volunteers).
Volunteers will be required to perform duties in a variety of areas and capacities to meet the reasonable
needs of the Festival.
• Please note, for Spin Off 2023, Festival Event Volunteers must be available to be on site for
Friday 21 July 2023, or allocated shift date.
• Festival Event Volunteers are expected to volunteer 6 hours on Wed 19th / Thurs 20th / Sat 22nd
pending your allocated date, or 4 hours on Friday 21st July (Festival Date) (shift times as advised and
directed by Spin Off).
• All Festival Event Volunteers will receive:
a) free access to the Festival;
b) 1 x volunteer t-shirt;
c) provision of water and sunscreen during volunteer hours.
• All Pre-Festival Volunteers will receive:
a) free access to the Festival;
b) provision of water and sunscreen during volunteer hours.

AREA LEADERS
• Volunteers are expected to follow the reasonable directions given to them by of any member of Spin
Off’s management team, including the Volunteer Coordinator or Area Leaders.
• See below for area leaders and supervisors for the Festival;

SHIFT SIGN-ON & OFF


• Volunteers must sign in and out of their rostered shifts each day.
• Pre-Festival Volunteers must sign in and out with the Volunteer Coordinator, who will be in in the
Volunteer Sign-In Office located in one of the offices under the Public Grandstand (please see pink star
on map below)
• Festival Event Volunteers must sign-in and out at the Volunteer Sign-In Office with a Volunteer
Coordinator.
• To sign in and receive their volunteer wristband, Volunteers will be required to provide identification
(drivers licence, passport, proof of age) and a bankcard. Volunteers will need to keep their wristbands
on all day, as it’s their proof of entry into the festival.
• All volunteers are expected to report back to the volunteer desk at least 15 minutes prior to the
beginning of their shift. This is to ensure that they are clear on their role and responsibilities before
commencement of their shift as well as assist festival staff in the coordination of all festival volunteers. It
is vital that this is done.
• If a Volunteer is running late, they must send a text message to the Volunteer Coordinator (Olivia
Gallina) on 0433 143 731 with their name, role and what time they’ll be arriving. Please don’t expect a
reply but assume that the message has been received and forwarded onto the correct Area Leaders.
• Should a Volunteer shift start after gates open at 11:00am, these Volunteers are permitted to enjoy the
festival prior to the start of their shift. They will need to sign in first and then return to the volunteer sign-
in point at the start of their shift.
• For the avoidance of doubt and notwithstanding the foregoing, if the Festival is cancelled for whatever
reason, Volunteers will not be entitled to any payment, entitlement or compensation other than as
described in these terms and conditions.

PRE-AUTHORISATION OF YOUR CREDIT CARD


• Each Volunteer will be required to handover a bankcard which will be held securely at the volunteer desk
from the moment they sign on and will be returned to them once they sign off. This process is to ensure
Volunteers complete their required hours, which entitles them to a festival ticket worth ($119.90).
• Any Volunteer who fails to attend or complete their rostered shifts, or breaches any of these terms and
conditions will have the value of a full event ticket ($119.90) charged to the credit card provided.
• Volunteers should bring an alternate form of payment on the day (another credit card or connect their
credit card on their smartphone/watch etc.) whilst their credit card is kept at the Volunteer Sign-In Office.
The Festival will be a cashless event.

POLICIES AND PROCEDURES


• In addition to these terms and conditions, Volunteers are required to comply with all other Spin Off
policies and procedures as amended from time to time including, without limitation, the terms and
conditions of entry on the Festival event ticket and camping ticket.
• Volunteers acknowledge that Spin Off’s policies and procedures do not form part of these terms and
conditions or create any right or entitlement for the Volunteers.
HEALTH AND SAFETY INDUCTION
• Spin Off is serious about its Volunteers’ safety. Volunteers must read and understand the Festival’s and
Spin Off’s WH&S policies and procedures and follow all reasonable instructions of accredited staff.
• Volunteers must act at all times with the utmost regard to their safety and the safety of all other persons
at the Festival site.
• All Volunteers must complete WH&S induction prior to arriving at the Festival.
• Volunteers acknowledge that at all times they are performing their volunteer duties they are
representatives of Spin Off and the Festival and their behaviour with regards to health, safety and
security must reflect a professional and safe environment.
• Spin Off will not be responsible or liable for any damage to or loss of Volunteers’ property or
possessions or injury to Volunteers during the course of their engagement, unless directly caused by
Spin Off’s gross negligence. Volunteers agree to enter the Festival site at their own risk and will be
solely responsible for their own property and possessions.
• The Festival encourages all staff and Volunteers to enjoy the festival, whilst remembering they also
have a job to do. When Volunteers are not rostered on, please take the opportunity to eat, drink and
rest well.

VOLUNTEER AND PATRON SAFETY


• Spin Off believes that everyone has the right to have fun, feel safe, feel included and enjoy the music.
Creating a culture of respect is something we strive for, not only for our event but for the Australian
music industry as a whole. The Festival is proud to have the Spin Off hotline return this year, which
give patrons the ability to report concerns and disrespectful and/or illegal behavior. Harassment will not
be tolerated.
• Although unlikely, Volunteers can sometimes be a first point of contact for patrons in an emergency.
The Festival protocols for dealing in the event where a Volunteer is approached by a patron in need of
assistance are listed below;

STEP ONE – Acknowledgement


Please refrain from using ‘why ’questions but instead listen to their concerns, acknowledge the
incident, note any important details, and respond with something similar to the following:
• I’m sorry this has happened to you.
• I will help you with this the best I can.
• Are you okay to wait here while I call someone?

STEP TWO – Seek Further Assistance


Immediately call the Volunteer Coordinator or find a security guard or Area Leader that can
report the incident and provide further help.

STEP THREE – SPIN OFF HOTLINE


Please let patrons know that if there are any further issues throughout the day, there is a Spin
Off hotline (0466 828 306) that will be manned for the full duration of the festival by the Festival
management team.

STANDARDS OF BEHAVIOUR
• Volunteers must behave in a responsible, honest, friendly and helpful manner at all times.
• Spin Off will not tolerate discrimination or harassment of Festival patrons or performers or Spin Off
personnel; rude, threatening or antisocial behaviour; wilful disobedience; serious misconduct; fraud;
attempted fraud; theft; attempted theft; dishonesty; wilful or reckless damage to Spin Off’s property;
wilful or reckless injury to another person; wilful or negligent disclosure or misuse of Confidential
Information; or illegal activity.
• Volunteers must not be under the influence of alcohol and/or illegal drugs while performing their
Volunteer duties.
• It is expected that Volunteers working within the artist area remain respectful and professional at all
times. Volunteers should be aware that they do not have permission to use their phone at any time
during the duration of their shifts. This includes using their phone or other devices for photos with artist
or the backstage area at any time. Breach of this condition will result in your immediate removal
from the festival site.

REMOVAL/CESSATION OF VOLUNTEER DUTIES


• Volunteers who do not comply with these terms and conditions, Spin Off or Festival policies and
procedures, directions of Spin Off, or engage in misconduct, may be removed their duties and the
Festival without notice.
• If a Volunteer is removed from their volunteer duties and/or the Festival, they must immediately deliver
to Spin Off all property belonging to Spin Off (including, without limitation, Confidential Information),
which is in their possession or under their control.

CONFIDENTIALITY
• Confidential Information: means all information provided by the Festival to a Volunteer; all information
which a Volunteer becomes aware of which concerns the business and affairs of Spin Off, the Festival
or another Volunteer or Participant. Confidential Information includes Intellectual Property.
• Intellectual Property: means an invention or discovery; manner, method or process; drawing or
design; computer program; copyright, including written works and photographs; trade secret, know-how,
or right of secrecy or confidentiality in respect of any information or document.
• Participant: means a performer, worker or Volunteer at the Festival.
• Volunteers must use the Confidential Information only in the proper performance of their duties at the
Festival. All documents and materials (including without limitation files, letters, data, records, whether
digital or otherwise) containing Confidential Information prepared by a Volunteer or in the Volunteer’s
possession are the property of Spin Off and the Festival.
• Volunteers must protect the confidentiality of the Confidential Information and must not disclose or
communicate the Confidential Information to any person, company or organisation without Spin Off’s
prior written consent. Volunteers must immediately notify the Volunteer Coordinator if they believe an
unauthorised person has possession of Confidential Information or has made improper or unauthorised
use of the Confidential Information.
• Volunteers must not copy or remove from the Festival any Confidential Information without the prior
written consent of Spin Off. Upon request or cessation of their duties, Volunteers must promptly deliver
to Spin Off all property of Spin Off, including but without limitation Confidential Information, keys,
equipment, accreditation which are in the Volunteer’s possession or control.
• Your confidentiality obligations to Spin Off will continue after the cessation of your volunteer duties.

PUBLIC RELATIONS AND MEDIA


• Volunteers must endeavour to protect the public image of Spin Off and the Festival at all times and
must not give any interviews, on or off the record, without Spin Off’s prior consent.
• Volunteers must not record, discuss or disclose anything that, in the opinion of Spin Off, may harm the
public image of Spin Off, the Festival or a Patron in any way including, without limitation, filming or
photographing other persons who are in an affected state.
• Volunteers agree that any images, video and sound recordings taken of them while performing their
volunteer duties may be used by Spin Off as positive promotion of the Festival.

SECURITY CHECKS
• Volunteers may be required to undergo a security check prior to commencement of their Volunteer
duties and Volunteer bags will be checked upon entry to the Festival site.

NO AUTHORITY TO ACT
• Volunteers must not undertake any activity outside of their assigned Volunteer duties and acknowledge
that they have no authority to bind Spin Off or the Festival to any contract or obligation and will not
directly or indirectly assume or create any obligation on behalf of Spin Off or the Festival.

MEDICAL HISTORY
• In applying for a volunteer role, all Volunteers warrant that they do not have any medical history, pre-
existing illness or injuries, which could be aggravated by undertaking their Volunteer duties.
• Volunteers must wear appropriate footwear and clothing at all times at the Festival and earplugs must
be worn if the Volunteer is required to perform their duties in a noisy environment.

ACKNOWLEDGEMENT AND CONFIRMATION


• By agreeing to perform Volunteer duties at the Festival, Volunteers acknowledge they have read,
understood and accept all of the terms and conditions contained herein.
• These terms and conditions are governed by and shall be construed in accordance with the laws of the
State of South Australia.

SIGNED DECLARATION

By signing this you accept all terms and conditions attached to volunteering at Spin Off 2023.

You have read and understood the volunteer information kit, all requirements and responsibilities and
therefore understand actions that will be taken if these are not met.
