Workflows –

A workflow is automation of a logical sequence of steps that helps the HR team


manage internal business processes for better efficiency and process
improvement. We will be setting up workflows for leave and attendance modules.

Types of Workflows
A. Attendance -
Corporate Employees -
1. Attendance Regularization – When an employee requests for
regularizing an attendance, related to the past dates, a mail will be
triggered and will flow to the Employee, the Reporting Manager and the
HR.
1a. On Approval - a mail should flow to the Employee, the Reporting
Manager and the HR.
2a. On Rejection - a mail should flow to the Employee, the Reporting
Manager and the HR.

Site Employees -
In any case of Attendance regularization, past or present, the Site Admin
raises the request for the employee, which then flows to the PMO, based
on the approval and rejection a mail should flow the Site Admin and HR.

As per the policies and the violations deductions are to be completed for
the employees on any deviance from the standard attendance policy.

B. Leave – Time Off


Corporate Employees -
1. Leave Request –
When an employee requests for a leave, which can be past or future
dated, a mail should flow to the Employee, the Reporting Manager and
the HR. Based on the approval and rejection, relevant mails should
flow.
1a. On Approval - a mail should flow to the Employee, the Reporting
Manager and the HR.
2a. On Rejection - a mail should flow to the Employee, the Reporting
Manager and the HR.

2. Vacation Request –
When an employee requests for a vacation, it should be applied at
least 15 days in advance, a mail should flow to the Employee, the
Reporting Manager and the HR. Based on the approval and rejection,
relevant mails should flow.

3. Team Leave Blocking Vacation Request –


When an employee ‘A’ has requested for a Vacation leave from period
‘1-15’, it shouldn’t allow employee ‘B’ to apply for the leave in the
same period and should display the message, ‘A team member has
already applied for the mentioned dates, kindly check with the
employee or reschedule the dates’. …. Need to check
4. The number of leaves will be deducted from the leave balance
5. In other cases, the deduction will be made on an employee's salary if they
take leave without prior approval or sufficient leave balance.

Site Employees -
Leave requests and regularization, will be handled by the Site Admin, past
or present, the Site Admin raises the request for the employee, which then
flows to the PMO, based on the approval and rejection a mail should flow
the Site Admin and HR.

Subject: Leave Application for [Employee Name],

Hello [Manager Name],

Leave application has been requested for [Emp ID] [Employee Name] from
[Start Date] to [End Date].

Kindly check the team bandwidth and action accordingly.

Leave Application Successful: Your Time Off is Approved


Subject: Successful Leave Application: Your Time Off Has Been Approved
Hello, [Employee Name],
Wonderful news! Your leave application was approved. Your approved
leaves are from [Start Date] to [End Date]. We appreciate your efforts and
hope this time off allows you to rest and recharge.
Please facilitate a seamless transition before departure by finishing
outstanding duties and alerting your colleagues of your absence.
We eagerly await your return on [Return Date].
Best wishes,
[HR]
Leave Application Rejected: Your Time Off is Rejected

Request for leave has been declined. Referring to your request to grant
leaves [from date] to [to date]. Unfortunately, on this occasion, we must
decline your request.
