FRANCIS ESHIREMBE SECONDARY SCHOOL ALUMNI ASSOCIATION (SFEAA)


CONSTITUTION
ARTICLE 1: SHORT TITLE

This Students Association Constitution may be cited as “the Constitution of St. Francis
Eshirembe Alumni Association, 2025”
ARTICLE 2: INTERPRETATION
In this Constitution, unless the context requires otherwise:
“Act” means
The Alumni Act, Number of 2025 of the Laws of Kenya;
“Association” means
Alumni Association of St.Francis Eshirembe secondary school.
“Executive Committee” means
A body of eight(8) democratically elected to lead the Association.
“ Welfare” in this context means physical, mental, financial and social wellbeing of a member.
ARTICLE 3: OBJECTIVES
1. Promote Unity and Networking
- Connect former students for social and professional support.
2. Support the School’s Development
- Offer financial, material, or advisory support to improve the school.
3. Mentorship and Motivation
- Guide and inspire current students through talks and mentorship programs.
4. Organize Reunions and Events
- Plan gatherings to strengthen alumni bonds and engagement.
5. Provide Welfare Support
- Assist members during illness, bereavement, or emergencies.
6. Promote Career Growth
- Share job opportunities, organize trainings, and foster business networks.
7. Encourage Community Service
- Participate in social impact projects benefiting the school and society.

ARTICLE 4. VALUES AND PRINCIPLES OF THE ASSOCIATION


1.Gender, diversity, equity and inclusion;

4.Accountability and transparency;
5.Integrity and transparency;
6.Collaboration and cooperation.
ARTICLE 5: MEMBERSHIP AND MEMBERSHIP FEE
1.Eligibility:
- Open to all former students of St.Francis Eshirembe secondary school
Rights of Members:
- Attend meetings, vote, contest for office, and benefit from welfare programs
2.Membership Fee
a. Registration Fee:
- A one-time non refundable fee of Ksh 100 paid upon joining
b. Monthly Subscription:
- All members shall pay monthly fee of Ksh 200 to maintain active status
c. Use of Fees:
- Funds support administration, events, school projects, and welfare needs

3.Rights of each member

i. Right to Vote
- Participate in decision-making during general meetings and elections.
ii. Right to Contest for Office
- Eligible to stand for executive or committee positions.
iii. Right to Attend Meetings and Events
- Join all official gatherings, reunions, and activities.
iv. Right to Access Information
- Receive updates on association affairs, financial reports, and project progress.
v. Right to Welfare Support
- Benefit from the association’s welfare fund in times of need (e.g., illness, bereavement).
vi. Right to Propose Ideas or Motions
- Suggest activities, improvements, or amendments to the constitution.
vii. Right to Participate in Projects
- Be involved in development initiatives or school support programs.

4.Obligation of members

a.. Pay Membership Fees and Dues


- Promptly pay registration and monthly subscriptions
b. Attend Meetings and Activities
- Participate actively in general meetings, reunions, and organized events.
c. Support Association Projects
- Contribute to school development, mentorship, and community outreach.
d. Respect the Constitution and Leadership
- Abide by the association’s rules and uphold decisions made by the leadership.
e. Promote Unity and Good Conduct
- Maintain respectful relationships with fellow members and act as a good ambassador.
f. Participate in Elections and Voting
- Take part in electing leaders and making key decisions.
g. Contribute Ideas and Skills
- Offer suggestions and help in planning or implementing activities

5.Discipline and Suspension of Membership


a. Grounds for Disciplinary Action:
- Misconduct or behavior that brings disrepute to the association.
- Failure to pay membership dues without valid reason.
- Use of Abusive language
- Abuse of office, corruption, or dishonesty.
- Disruption of meetings or events.
- Violating the association’s constitution or code of conduct.
b. Disciplinary Measures:
- Written warning.
- Temporary suspension of membership rights.
- Removal from leadership position.
- Expulsion from the association ( in severe cases)
c. Procedure:
- The Executive Committee shall investigate the case fairly.
- The member will be given a chance to respond to the allegations.
- A disciplinary decision requires a majority vote of the Executive Committee.
d. Right of Appeal:
- A suspended or expelled member may appeal to the Executive committee.
- The decision of the Executive committee shall be final.
ARTICLE 6: FINANCES OF SFEAA
1.Sources
i. Membership Registration Fees
- One-time payment by new members upon joining.
ii.Monthly Subscription Fees
- Regular contributions from members to maintain active status.
iii. Voluntary Contributions and Donations
- Freewill giving by members, well-wishers, or sponsors.
iv. Welfare Contributions
- Special collections for member welfare or emergency support.
2.Expenditure
a. Welfare Support
- Aid to members during illness, bereavement, or emergencies.
b. School Development Projects
- Funding infrastructure, scholarships, books, or student programs such inter classes debate,
inter classes football competition
c. Administrative Costs
-communication, transport, and logistics of executive committee in case of back to school
event
d. Emergency or Contingency Fund
- Reserved for unexpected or urgent needs.

3.Approval of expenditure

1. Budgeted Expenditure:
- All spending must be in line with the approved budget.
- Routine expenses like welfare, admin costs require approval from the *Executive
Committee*.

2. Unbudgeted or Emergency Expenditure of less than Ksh 1000


- Must be approved by a*majority vote of the Executive Committee.
- For large amounts more than Ksh 1000, Association must approve.
iii Authorized Signatories:
- The *Chairperson*, *Treasurer*, and *Secretary General *shall be the official signatories.
- Any two must jointly approve and sign payments.
iv. Accountability:
- All expenses must be receipted, recorded, and reported in the financial statement.
- A financial report shall be presented during the Annual General Meeting.

4. Finance Account

a. Bank Account:
- The Alumni Association shall maintain a bank account in its official name at a recognized
financial institution.
b. Signatories/ Approval
- The account shall be operated by *three signatories:
- Chairperson
- Treasurer
- Secretary General
- *Any two* of the three must sign to authorize a transaction.
c. Accountability:
- All funds shall be deposited into the association's bank account.
- No personal accounts shall be used for association finances.
d. Records and Reporting:
- The Treasurer shall keep proper books of accounts.
- A financial report shall be presented during the Annual General Meeting (AGM) or on
request.
e. Audit:
- The association’s accounts shall be audited annually by an independent auditor or trusted
internal committee.
