and sending uniform letters with
different recipients?

• allows you to create documents and combine or
merge them with another document or data file
• Merging boilerplate information (such as form
letter) with variable information (such as
database of names and addresses of
customers)
• Documents are almost exactly the same: the
content/substance is the same for every
customer, yet each document is customized to
a particular individual in your database.
Three Main Components of Mail Merge
1. Main document/Form document
• contains the main body of the message
• remains the same no matter whom you
send it to
• Determines the format of the resulting
merged document (e.g. envelopes, labels)
2. Data source/List or Data File
• Contains the variable information (e.g. a
list of names and addresses)
3. Merged Document
• contains the combination of the main
document and variable information
Label Generation
• a feature of Microsoft Web that
allows the user to print proper
mailing labels on a specified
envelope
• Prints individual addresses to a
standard form that it has already
pre-formatted
