Understand Spreadsheet Software (Slide 1 of 4)

• Microsoft Excel is an electronic spreadsheet program allows you to perform

numeric calculations
• One advantage of spreadsheet program over paper is that your calculations are
updated automatically ,so you can change entries without having to manually
recalculate
• In Excel the electronic spreadsheet you work in is called a worksheet
• An Individual worksheets are stored in a workbook which is the Excel file

Understand Spreadsheet Software (Slide 3 of 4)

• Advantages(abilities) of using Excel

• Enter data quickly and accurately
• Recalculate data easily
• Perform what-if analysis
• Change the appearance of information
• Create charts
• Share information
• Build on previous work

• Advantages(abilities) of using Excel
• Enter data quickly and accurately
• With excel you can enter information faster and more accurately than with
pencil and paper. This figure2 show the worksheet of a using Excel
This figure1 show a payroll worksheet
created using pencil and paper

Understand Spreadsheet Software (Slide 3 of 4)

• Advantages(abilities) of using Excel

• Recalculate data easily
• Using excel
-you can updating data easily also
-you can Fixing typing errors is easy.

• For example in payroll example ,if you receive update hours for an
employee ,you just enter the new hours and Excel recalculates the pay

Understand Spreadsheet Software (Slide 3 of 4)
• Advantages(abilities) of using Excel
• Perform what-if analysis
• The ability to change data and quickly view the recalculated result gives you the
power to make informed business decisions

-for example :if you are considering raising the hourly rate for an entry-level
tour guide from $12.5 to $15.00(u can enter the new value in worksheet and
immediately see the impact on overall payroll)

This what we mean by “whay-if-analysis”

• Advantages(abilities) of using Excel

• Change the appearance of information
• Excel provide powerful features such as:

1- Quick Analysis tool ,for making information visually appealing

and easier to understand

2-format text and number in different fonts ,color and styles to

make it standout .

Understand Spreadsheet Software (Slide 3 of 4)
• Advantages(abilities) of using Excel
• Create charts
• Excel makes it easy to create charts based

on worksheet information

• Charts are updates automatically

in Excel whenever data changes

The figure include 3-D pie chart.

Understand Spreadsheet Software (Slide 3 of 4)
• Advantages(abilities) of using Excel
• Share information

• it is easy for everyone at organization to collaborate in excel using company

intranet or network

• For example you can:

- complete the weekly report that your boss start created

-you can share workbooks so that multiple people can edit it simultaneously

Understand Spreadsheet Software (Slide 3 of 4)
• Advantages(abilities) of using Excel

• Build on previous work

• Instead of creating a new worksheet for every project it easy to modify an existing excel
worksheet.

• For example: when you ready to create next week’s payroll

-you can open file for last week’s payroll,

-save it with new name and

-modify information as necessary.

• You can use predesigned ,formatted files called Templates to create new worksheets quickly

Understand Formulas (Slide 1 of 3)

• Excel is powerful program because users at every level of mathematical

expertise can make calculations with accuracy
• To do so we use formulas
• What is formulas?
• Formulas are equations in a worksheet
• Uses of formulas:
• 1-make calculation as simple as adding column of numbers

Understand Formulas (Slide 1 of 3)

• When creating calculations in Excel, it is important to:

• Know where the formulas should be
• Know exactly what cells and arithmetic operations are needed
• Create formulas with care
• Use cell references rather than values(it will be explain later)
• Determine what calculations will be needed

Enter Labels and Values and Use the AutoSum Button (Slide 1 of 2)

• To enter content in cell :

-you can type in formula bar
-or directly in the cell itself
First you start entering Labels
• Labels contain text and numerical information not used in calculations, for
example “2019 sales” or “Travel Expense”.
• Values are numbers, formulas, and functions that can be used in calculations
To enter calculations= ,you type an equal sign(=) plus formula for calculation
Examples :=2+2 ,=4-3

Enter Labels and Values and Use the AutoSum Button (Slide 1 of 2)

• A function is a built-in formula

• A function includes arguments, the information necessary for the calculation
• Clicking the Sum button sums the adjacent range above or to the left, though
you can adjust the range
• The fill handle :(copies the contents of the first cell into other cells in the range)

Edit Cell Entries (Slide 1 of 3)

• You can change, or edit, the contents of an active cell at any time
• To edit the contents of the active cell:
• Double-click the cell, or
• Click in the formula bar, or
• Just start typing

Enter and Edit a Simple Formula (Slide 1 of 2)
• We use formula to in Excel to perform calculations such as add ,multiplication ,averaging .
• Formulas start with the equal sign (=), also called the formula prefix followed by :
1-cell address ,2-range name 3-values 4- Calculation operators
• Calculation operators in formulas indicate what type of calculation you want to perform
includes :
1-Arithmetic operators perform mathematical calculations
• Examples of arithmetic operators are
+ - * / % ^

2-Comparison operators compare values for the purpose of true/false results

• Examples of comparison operators are
= > < >= <= <>

3-Text concatenation operators join strings of text in different cells

• An example of a text concatenation operator is &
4-Reference operators enable you to use ranges in calculations
• Examples of reference operators are
: , (space)

• You can change your view of the worksheet window by using either:
• View tab on the Ribbon
• View buttons on the status bar

• Changing view will not affect the contents of worksheet ,it just makes it easier to focus
on different tasks
• Normal view shows the worksheet without headers and footers or tools such as rulers
and a page number indicator
• Page Layout View provides a more accurate view of how a worksheet will look when
printed
• It shows page margins, headers and footers, rulers, etc.

• Page Break Preview displays a reduced view of each page of the worksheet, along with
page break indicators
