MEMO
A memo (or memorandum, meaning"
reminders") communicates policies,
procedures, short reports official
business within an organization. It
assumes a one-to- all perspective,
broading a message to group
audience, rather than to individuals
sush as what email or letters often do.

MEMO PURPOSE
A memo's purpose is often to inform, but
it occasionally includes an element of

informal communication network within
an organization. The "grapevine", is often
a channel for romour, gossip and
innuendo. On grapevine, one person may
hear that someone else is going to be
laid off and start passing the news
around. Rumours often distort the truth
more and more the further along they are
passed. Before you know it, the word is
that the company is shutting down your
entire departments.

MEMO FORMATS
A. Letter head

-Generally, consists of the company's name, logo, address and contract numbers or merely company's name and logo.
B. Heading

- When using a plain paper or letterhead, always include a headings memorandum (memo) or inter office memno (all
in capital as shown) at the top of the page or alligned with the left margin.
- also, include the following basic elements of a memorandum.
Date: The date on which the memorandum is distributed.

-spell out the full date - e. g 3 December 2021

To: The person(s) to whom it is addressed

- usually no courtesy title (1., e Ms, Mr, and Madam) is needed before the reciever's name, but as always
there are exceptions to shown greater differences to a superior, you may include a courtesy title.

From: Name of writter, followed by his/her designation.

Subject: A concise and specific phrase that identifies the memorandum's topic.

Re: You will sometimes see "Re' used instead of "subject" it is an abbreviation for the word regarding.

C. Message

- The body of the memorandum and should be written in paragraphs.


-Cover one subject only in a memorandum unless the two issues are closely related. Use
sepate memorandum to discuss two different issues.
- Organize your message according to the following framework:
* Begin with an opening paragraph
Letter head
- A brief introduction giving the most important information such as the purpose.
* Go on with discussion paragraphs
- these paragraphs provide information the reader is expecting. Remember to discuss one subject at a time.
* End with a proper closing
- the final paragraph should provide courteous closing that State what action you want your reader to take.
D. Enclosure

- if you have an attachment, be sure to refer to it's in your memorandum and add a notation "Enc" below you closing.
