Business Communication

Basics
Definition: Effective Communication

Effective communication is a process of exchanging ideas, thoughts,

knowledge and information such that the purpose or intention is
fulfilled in the best possible manner. In simple words, it is nothing but
the presentation of views by the sender in a way best understood by
the receiver.
Communication is successful when…

• The receiver thinks/feels/does what the sender wants him/her to

think/feel/do,

• on time,

• and without jeopardizing/worsening the existing relationship

between the sender and the receiver.
Planning a Message – Scenario 1
Times are hard for RoboSolutions, a small local company that creates assembly
line robotics. Lately, the clients have been few and far between.
But today, the sales staff got encouraging news: James Pritchett, president of a
nearby tool and die company, has inquired about the possibility of your
company’s designing a series of computer-run robots for key processes in the
plant.
There’s a hitch, though: it is Sarah’s turn to try and convert this prospect and gain
the commission. However, Pritchett is known to deal with men.
Do you, William Jones, as president, send Sarah anyway? Or do you send one of
your male salespeople, perhaps Ravikant, to get Pritchett’s business, giving Sarah
a shot at the next potential client?
Discuss your decision, and based on your decision, your plan for communication
with Sarah.

How would you plan your response?
The CEO of a major multi-national firm wants to explain the
company’s performance in 2016 to 27000 employees across
Europe, India and the US. How should she plan the
communication?

What channels of communication are most suitable for each of the following
situations:
- Informing everyone in the company of your department’s new procedure
for purchasing equipment?
