INTEGRATING IMAGES
AND EXTERNAL

MATERIALS IN MS WORD
Microsoft Word (MS Word) is an example of
a word processor where there are features
that you can use to enhance your work.
One of these features is integrating images
and external materials into your document
to make it more impressive and more
informative. Learning the different materials
that you can integrate in your document is
necessary for you to know what’s best to
use.
KINDS OF MATERIALS
1. Shapes
2. Pictures and Online Pictures
- .jpg/.jpeg, .png, .gif
3. Smart Art
4. Chart
5. Screenshot
6. External File

RIBBON
Insert Tab – Illustration Group
The different materials that you can integrate or insert in your document are seen in the Insert tab,
Illustrations group shown below.
1. SHAPES
The different shapes that you can
insert in your document are lines,
rectangles, basic shapes, block
arrows, equation shapes,
flowchart, stars and banners, and
callouts.
2. PICTURES AND ONLINE PICTURES
Both “Pictures” and “Online Pictures”
accomplish the same goal. The only
difference is that “Pictures” means
you can insert pictures locally, the A. .JPG / .JPEG
pictures you saved in your local
B. .PNG
storage device, while “Online
Pictures” allows you to insert images C. .GIF
from an internet-based source such
as clip art from Office.com, Bing, or
OneDrive. Pictures also refer to
electronic, digital, or photos.

3. SMART ART
Smart Art is a predefined sets of different shapes grouped together to form a
structure. There are a lot of Smart Art graphics you can choose, from list,
process, cycle, hierarchy, relationship, and matrix. You can choose and
integrate it in your infographics document.
4. CHART
Chart is used to illustrate and compare data. You can choose
from the available types - bar, line, pie, area, column, or surface.

5. SCREENSHOT
Microsoft Word provides a snipping tool for your screen shots so you
can select and display only the part that you exactly like to capture on
your screen.
EXTERNAL FILE
External file such as an MS Excel file may be used in MS Word document like bulk
letters to link data. For example, you will type in your guests information in MS Excel
like his Salutation, First name, MI, Last name, and Address. Do the following:

5. Still in the Mailings ribbon, click on
Select Recipients, and choose Use
an Existing List… The Select Data
Source dialog box is displayed.
6. Locate the Guest.xlsx, select it and
click on the Open button. It will activate
the Insert Merge Field option.
7. In your letter, select or highlight Mr.,
click on the Insert Merge Field and
choose Salutation. You will notice that
it changed to «Salutation».
8. Repeat the process to first name,
mi, last name, and address.
9. Do the same for the salutation after
the word Dear.

12. At the end of the last sentence in the
last paragraph before the period, you
need to cite the reference by following
the steps below:
a. Go to the Reference ribbon, in the
Style option, choose Chicago.
b. Click on the Insert Citation, and
choose Add New Source…
c. The Create Source dialog box is
displayed as shown below. Fill in
the information as what is shown in
the figure.
d. Click OK.

13. After the last paragraph, enter two spaces.
14. Go to the Reference ribbon, click on Bibliography, and choose
References. References are now listed.
15. In the Mailings ribbon, you can preview the results by clicking the
Preview Results. You will notice that the field names are changed into
the name you entered in the Guest.xlsx.
16. You can preview the next record by clicking the arrow pointing to
the right.
17. Click on the Finish and Merge and choose Edit Individual
Documents… to complete the mail merge.
18. Save this as another file.
