LIBRARY

STRUCTURE
LECTURE NOTE 4
Library Structure refers to the various departments
/sections/units that are found in libraries and the
services each of these units provide.

Basically , there are 2 types of services:

i. Technical services
ii.Readers’ services
TECHNICAL SERVICES:

These services involves the acquisition and organization of resources


for easy information services, dissemination and retrieval. Technical
service is an indirect service, staff involved might not have personal
interaction with users.
DEPARTMENTS THAT OFFER TECHNICAL SERVICES:
ACQUISITION /COLLECTION DEVELOPMENT DEPARMENT: The function of
the acquisition department is to select, order and receive new books
and non-book materials into the library. The materials acquired are
stamped and accessioned before being transferred to cataloguing and
classification unit for further processing.
It is also the duty of the acquisition unit to obtain
funds, receive invoices from booksellers and
publishers and make payment for book for books
purchased. Thus the library acquires materials by
purchase, gifts, donations, bequeath exchange and
inter-library loans. Every new item passes through
the acquisition department which then ensures the
proper records of these resources.
CATALOGUING AND CLASSIFICATION DEPARTMENT:

This unit is responsible for the cataloguing and classification of all


library books. Cataloguing involves the description of a book to bring
out important bibliographic information like the author, title, place of
publication, date of publication, publisher, edition. etc. Classification
on the other hand involves the systematically grouping related or
similar resource together for easy access and retrieval. This unit
worked behind the scene and is usually regarded as the engine room
of the library. It is the backbone of all library activities, from the
activities in this library, the library catalogue is created. The ultimate
purpose of cataloguing and classification is to ensure that library
materials are systematically organized.
THE SERIALS DEPARTMENT:
Serials are publications issued in successive parts ,at regular or
irregular intervals and intended to be continued indefinitely. Serials
include professional journals, magazines, newspapers, newsletters,
monographic series etc. The task of serials department is to
selects ,acquire, record, process and displays serials for use. Serial
publications cannot be borrowed from the library but they are consulted
and use in the library.

BINDERY UNIT:
The bindery takes charge of the repair and restoration of damaged
library books. It could also fortify library books by converting paper
backs to hard-bound books and binding cumulative volumes of serials.
This unit is often referred to as the library clinic where all damaged
books are treated.
READERS’ SERVICES
As the name implies, the readers’ services division
of the library is responsible for direct provision of
library services to users. The library staff and
users come in contact with one another. It is also
in this department that users come in contact with
the books and other library resource provided for
their use.
DEPARTMENTS IN READERS’ SERVICES
CIRCULATION DEPARTMENT:-It is in this unit of the library that
books change hands from the library to the users. The circulation unit
is where the library come in contact with the user, hence, it is the
image maker of the library. The circulation unit is saddled with the
responsibility of charging and discharging of library books, registration
of fresh students, charging and collecting over-due fines and also
educate users on how to use library facilities and resources. (library
orientation) The circulation unit keeps statistics of users.
REFERENCE UNIT: Unlike circulation, materials in reference unit are
for in house use only. They are not for loan, users are to consult or
refer to them only. This department is managed by a trained reference
librarian who is trained to answer users queries and offer personalized
information services. Users are assisted to find relevant information
resources. Reference materials include dictionaries, encyclopedia
directories e.t.c.
OTHER DEPARTMENTS

REPROGRAPHIC DEPARTMENT: This is a very important unit of the


library responsible for reproducing and making photo copy of materials
as requested by the users.
PROJECT ROOM: The project room is another section of the library
though important but not accessible to students. The project room
houses past projects and thesis. Student can request for past projects,
which can only be used in the library.
CARREL: The carrel is a section of the library purposely for independent
study and is used by postgraduate students and researchers who does
not want to be distracted in any way.
CLOAK ROOM: A cloak room is a section of the library where library
users keeps their personal belongings such as umbrella, bags etc.
