 After becoming an integral part of the organisation many

business letters such as instruction, complaints, sales,


tender, and collection letters are written on a daily basis.

 Order, enquiry and claim and adjustment letters are mostly


informative. They either ask for information or provide
information for further action.

 On the other hand, credit, collections, sales, fund-raising,


and job application types of letters are persuasive, as they
attempt to persuade or motivate readers towards a desired
action.

REPLY TO ENQUIRY LETTER

 Letters of enquiry must be replied to promptly to maintain healthy and pleasant


business relationships.

 If the enquiry is from an established customer, appreciate their effort. If the


enquiry is from a prospective customer, reply should reflect that you are glad to
receive the enquiry and express the hope that new relationship will last long.

 keep the reply brief and to the point.


ORDER PLACEMENT LETTER

 An order is a request for something to be made, supplied,


or served. Some companies have their own printed forms
for placing orders.

 However, the small-scale companies do not use printed


forms and place orders by writing letters.

 An order placement letter should be written very clearly


and accurately, including the complete description of the
goods required, quantities, price, catalogue number,
delivery requirements, and the terms of payment as
agreed by both the parties.
CLAIM LETTER
A claim and an adjustment request is made when a company's product or
service is not satisfactory. Although a complaint could be lodged over
telephone, but its good if complaint letter is documented.

OBJECTIVES
•to bring the mistake/fault to the notice of the supplying company.
•to rectify the mistake either by repair or replacement.
•a complaint letter can be written for any of the following reasons:
•billing errors poor service
•damaged goods goods not matching the
sample
•wrong goods
•wrong quantity
•unsatisfactory quantity
•late delivery
•non delivery
•difference in agreed price
GUIDELINES

1. provide a reference point, namely, consignment number/invoice


number, date, items ordered either in the beginning of the message or
the subject lines

2. Explain the problem clearly. Briefly explain the inconvenience


/difficult situation being faced because of the problem

3. State clearly what action is required or what adjustment is expected


from the supplier
