Introduction

• Equipment Tracking (ET) is a web-based software application

for managing equipment status, maintenance, calibrations,
and usage.

• It takes the place of paper-based equipment logbooks,

allows the user to perform and record equipment tasks, and
provides a number of automated services.

Perform task using ET module

• Create and update equipment records: Each electronic equipment record

contains all the information needed to monitor the equipment lifecycle.
• Define rules for event behavior: Events associated with a piece of
equipment can have rules defined that prevent use, change state, or
schedule events automatically in the system.
• View the event status for a piece of equipment: The changing equipment
statuses for events associated with a piece of equipment are reflected in
the equipment record.
• Schedule, perform, and review calibrations: ET provides an electronic
calendar for scheduling calibrations. Electronic worksheets are provided to
record calibration results when performing calibrations. Review can be
required before calibrations are complete and the equipment used

JSat Automation Confidential – Internal Use Only

• View a calendar of events: Scheduled events are displayed in the
electronic calendar.
• View the equipment status history: When needed, ET can retrieve audit
trail information to display all equipment status information pertaining to
a specific product batch.
• Create and manage work orders: Work order requests for calibrations or
events can be assigned to specific individuals using work orders. Items can
be assigned to the work order and display in a calendar to aid scheduling.
• Create and execute workflow instances: Workflow instances contain work
instructions associated with a recipe. They may be used to record material
during use (such as cleaning fluids) or record Bill of Material (BOM) items
added during manufacturing

ET module advantages

• Eliminate manual logs books which tracks equipment information

like status,event,last run etc.
• Collects real time data.
• Verify equipment status at point of use.
• Easily find equipment history.
• Manage work order .

Equipment Class

• Any individual piece of equipment created in ET must be based on an equipment

class.

• Equipment Classes are also used to define commonalities between various pieces of
similar equipment.

• An Equipment Class is required to create a piece of equipment in the system. New

equipment classes should be created when new types of equipment are received
into system. e.g., all balances fall into the Balance class

Equipment Class Workspace

• The Equipment Classes workspace is where information relating to the equipment

class is defined.
• General tab which provides an area to Name the class, an area to provide a
Description.
• Custom Properties tab that allows the user to create custom property details about
the Equipment Class.

The following items are shared between pieces of equipment of the same
equipment class
• Calibration type (None, Standard, Comparative, External)
• Calibration due date schedule
• Review requirements
• Calibration targets
• Custom properties
• Events
• Event state transitions
• Rules for event behavior
• Event document and skill references
• Event parameters & rules
• Event scripts
• Workflow

Events Configuration

• After the equipment class shell has been created, events can be added.

• Events are activities that can be performed by users or automatically by the

system.

• A record is created in the system each time an event is performed.

• An Event performs three important functions:

The first is the collecting and recording of data associated with a
particular equipment related activity.
The second is to assure the correct status of users and equipment
before allowing the event to proceed.
The third is to provide a link within the system between a piece of
equipment and the materials, documentation, and skills required to use it.

Event Types

• Events can be one of three types:

Transient: only need to start the event it automatically end.

Start/Stop: Need to start stop event manually.
System: Performed by system.

• The event types differ in how they are performed, what data can be
collected while the event is being performed, and what actions can result
from performing them

General Properties field:
• Name :A required field when defining an event. This name will appear in
the application when the event is performed or when a request is
created for the event to be performed.
• Description: An optional field that provides the user the option to add
additional information about the event.
• Event Type: A required field. There are three options for event type:
Transient, Start / Stop, and System. Choice of event type influences the
ability to define other event properties and results in different options
for the user when the event is performed

Recorded Contents: Equipment content comprises the material that is
added to and removed from equipment during events. These materials are
typically components from a manufacturing order's BOM. During execution
of the event, the operator records the material and the quantity. All material
defined in the event is tracked as equipment content if the event Equipment
Contents property is either Record, Deplete or Clear.
Do Not Record :Do not record any materials during event execution. The
material is a consumable item.
Record: Record the material and quantity in the equipment. The operator
enters this information during event execution.
Deplete: Deplete some or all the material in the equipment. The operator
enters the quantity being depleted during event execution.
Clear :Clear the contents of the equipment, so that the equipment is empty.

Event States

• A piece of equipment is associated with the events defined in the

equipment class associated with the equipment.

• Each event has a current state: Before or After, Clean or Dirty, Ready or Not
Ready, etc. For purpose of simplicity, the states used in the application are
true and false.

• The true state of an event is represented as a green circle with a checkmark

.

• The false state of an event is represented in the application as a red circle

with a minus sign

Groups and rules

• Rules and groups are the most flexible way of implementing

controls for a workflow.

• Rules must be contained within a group. Individual rules can

be simple or complex and can evaluate multiple properties
of an event in addition to the evaluation of state, available
through the use of the Event States Matrix.
